AU Payroll - Historical Payslip Report (bulk download)
Create a report to show all payslips for an employee for a given time period. Currently these have to be downloaded one by one.
Hey community, 👋 thanks for all your support on this idea, I’m pleased to let you know that this has been delivered for UK Payroll initially! It includes the ability to select the date range you’re interested in, and check boxes to either select all results or multiple. Then you can download your selection as a single PDF of multiple payslips.
For users in AU and NZ we know this is a highly anticipated feature, however to be open this is not any immediate plans for those teams so we’ll leave this idea open. While we appreciate it doesn’t help employers needing bulk downloads, employees can be invited into the Xero Me portal to self-serve payslip collection.

For anyone needing to upload multiple pay periods for ADMS to claim Apprenticeship rebates - my work around has been accepted by ADMS. Download a Payroll Activity Summary for the individual employee for the period in question (ie 01 Jan - 31 Mar 2023) and a Payroll Activity Detail for the same. In Adobe, you can combine the two files and reorganise the pages so the summary is the first (and second page) followed by the detail pages. Attached the combined file to your claim. I did 12 claims in an hour and they have all been approved. Just make sure all the pages have your legal name, trading name and ABN.

This is actually such a crucial need that it's creating questions on whether or not Xero is actually the best accounting platform for us.
It's unfathomable that this isn't a readily available feature as it's so OBVIOUSLY needed for work cover, worksafe etc.
The fact this has been requested for this long and still isn't available is an indication of Xero's willingness to listen to their customers. Every other platform has this because it's a crucial, neccesity, very basic function. Why bother making what's there "prettier" when what's there doesn't even cover basic functions. -

Need this immediately. Absurd this hasn't been added yet.

This requirement is not needed at an employee self-serve level. It is common for employers need to be able to export long periods of payslips for Workers comp reporting. We often get asked to assist clients with this due to how cumbersome it is and clients are often surprised Xero do not have a solution for it.

The fastest way to do it ... which is still not fast enough ... is to go into the employee, go to their payslip tab and download each payslip. Then grab them all from the download file and drag to your email. GRRRRRR. Your pushing shite uphill if you expect anything more from the "Building on Beautiful" team. Their too busy rolling it in glitter.

Not sure if this helps anyone else. But I just followed the advice from a previous commenter on a different thread:
There is a work-around: go to Reports / Payroll / Payroll Activity Details. Specify individual employee and time period. You will get a list of payment summaries by pay-date, which will work as the payslips necessary for Work Cover etc.
I've submitted this to Workcover. Will report back here if it's not accepted. But hoping this works for our requirements (insert fingers crossed emoji).

Carly, you must understand that with their current customer base, Xero have only $100 millon per month to spend. Once they have covered sales and admin personnel, and executive salaries, there is little or nothing left to spend on things like maintaining or upgrading their product. And as Ethan has pointed out, for the tiny development team, 'Building on Beautiful' trumps functionality, and there is no resource at all left to listen to customers. Just let them talk away to each other on the forums. As you can see from the long history of this request, you're shouting into the wind here. Plug away at the downloads - you'll get there eventually!

We need to supply the government worksafe organisation with 12 months worth of payslips or exacting pay data for an employee that was injured at work. We need this feature immediately.
I thought it was just my novice standard that meant I couldn't figure out how to pull such a report from Xero. I assumed surely there was a standard report to provide this info - only to come here and find YEARS worth of people begging for this same thing.
For a small business we're paying the high price for your premium monthly fee and yet missing necessary features like employee payroll data broken down by pay cycle. Totals of pay items etc included in your existing payroll reports are useless to me when a government statutory organisation is demanding I supply 12 months worth of payslip data for an individual employee in 48 hours.
Please prioritise this immediately to ensure customers like us can fulfil our legislative requirements for things like WorkCover.

This doesn't help the Employer, surely you can do this, as other people have said half the information is already there!! Why is Xero so far behind all the other accounting packages!!
-
Jenny Vichie commented
This is correct. We need to be able to provide them to claim incentives etc. This is an accounting package not artwork. I would prefer functional.

Totally agree with everyone's comments on Xero's response. But can I just ask... what if the employee doesn't have internet access and receives paper payslips week by week, destroys them after a few months, and then asks for copies? This brings us firmly back to having this feature! Surely Xero being a global entity has the resource to put this function on? If not... why not???!

Seriously? Have any of you peeps worked in small business? If a business has to provide data for a an audit, how is it going to help that an employee can access this info if one needs to download payslips for employees for several years. Do you expect the bookkeeper/accountant to communicate with each employee and show them how to do it and then email them in. What a joke. It's a simple report that is a slight modification of existing reports. Love your Beautiful Xero, but you need to look after basic functionality first!

Xero, could we please focus on "Building on BASICS" rather than "Building on Beautiful". No one cares about beautiful when they're downloading hundreds of payslips. The data is already there, it's just a report. Please listen to the feedback of your clients. I know what would happen if I continued to ignore mine.

This is so disappointing; you are completely missing the point.
Perhaps the Xero Team need to spend some time in a busy payroll department to get a better understanding of how time consuming and frustrating this process is.

Thoroughly outraged by this announcement. Please re-think and fgs re-read the request/idea. EMPLOYERS need to download bulk payslips, you have 95% of the report already made with your Payroll Activity Detailed download, add a few details to that report and we'd be set. this pushback over a BASIC, STANDARD, EVERYONE ELSE HAS IT, FEATURE is ridiculous and unprofessional. Executive decision on this one [considering we have over 3500 payslips to download] is to move away from Xero permanently. Going into meetings regarding such next week. 100% disappointing Xero. We played your game, followed your process, you have HUNDREDS of employers your CUSTOMERS screaming for this report that you're halfway there with and you refuse to throw up the rest of the details into an already existing report. Ridiculous.

Self Serve is fine if one employee wants a few of their own payslips, however any business having to provide bulk payslips to a third party finds the lack of flexibility on your part to be a sticking point. While I appreciate that "Building on Beautiful" is a priority for your company now, by not addressing this issue it is possible you will be faced with a potential client exodus. I understand you cannot be all things to everyone, but his issue will not go away and needs attention.

Thank you for the update, however the employee being able to download their payslips is irrelevant.
It is the employer that has to download all payslips each quarter, and submit for each apprentice. It cant come from or be lodged by employee. -
Emma Trebilco commented
You've missed the point of this functionality being essential to small businesses - especially with apprentice rebates - the employer is required to submit theses details, not the employee.
I have a client with over 20 apprentices and quarterly claims to be submitted. This equates to - at a minimum - 20*14 = 280 payslips that i have to manually download every quarter.Your 'Building on Beautiful' has not enhanced the functionality of this platform - instead it has made it less functional, tabbing through data input areas and dropdown menus (ie. contacts, employees) now requires you to click the mouse on most field and dropdowns. This is not an improvement or an efficiency.

Janet McCulloch commented
Hi Ethan and Xero
I think you've misunderstood the problem.
Employers need a report of payslips covering the full quarter (usually) as they have to provide this to ADMS to claim Apprenticeship rebates.
Downloading payslips one by one is a huge waste of time, especially knowing that MYOB and Quickbooks/Keypay can do this in one step.
Employees cannot do this for themselves. Xero Me is not a solution.
Please reconsider.

It is very time consuming to have to download payslips one by one especially when clients need them for large periods of time for instances such as workers compensation claims. A bulk report is possible in other payroll programs and seems such a logical option for xero to include. Very suprised it is not an option already with xero!
