Contact - Having custom fields on invoices and contacts
Ability to add a custom fields to a contact record that is able to be displayed on invoices
Purpose: Ability to include more information that’s unique to customers/business/industry that assist the transaction and relationship between customers
Hi everyone, we thoroughly appreciate your engagement and sharing how custom fields would be advantageous to you here.
With lots of work for 'building on beautiful' underway atm, we want to be honest that custom fields is not planned in the near term.
Some in the idea here, may find the recent addition of Notes that can be added within the Contact Details section of a contacts record useful in being able to record and view specific detail relative to a contact at present - More on this shared here
We'll continue to evaluate the viability of largely voted ideas such as this when there is resource, however this unlikely in the next 12 months.

Kelly, I truely believe that there are many lost customers who are not move in to XERO due to this issue. Like Andre Percival said on the 11 September 2023, he believes he needs to move back to QBO to get the function he needs.
I under that that the coding needs to be updated for this to happen.Then XERO just needs to prioritise this upgrade to be critical.

I have spent many hours and $$$ with my accountant trying to change over from QBO to Xero and have a meeting with my accountant tomorrow to look at our options. To be honest, sadly, I think I will have to revert to QBO until "custom fields" become and option.

Hi Kelly
I have just had clarity by talking to XERO support.
I now understand that XERO has parts of it written in older code (old technology - not quite as old as DOS but definitely not as new as Window 11).
And that some of these suggestions would be a waste of money to add now as it would be on old code. Until that section of XERO is upgraded, there is not point doing the improvement.
What would be great is to get an idea of when this section (Invoicing) will be upgraded so this suggestion can be implemented. You said not in the next 12 months. So can I expect something by 4th QRT 2024? If not, let us know when.
As an alternative concept, once the code has been updated, you could work on a SIMPLE invoicing process and an ADVANCED invoicing process (see DEAR/CIN7 core on how they manage this)
These additional custom fields need to be in the header part of the invoice (advanced invoicing). I would even consider paying for the ADVANCED INVOICING function. This would enable us to use the other beautiful functions in XERO such as automatic reminders. I am paying enormous amount for DEAR/CIN7 core to have this function which is ridiculous.

time of servicerequired Urgently! so these items do not have to be typed in manually on every single invoice. it is very time consuming and increases rate of error by having to enter information manually.
from a programming point of view, i cant see why its so difficult to add optional fields where we add custom heading and custom field to be entered. just like you have address. -

Date of service on invoices is a much needed custom addition for my business- very time consuming to have to type in an extra description line every invoice.

We would like to add a job reference number to each line on a sales invoice where there are multiple jobs shown on a sales invoice.
Alternatively, if there was an option to show tracking on the sales invoice, this could be a work round. -

I now have a new client - if Xero had the custom field on the invoice the client could use it as a date field.
But because Xero don't and Quickbooks do, the client will stay on Quickbooks. -

I have spoken to a support technician and also previously popped my comments on the Xero Product Ideas however after reading other client comments regarding the same issue it doesn't appear that Xero are really looking or considering making this change. From a users perspective, this is absolutely needed so I'm not sure why this wouldn't be made a priority.

I am very surprised to learn that Xero does not have this available. From a business point of view, when using accounting software, the date a service was provided is a critical piece of information required by our clients. We have jobs running over several days that are grouped and invoiced and need to show each individual day/date line item and expense. Previously I have used MYBO which has allowances for this. We utilise allocations software which pushes job information into Xero - the fact that Xero does not have the ability to customise available fields from that software during exporting is poor.
I would hope that this matter is attended to as a priority.

Xero has a lot of limitations, especially around displaying currency tables that we could work around if you let us add our own merge fields to use in invoice templates.

honestly can't believe after 15+ years of operation custom fields are still not even in the pipeline. For a company that touts the number of integrations it has with other systems, it seems strange to me that custom fields aren't available (or apparently even a priority) as this is fundamental to me to enable the use of unique IDs related to other systems to enable proper 2-way synchronisation.
We see more and more customers asking for specific information on their invoices, especially in big organisations that have multiple business units. They ask for things like project codes (above and beyond PO numbers), relevant project manager names to show on the invoice, etc, etc

@Maya, we have almost exactly the same situation where the work is done for XYZ company but they need it invoiced to Division A - XYZ Company.
It's so frustrating that Xero won't listen to the end users. It seems like they are just interested in providing the bare minimum and anything else they want to sell you the add-on or partner apps like Workflow Max, etc. -

@Gavin, I agree. Our accountant prefers Xero and I believe many accountants do prefer it over other software such as Quickbooks. Unfortunately it's not the accountants who are the end user/customer, it's the businesses. We're the ones who need to navigate the "front end" of the software and our needs are clearly of no concern to the folks at Xero. We have clients who need us to address their invoices to their client (ie. John Citizen c/- Client ABC). Currently the only way to do this is to set up a new client file for each job, so I have to explain to my client that this can't be done in Xero. It makes our business look bad. When we were with Quickbooks we could easily edit the contact details in each individual invoice created so it was addressed to one entity but filed under another. Not exactly rocket science. Xero couldn't give a ****. They're looking after back end users only.

@Eunice to be honest, if you're remotely happy with ZOHO, I'd just be moving there, Xero do not listen to customer requests, regardless of how many people may want a feature.
I am a director on 6 companies. 3 of which are on Xero and we are currently looking at the options to move all of them away from Xero. -

I am using ZOHO invoicing for my other company and XERO invoicing for my new company however i am unable to add custom field on invoice/quotation. would be really good if you can add this feature in if not might consider moving to ZOHO

For Invoicing allow for the addition of custom fields which can be used in Docx templates. Could just be "custom1", "custom2". I need to show two persons on my invoices - the customer and their contractor. Have used the Delivery Address "Country" field to achieve the result I needed but it is not ideal.
