  1. Would it be useful to have separate fields for Legal Name and Trading Name? This would separate the Legal Name as registered with ABN and the Trading Name used with Customers?

    Hi Pip, appreciate you sharing this here. Just want to clarify that you can already manage these separately in Organisation settings using the Display name and Legal/Trading name fields. The Display name is used within Xero to help identify your organisation, while the Legal/Trading name is what appears on documents such as invoices and reports.

    As this functionality is already available, we'll close this idea for voting. If you're looking for a different behaviour, or there's a specific scenario where these fields don't meet your needs, let us know with a little more detail and we'll be happy to take another look.

  2. I'd like to be able to add the members of a contact group (from the group's page) to another contact group in bulk. The only options at the moment are to bulk MOVE the contact from one group to another, or to go into each contact individually and manage groups to add them to another group. The other way is to choose them in bulk from the ALL contact page, but when you have lots of contacts & you are wanting a group which is made up of 2 or more other sub groups, this is not practical - I'd…

    Thanks for sharing your feedback here, Tori. We can see how being able to copy members from one contact group to another would make it quicker to manage and organise your contacts.

    This is already possible using Smart Lists. You can filter contacts by an existing Contact Group, select the results in bulk, and then click Option to add them to another Contact Group.

    Because this functionality is already available, I've updated the status of this idea to Existing Functionality. If this doesn't quite match the workflow you're looking for, please let us know more about your use case so we can better understand the gap.

  3. I would like files to be able to be renamed once they have been added to the files area. As most generic files only have numbers or letters it would make it easier to be able to rename them easily.

    also allow the files to be time stamped as well.

    I am very happy to say these are already available within Xero. To rename a file. you can click the 3 dots to the right of the file and it select 'Rename'! And when you open the file it has the time stamp at the top next to the date. If you are still having trouble seeing this its best you raise a case wiht our Support team so they can walk you through these options.🙂


  4. Files Inbox - Review File Details - VAT amount difference (Purchases and Sales including direct Spend)
    It would be a good idea to enable the VAT amount to be edited. I received quite a number of POs, purchases, and receipts with a different VAT amount compared to what Xero calculates (rounding). Currently, I have to enter a direct spend into a bill just to correct the VAT amount. It suggests to enter a rounding amount but the system does not allow for only a VAT amount to be entered when creating a new row for the difference. If I use…

    Thanks for sharing this idea. We can appreciate why having the ability to enter the VAT amount at the point a transaction is created from Files would be helpful and save an extra step.

    At the moment, when transactions are created from Files, there isn’t an option to enter or override the VAT amount during that creation flow in the same way you can on bills, invoices, or spend money transactions.

    As a workaround, once the transaction has been posted, you can open it, edit the transaction, and update the VAT amount if needed. This is existing functionality in Xero, so while it can’t currently be done within the Files creation flow itself, the VAT amount can still be corrected afterwards.😊

  5. The new files is incredibly fiddly! Previously I had my uploaded files in years and if I hadn't filed them into years yet they remained in the inbox until I dealt with them. Now everything is archived I have no idea what isn't in a folder and what is just sitting in archived. And when I view a document just sitting in archived i have no way of knowing if it is in a folder or what folder it is in.

    Am I doing something wrong??

    Hi Raewyne, thanks for sharing your feedback. All folders (including any year folders you've created) are now located in the Archive tab. When a file is attached to a transaction, it's automatically moved to the Archive. You can also manually move files from the Inbox to folders in the Archive by selecting the checkbox next to the file, clicking Archive to, then selecting the appropriate folder.If you need further support with this, we'd recommend reaching out to our support team.

  6. Have a column headed "Filed in" and then the name of the folder if that archived file has been moved into a folder. This would make it easier to know it has been filed.

    Hey Felicity, I am thrilled to say you do have the ability to add folders in the All Archived tab in Files!

    You can add folders in the Archive tab and these will appear on the left hand side under All Archived. If you need an extra hand you can raise a case with our Xero Support specialists. 😊
