Thanks everyone, for continuing to share your experiences and examples here. We’ve been following the recent comments and really appreciate the added detail around the challenges this creates in real payment runs, particularly where credits need to be reflected alongside bills so supplier statements and remittances stay aligned.
This March, we released the ability to find and match credit notes when reconciling, which was another highly requested idea on Xero Product Ideas.
We recognise this is an end-of-process solution and doesn’t address the core need raised in this idea. As a quick update from my last post, we’ve done some early exploration into the technical requirements needed to solve the pain points mentioned. This is a complex area to get right, as it touches multiple parts of the bill payments and credit note experience.
At this stage, our focus remains on continuing to develop our bank-agnostic payments solutions across regions,…

Thanks for sharing your thoughts on bulk allocation of credit notes, everyone. We understand that manually applying credit notes one by one can be time-consuming, and we appreciate wanting a a faster, more streamlined solution.
Currently, while we know it won't be the flow that suits all, it's possible to apply credit notes to multiple invoices for a single contact by opening the credit note and selecting the invoices to apply it to.
Atm, we're in the process of releasing a new experience for Sales Credit Notes. This work will enable us to develop changes like you're asking here longer term. However, the initial release is focused on developing existing features into the new Credit Notes experience. Once this is fully rolled out the team will have more capacity to consider enhancements like bulk allocations, however we want to be upfront that this isn't planned for the short term.

On applying the oldest credits against the oldest invoices: Xero's reply here (19 Sep 2025) says the current route is to open the credit note and select the invoices for that contact, and that bulk allocation isn't planned for the short term. For a month-end or migration backlog, a routine that keeps it traceable: work one contact and one currency at a time, take exact-amount matches first, then oldest credit against oldest invoice, and leave anything that is a deliberate discount or rebate for a human decision. Keep your own list of the pairs you've finished so you can tell which credit notes you haven't reached.

Hi community, thanks for sharing the challenges you face around deleting invoices.
Right now in Xero, invoices with a Draft status can be deleted in bulk from the list view - simply select the invoices and you’ll see an option to Delete at the top of the list.
We understand that for many in the thread here you’re referring to the ability to bulk remove invoices that have an approved status(bulk void) and I have just updated the title of this idea to better reflect this.
This isn’t a feature we have planned at this stage, but maybe something we explore longer term as a possible enhancement to the list view. For the time being, while not within the product for those with more technical resources there’s capability via our API that you may like to consider.

Following the question above about selecting several approved invoices to void: Xero's reply on this idea (28 Nov 2025) is that draft invoices can be deleted in bulk from the list view, but approved invoices cannot be bulk-voided and that isn't planned for now. For the time being it is one at a time in the app, or via the API if you have developer resources.
If you have to clear a batch by hand, three things save pain: export the invoice list first as your own record (a void can't be undone); check payments, credit notes and lock dates before you start (Xero won't void an invoice that still has a payment or credit applied, and a locked period blocks it); and run two or three first.

Hi team, thanks for staying engaged with us here. From your feedback our product teams clearly understand there are legitimate use cases and scenarios in which you’d like to be able to simply unapprove a bill.
While seemingly simple there is a bit of underlying work that needs to be done within Bills to enable us to build this functionality - As you’ll have experienced within the Bills list view - we’re in the process of uplifting the pages in Bills with updated technology that’ll unlock our ability to develop features like unapprove.
So, while it’s not in our roadmap atm, we’re tuned in here and will continue to assess how we may solve this as we plan our future roadmap. I’ll make sure to share any progress with everyone here.

For anyone who has to deal with this before Xero builds it: the route Xero's team floated in this thread in Feb 2024 (and dropped in Aug 2024 as a feature) is also what you do by hand today. Void the bill, copy it to a new draft, re-attach the files. It works one bill at a time, and the copy has no history from the original, which is the audit-trail point raised above. Two habits make it safer: write the old bill's number or reference on the copy before you void it, and try two or three bills before the rest.
For the 10+ credits across 20+ bills case: Xero's latest reply here (11 Aug 2026) says matching credit notes while reconciling arrived in March, but applying credit notes inside a batch payment hasn't been roadmapped. Until then, one way round it is to apply the credits to the bills first, so the batch pays the reduced balances. A tidy order: per supplier, apply the credits to that supplier's open bills (oldest bill first, same currency), compare what's left with the supplier statement, then build the batch from those bills as normal.
