  1. When a bill is in draft form, it would be good if this could be changed into a credit note without having to delete the bill and re enter this as a credit note. When suppliers email in credit notes, they appear as draft bills so would be great to have the option to convert into a credit note to save time and ease.

As per the support specialist I've spoken to from Xero:
At present, Xero doesn't have a direct function to automatically convert draft bills into draft credit notes. The standard process involves deleting the draft bill and…

  2. Could you have an 'upload supplier credit notes' button, the same as you do for supplier invoices, because at the moment you have to enter any credit notes manually, and of course if you accidentally upload them under the supplier invoice button they appear as invoices and not credits!

Thanks for sharing your idea about expanding this feature to include credit notes (and not create them as bills).

Now it's up to the community to get behind and support your idea. Make sure you share it with any colleagues it could also benefit, so they can add their votes and comments too!

In the meantime, it's possible to bulk import credit notes using a CSV file, but not via this feature.

  3. Bills - Display Chart of Accounts account code on the main "bill" pages (currently only see on the "Edit bill" screen).

Hi everyone, thanks so much for continuing to share your feedback, we can see how helpful it would be to show the nominal account / account code directly in the Bills list, rather than needing to open each bill to check those details.

Because this idea has continued to come up over the years — including in a number of older, similar ideas that we’ve now merged into this one — we’re moving it to Gaining Support so we can bring that feedback together in one place, build clearer visibility, and better understand how many customers would benefit from it.

Please keep adding your votes and comments here — especially if you can share a little more about your workflow and which bill list views this matters most in. That extra context really helps our product team when reviewing ideas like this.

Thanks again for taking the time to raise…

  4. Navigation is clumsy - takes too many clicks to get anywhere. For example: Purchase > Bills, should then have options > All / Draft / Awaiting Approval / Awaiting Payment. Currently need to wait for Bills page to load, then select option.

Same for bank accounts. Need option from top nav to go straight to bank account instead of having to go via Home page. EG: If not main BANKS option in main nav, then Accounting > Bank Accounts > (list of bank accounts to choose from).

Most things at the moment take too many clicks. Once your hand is…

Hey team, thanks so much for sharing this idea and the detailed examples – this is really helpful. We’ve move it into the gaining support stage so it can be considered alongside other potential navigation improvements. Please encourage your friends and colleagues to vote and comment to support this idea ✨

  5. Currently, users must reconcile the payment and then navigate back to the bill or payment record to send a remittance advice. This creates unnecessary extra steps and increases the risk of remittances being missed.

Having this option available during reconciliation would streamline the process, save time, and ensure suppliers receive timely payment notifications.

Hi Anna, thanks for sharing this suggestion. Being able to send a remittance advice directly from the bank reconciliation screen could help streamline payment workflows and save time when processing supplier payments.

I've updated the status of this idea to Gaining Support so we can continue tracking community interest. If this would improve your workflow, we'd love to hear more about when you'd expect to send the remittance during the reconciliation process.

  6. It would be useful to add supplier bank account details when creating a bill.
This would save time from having to edit the newly created contact after creating the bill.

Hi team, this idea has been created from feedback on this larger thread.

We're keen to get a better understanding of the interest in being able to add supplier details when creating a new contact during bill entry.

This isn't something we have plans for the time being but will keep a close eye on the support this idea receives here. Thanks

  7. For example, director expenses, salary/bonus-related bills, sensitive suppliers, personal/confidential purchases, special projects, or bills with sensitive pricing.

At the moment, the Draft Sales & Purchases role is not very user-friendly and has limited access, so it is difficult for accounts staff to properly manage and handle bills and invoices.

It would be much better to allow accounts staff to manage normal bills as usual, while allowing directors/admins to restrict access to selected sensitive bills.

This would be a very useful feature for businesses that need both efficient bill management and financial confidentiality.

Thanks for sharing this suggestion. Being able to mark a bill as Confidential or Restricted could make it easier to handle sensitive expenses while maintaining broader access to everyday payables.

We've updated the status to Gaining Support so we can continue tracking community interest. If this would be useful, add your vote and let us know how you'd expect the permissions to work.

  8. In Xero Accounting, users currently need to open each individual bill that is still awaiting approval to determine why it was rejected or not approved by the approver. This process becomes particularly time-consuming at month-end when there are multiple outstanding bills requiring review.

It would significantly improve efficiency if users could simply hover over a bill in the "Awaiting Approval" list to view any comments or notes left by the approver explaining why the bill was not approved. Alternatively, displaying the approver's comments in a dedicated column or tooltip within the bills list would provide the same benefit.

Thanks for sharing this idea. We understand the request for a notes or memos feature when reviewing bills awaiting approval. Having information visible from the approval list could make it easier to understand the context behind a bill delayed approval.

We've updated the status to Gaining Support so we can continue tracking community interest.

  9. It would be nice to be able to post a receive money overpayment directly against a supplier and have it go to trade creditors in the instance where a supplier has refunded money and an credit note has yet to be issued.
Similarly it would be nice to be able to a post a spend money overpayment directly against a customer and have it go to trade debtors.

Thanks so much for taking the time to share this idea with us.

We can see why having the ability to apply a credit directly to a contact account, without needing to create extra transactions or workaround steps first, would be valuable. Simpler handling of credits and overpayments would make this workflow much more straightforward.

We’re moving this idea to Gaining Support so other customers can vote and add their comments. This helps us understand how much interest there is in this idea and learn more about the different ways people would expect to use it.

If this is something you’d like to see, please add your vote and share any extra detail in the comments. That feedback is really helpful for our team.

Hi Rondene, thanks for bringing this idea to the community. We can see how having a dedicated Credit Notes tab within a contact's activity could make it quicker to review credits without searching through invoices, bills, or the full activity history.

At the moment, credit notes are included within the contact's activity and can also be filtered from the main Invoices or Bills lists.

I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are particular workflows where a separate Credit Notes tab would be most useful, we'd love to hear more about them.

  13. Allow Xero users with purchases access to see outstanding bills link from Xero suppliers.

Currently unless the supplier has used your log in address to send the bill, you are not able to see the remainder of the supplier's outstanding items. Allowing users with purchases access to this link would bypass unreliable clients while maintaining security.

Thanks for bringing this to the community. The key request is to make linked outstanding supplier bills accessible to other users in the organisation who have the appropriate Purchases permissions.

This could reduce the need to rely on the person who originally received the supplier link and make it easier for accounts teams to manage outstanding bills across shared workflows.

I’ve updated the status to Gaining Support so we can continue tracking interest. Add your vote and share more about how your team currently handles these links.

  14. You can set your company preference to tax exclusive or tax inclusive, but the Xero email bills to Xero function does not follow the company settings and always puts to tax inclusive. Can this be as per the company settings? Eg we would like it to always be tax exclusive.

  15. After entering a credit and allocating it, Xero now displays the Invoice not the Credit. This is very confusing and annoying.
    Xero support answer was:
I understand you're finding the recent change to the credit note display confusing. When you complete and approve a credit in purchases and apply it to a bill, the screen now displays the bill rather than the credit note you've just entered.
This change is part of recent improvements to credit notes that Xero has made to build consistency across different Xero experiences. The new layout has been designed to save time when applying credit,…

Thanks for sharing this idea. Having the option to return to the Credit Note after allocating it to a bill could give users more control over their workflow.

I’ve updated the status to Gaining Support so we can continue tracking interest. If you regularly work through credit notes, let us know whether staying on the Credit Note or returning to the bill would be your preferred experience.

  16. We manage clients on a monthly service model and incur various expenses on their behalf, including subscriptions and operational costs. While Xero allows expenses to be marked as billable, there is no clear way to assign and track non-billable expenses at the customer level.
This makes it difficult to measure true customer profitability, as not all costs are captured against the client.

    Proposed improvement:

Allow both billable and non-billable expenses to be assigned to a customer.
Enable reporting that shows total costs vs revenue per customer.
This would provide a more accurate view of customer profitability for service-based businesses.

Thanks so much for taking the time to share this idea and explain the challenge behind it so clearly.

We can understand why having a way to assign non-billable expenses to a customer would be valuable, especially when you’re trying to get a more complete view of customer profitability. When some costs sit outside of that customer record, it becomes much harder to understand the true cost of servicing each client.

We really appreciate the detail you’ve provided here, and the examples help show the real impact this has for service-based businesses managing ongoing client work.

We’re moving this idea to 💥 Gaining Support so other customers can find it more easily, add their vote, and share how this would help their workflow too. That extra context is incredibly useful for our team as we continue to review and understand demand for improvements in this area.

    If this idea would…

Appreciate you bringing this to the community. We understand the request for credit notes to have the Add last items functionality. This could make credit note creation more efficient and reduce the need to search for previously used items.

I’ve updated the status to Gaining Support so we can continue tracking community interest. Add your vote if this would help your business.

  18. New Bill Button - Please bring back the single click New Bill button. Anywhere I click on the New Bill button gives me a dropdown menu, requiring mouse movement and a second click. I would expect this to function in the same way as the new invoice button where you can click on the button to generate a new bill or you can click on the arrow down to see the dropdown menu. Bring back the single click efficiency.

Thanks for your feedback on this change, Patricia. Out of interest is there a particular reason or workflow for why you prefer to enter your bills manually rather than via an upload?

    Appreciate, will take a little getting used to a different flow. A couple of other options for navigating to the new bill screen could also be;

    • Using the keyboard shortcuts (Alt+Shift+N) from the bills screen
    • Using the '+' icon in the navigation header to quickly Create a new Bill from any screen
    • Using '/' and typing 'b' in the global search where you'll get the option of New bill from any screen

While we'll get a sense of interest in this through your idea, we want to be open that there aren't any plans for changing this back.

  19. Fix the Xero App that your programmers broke, please.

When approving bills in the app it removes any decimal places beyond 2 and changes the final bill amount. The notes against the bill don't show this. I have marked up screen shots attached.

The Xero App has been broken for year now and having to manually change thousands of bills in a year because you broke your own program is a joke. Asking a business owner who works 60-80 hours a week to log in to his computer instead of the app on his phone to approve bills is not…

    Thanks for sharing images, Fiona.

Taking a look into your communications with our support team it does appear there was a bit of confusion and oversight by our team when you first got in touch. We apologise for this and I'd like to provide some clarification around the idea you've raised here.

What is currently possible within the Xero Accounting app does differ between Sales and Purchases.

While it's possible to view Sales credit notes that are awaiting approval, this hasn't yet been built into the Purchases side. To approve a Supplier credit note, you'll currently need to log into the web version of Xero.

We're working to develop the Xero Accounting app to add more functionality with growing needs from our customers in what they need to do on the go. We'll start to get a sense of interest from the community in this here, and I'll update if…

  20. For Credit notes, when you click the 'Save' drop down, there is an option for 'Save and add another' like there is for regular Bills.
