Contacts - Different default email addresses for different transactions in Xero
Ability to allocate different transactions to different email addresses.
Purpose: Because it’ll make users’ workflow easier when they’re dealing with the contacts that have different departments.

Hi community, we appreciate your continued feedback on having different default email addresses for various transaction types in Xero contacts, and the manual steps involved to ensure you're communicating with the right person for different purposes.
Currently, one way of managing this in Xero would be to include every additional person on a contact record in emails, and then removing those that aren't required when sending each transaction. However we totally get this isn't the ideal solution.
While being able to set different email addresses for differing transaction types is something we want to address longer term, like the idea for multiple addresses work for this feature requires cross-collaboration between teams in order to achieve.
Once the multiple addresses feature is live this is something we'll be able to consider more closely and provide further updates on.
We do regularly review all ideas here, and your input is vital. We'll update you if anything changes. Thanks

Any company ordering parts from vendors (plumber to a warehouse) has to reach out to different parties for support. There's no excuse for not having this feature. It's just sloppy and bad priorities on Xero's part.

Guys,
If you're a large enough user to think this is important, you aren't in Xero's target market.
Small business running their business from their ute is who they want.
This will never be fixed as Xero are too busy finding new small customers and their accountants who hate the shoe box of invoices (sorry, bills) these small businesses currently dump on their desk.

Very critical to our business.

From what I can tell it's because our uses for the product are not that important to their bottom line. It's more about ensuring accountants get the necessary ease so they'll keep funnelling more leads to zero while also ensuring that they tie everything as close as possible to government body requirements for data mining.
Essentially we are the product and our needs are at best secondary.

Why is there no response from Xero? 101 votes means it is an issue.

Please can you add the option to split where the invoices are sent to and where the statements are sent to. I have a customer that uses separate emails for each.

In the settings for Included in emails be able to specify which emails. For instance you have two people who receive and approve quotes. You don't want to send quotes to the account that processes invoices. The account that processes invoices only wants invoices and the people who approved the quotes don't necessarily want to be copied in on the invoices.
I imagine this would be a tick bock for Quote, Invoice, Credit, Purchase order, Bill, next to each include in setting. -

I need to send an order to the suppliers order email address and the remittance advice to another. This is basic company set up.

The ability to send sales invoices from the AR email address and remittances through the AP email address seems like pretty basic functionality.
With all the other intuitive ability that Xero has, as a new user I am surprised that that this ability is missing. -

Xero allows a user to have multiple sent-from email addresses in the preferences, and a good follow up feature based on this is to have a dropdown menu with the different email addresses when sending invoices and statements via email. This would increase efficiency as the user would not have to change the email address from the preferences sitewide and decrease any chance of mistakes.

Some purchase contacts have requested that invoices be sent to an accounts email while statements are to be sent to a different email address, both of which are different from the person who is the actual primary contact. It would be advantageous for Xero to incorporate this to allow for the invoices and statements to be sent to the correct emails without the necessity of sending every document to the primary contact or to each other which is not required or desired.

It's quite a problem actually. At the moment, if you change the address on a contact, and re-print an OLD invoice, it shows the new address, not the one it was originally sent to. The data file which contains the invoice currently has no mechanism for storing the address/contact details.
Currently, there is only provision for storing one invoice address, and one delivery address. This is especially an issue for delivery notes, where some companies have dozens of sites (Think of a supplier to a major supermarket chain), where deliveries go to dozens of different stores, but where ALL invoices go to head office, and the invoice needs to include the delivery address. As soon as you change the delivery address to send an order to a DIFFERENT store, the invoice changes as well ! ! ! ! It's worse if you need to send a copy of an invoice with a chase letter, as the delivery addresses will have changed several times, and another copy invoice a few days later willl have changed again.
An invoice SHOULD be pretty much unchangeable, and adding extra delivery addresses should certainly not change ALL invoices on file for a customer.
This is something that is being worked on (AFAIU) but is taking an awful long time to implement.

I actually came here to look how to do it, thinking it's so basic I must be missing something, only to find out it's actually not possible to send statements/quotes to different emails. This seems like such a quick win, I bet it's being held up by their onward march into changing everything to this weird new look that nobody asked for.

Email Settings
Whilst a user can create more that one email account for sending emails and putting reply email addresses on, only one can be selected for each at any one time. We'd like the ability to have emails relating to sales invoices and customer statements being sent from one email address, whilst at the same time having a different email address active for sending supplier remittance advices etc.
At the moment, we have to remember to go to settings each time we want to send emails and check which address is active and switch it as necessary.
Because the re are multiple people working on our finances, we use generic email addresses such as creditcontrol@............ and purchasing@........... We don't want sales related emails being sent inadvertently from the purchasing@......... email address etc.

There are other ideas with much more votes (500+) from 2 years ago that are still not sorted. This will never be done, unfortunately.

Every time I send a quote it goes to the customer billing contact. Each customer has several decision makers, usually department heads, so that's who the quote is addressed to but I have to edit manually every time as the default is the billing address, and that's a PIA.
It seems such a basic need, please sort it. -

Every single comment here makes sense, having this issue sorted would definitely help our business too!

This would really assist us when sending purchase orders and remittances out, as companies want them to go to different individuals, and don't want both ... thanks.
