I'd like to add my voice to those asking for the option to limit expense approval rights to named expense submitters (with notifications to match).
Really important for control in any organisation with more than about 10 people.

We agree with the idea shared by Perry Cox and others. We're in the same boat with our finance team approving ALL employee expenses. While we can check for accuracy and ensure proper backup attached etc. we can't approve whether or not the expense was ok to incur in the first place - ie was it within budget or approved by supervisor etc. Having the ability to have supervisors have an approval role for their team members' expense claims ONLY would be really helpful. It would be great if employees could be assigned to their supervisor within Xero - and then the supervisor given the ability to approve the expense. There could be a separate tab that says - Approved by Supervisor. This is a standard internal control that auditors look for and it would be so helpful if we could have it within Xero. Gone are the days of signing paper expense claims! This is a critical feature that we hope to see soon!

Too little too late. We have had Xero for years now. We had to go out year one and add approval software to link with Xero and for Expenses we had to go with an entirely different system that came with its own payments and approvals.

Business critical as at the moment one can approve own expenses. Our company really enjoys Xero and Xero me but we will need to look for an alternative expense system in the near future if specifying approver is not added.

Our Organisation is also in the situation where we require approvers to only be approving those expenses within their team. It is not good that every approver can see everyone's claims. This is critical.

I agree with all the previous comments - this is very important! As we increase the number of employees who submit expenses via Xero, we need to be able for managers to approve their own reports only, not have to wade through a load of expenses looking for their staff!

When people are inputting mileage from home they are sharing their home postcode in the description of the journey, that can be visible to all without even clicking on it - therefore not GDPR compliant. Being only visible for the line manager who was allocated to approve them would resolve this, plus make it easier to work through the list of those needing to be checked without having to constantly re-filter the page each time you click into an expense to check it and want to return to the next expense that staff member has inputted.

Current set up means approvers are less likely to actually check the expenses have been input correctly and just click the 'approve' button from that list - causing more issues down the road when staff have allocated to the wrong account or project etc, which can't be seen without clicking onto each expense.

Honestly cant believe Xero haven't actioned this already. Might be to consider a different platform.

This idea was submitted 2 and a half years ago. I found another one posted as far back as 2021. Useless.

Yet another reason to move away from Xero - they really are stacking up!

Do Xero even read these comments/feedback. This is a basic functionality of a good expense system.
Can Xero reply if they are even considering this?

I also request this is implemented ASAP, such that users can approve their own expenses, but not other user's expenses.

If Xero is able to allow the selection of approver for leave requests and timesheets, I would think it isn't too hard to also allow the selection of approver for Expenses. I would think Xero would prioritise this given Xero charges for the use of it.

Any update on this from Xero?

A question that is continually being asked by clients , not only for expenses but POs and invoicing too. This suggestion was posted in 2022 and we have no updates on this...larger companies will go elsewhere.

At the moment, all approvers are getting notifications for everyone. Great functionality to submit expenses and XeroMe but we need to be able to send to an approver. Part of the expenses monthly fee?

Hi. I would like to support the comments / needs raised below re an approval matrix in Xero. Is there any update on this? Approval Max does not work with Xero expenses (Xero have not shared the API). So we need a Xero solution. Thank you.

urgent issue and will determine whether we get onto the Xero expense platform or not

Please this is critical to maintain system control of users, especially for reimbursee expenses. Hope to see this function being implemented soon.
