Hi everyone, we appreciate all your feedback on how we could evolve roles for customers using Xero. As you can see through the ideas on the platform, there are a wide range of combinations of permissions our customers want to see us build. As user roles impact all areas of the product, there are many considerations we must factor in when assessing how to solve for majority of our customers needs.
We’re beginning to conduct research on the current landscape and how we might approach some of the most predominant needs in roles for our customers. Front footing this, the discovery of this work will be long winded and there will be multiple phases of research and forms of engagement with users that’ll help shape the path ahead in this space.
We’d like to invite you, our community to be part of this research and discovery. This may involve interviews…

Please enable ability to restrict the Invoice Only-->Sales role from being able to approve and send invoices. This should be a simple tick box like ability to lodge BAS. I need staff to be able to access any invoice created (not just their own) but the only option then is to enable full access to approve and send invoices which can be a disaster. The placement of the 'save and close' and 'approve and send' buttons do not help this situation.

Hi team, while we don't have immediate plans to change the placement of buttons on new invoicing we're interested in staying close to this feedback and I'll move the idea to Under review for the time being. We'll return to confirm any outcomes.

Agreed - this placement has also led to draft invoices being sent to customer before completed. Also if not super careful when scrolling all the way to the top on a long invoice when using an iPad, it can inadvertently go ‘back’ to previous screen, losing work.

Thanks for all your feedback here, everyone. The way you add description only lines in new invoicing is a little different to classic and we wanted to explain in hopes it'll help with how you're using new invoicing.
When entering a description only line, you can enter text in the description field of the line. If you add detail to any other field the line will be treated as a 'financial' line and you will need to include Qty, Unit price, Account and Tax rate.
When an inventory item is added this uses the item code field and the line is treated as 'financial', so it's not possible to use inventory items as description only lines in new invoicing atm.
We appreciate this is how many of you here have been making use of inventory and our product team are closely monitoring the feedback we're getting on this. Though we don't…

Hi everyone, as another step toward improving history of new invoicing you'll find you'll now see an entry when an invoice is sent, and the email address it has been sent to.

We appreciate this is something we've heard a fair amount of feedback on and we hope helps in your journey to using new invoicing.

We still have more enhancements on the way for history and I'll be back again when more updates land.

Thanks for sharing, Jose. While not a complete solve for what you're asking here - atm, once you add a line you can then move this to wherever you'd like it to sit in the invoice.

Just drag & drop from the 6 dots in far left column ij the new invoice experience. 🙂

Alas drag and drop does not work on an ipad. Even having a '+' between two lines that can be clicked to add a line - similar to adding lines to tables in other software.

+1 Adele - it is a complete drag (excuse the pun) to drag lines up from the bottom. Our invoices can be 4 or 5+ pages long, and this also doesn't work on an ipad which is the primary device for some (which means I then have to log onto computer to drag a line up for them).

Hi team, thanks for sharing detail of the value in this idea in the ways you invoice.

We've just released a new line item grid in invoicing which includes the ability to manually add blank rows and shift these to where you're like them placed in your invoice.

That said, I want to be transparent in how this works - When you save your invoice any blank lines will be removed. So, if you'd like blank lines to help break your invoice into sections, you'll need to enter a character in the Description field of the blank line. Even a full stop '.' or dash '-' would suffice.

Thanks for continuing to share your feedback on new invoicing and your needs in increasing the description field. As mentioned in my last update, currently each line of your invoice can contain up to 4,000 characters within the 'Description' field.

Though we don’t have immediate plans for extending this, our product teams have started some more research to get a deepened sense of our invoicing users for future improvements. If you'd like to share further feedback we'd love to hear from you, through our survey here.

This is going to become extremely inconvenient when old invoicing is turned off, as I often duplicate previous invoices. Any new invoices created in old invoicing won't be able to be saved and I will have to get someone in the office to split content onto multiple lines as I can't drag and drop lines from an ipad. Not sure why there needs to be a character limit?
