  1. The current bill import functionality relies primarily on contact names for matching, which creates two significant problems:

    1. Unreliable Contact Matching

    • Contact names can change over time
    • Even minor differences (single character) result in creating new duplicate contacts
    • No fallback to more reliable identifiers

    2. Character Encoding Problems

    • Special characters (e.g., apostrophes in names like "O'Connor") cause import failures
    • This particularly affects common surnames and business names

    Proposed Solution

    Implement a hierarchical matching system for contacts during bill imports:

    1. First attempt: Match by account code
    2. Second attempt: Match by database ID
    3. Final fallback: Match by contact name

  2. Other programs allow for rounding of time in timesheets to blocks of time.

    Having the ability to round to blocks of 15 minutes is a request of one of my clients as their old program allowed for this.

  3. I use Xero Me to upload expense receipts and assign to a client. I rename the photo of the receipt so that it should be traceable. The expenses are then visible when I create an invoice for that client. All good so far, however, there are two things that could be improved:

    1. There is no option to add the receipt file to the invoice when the expenses are added. Very often clients want to see the original invoice when expenses are charged back at cost.

    2. The expense files are saved in the fie library, however, the names I have given…

    Automated client statements - have the option to send out our practice statements on a regular basis i.e. weekly or fortnightly regardless of the days due or overdue!

  6. Currently when you are viewing the GST Audit Report , you can select an item to view in more detail. When you back arrow to return to the GST Audit Report, Xero takes you back to the first item on page 1, not at the position where you left the Audit Report . It would be beneficial to the user, and would save a lot of time scrolling, if Xero returned the user to the position where they left the report.

Instead of the currently available [Week] option in the repeating invoice reference field, which only shows the week number of the year, for example '34', instead allow the option for custom text that includes the date. For example to enable the customer to understand that the invoice being sent is for work that was undertaken during week ending 18/08/2024, which you want to display as WE20240818, you could allow something like this in the reference field: 'WE[yyyymmdd]'. This mitigates the issue of customers having to work out the date that e.g. week '34' applies to when reconciling invoices in Xero…

    Hi Lilly, with Xero expenses you can upload a copy of a receipt and have it auto capture the contents to create an expense through the app - See more on this here

    Is there a reason you'd prefer to email receipts to your org over the existing method? Will help when sharing back with the team. 

  9. Give a way to run the 1099 report so it can be saved as a pdf AND saved to "Published" reports. Bonus points if it can be included in advisor reporting.

As some employees split payments between multiple bank accounts when they're paid, it would be good to have an option where this only happens when processing a salary payment, not reimbursing expenses. Had one where there were only expense reimbursements done (no salary/PAYE etc.) but the payment was still split and majority went to IRD. Perhaps a checkbox when entering the second bank account in that says "only split on taxed earnings" or something like that to avoid having to go and delete then re-add the additional account every time.

  11. I have an employee with two bank accounts - Bank Account 2 currently has a dollar amount going to it, and Primary Bank Account has the balance. The employee would like to swap which one is getting the dollar amount and which the balance. I'd like to do this with a button.

    Instead I have to do it manually, copying and pasting field by field.

We have 2 Shopify stores, one for our wholesale customers and one for consumers, however, unfortunately, we cannot connect both to Xero, which is extremely annoying and causes a lot of work for us behind the scenes. Connecting both will mean a more streamlined experience and make our Xero world much easier.

    Thanks for your response, Elsa. If the user has access to the organisation you could share the browser URL of the invoice or bill you're on. This contains a transactions ID. The user would need to be logged into Xero and then when they go to that link it'd open that invoice.

    I guess the second part of your idea here when you mention the hyperlink - Is there somewhere specific or a method you're using that you'd want to share the link?

  17. The "Suggest Previous" check box appears at the very bottom of the screen. This poor interface feature required me to log a support ticket to find it -- after the feature was dropped from an update.
    The time needed for me to reconcile tripled without this simple feature. More time was necessary by logging a support ticket.
    May I suggest:
    1. software updates maintain the existing settings, and
    2. place the "suggest previous" at the top of the screen where Users have a chance to see it.

    Hi Joe, the 'Suggest previous entries' option has always been located at the bottom of the Reconcile screen.

    Appreciate why you may want to see this further up the page and we'll get a sense of the interest in this here.

  18. Auto-reconciliation for transactions and invoices/bills - I appreciate that the manual reconciliation is to allow for oversight and management of transactions, but when you have several thousand transactions in a month, reconciling them all is very tedious, especially when 99% of them is just clicking "OK" after checking that the names/references match!

    Auto-reconciliation would be an amazing timesaver, even if it was just for transactions where the references or customer names onn payment and invoice/bill match. Please consider adding this!

  19. Could a similar function that UK organsiations have to "deep archive" employees be rolled out to AU organsiations? This will assist to adhere to legal requirements of retaining employee records for 7 years.

  20. Give sales invoices the ability to create self-billing contractor bills - the same as billable expenses but for the the sales side, rather than the purchase side. I produce high vol royalties where the suppliers(producers) do not physically bill, but we need to raise the charges directly in line with the sales received. Massively labour intensive and could be fixed with this function.

    Hi everyone, to give a bit more detail from our status update a few months ago - The ability to copy to a bill is a feature that the team will be building into the new invoicing experience. They have a few items on their agenda and I want to be open that this is not planned to be delivered until after the sunset of classic invoicing. 

    For the time being, you'll find you can still copy to a new invoice, quote, purchase order or bill from the invoices list view. 

    You can get a bit more of an understanding of what's coming from our Xero central page. When there's more news on copy to a bill I'll share this, here.
