    Thanks for all your feedback here, everyone. The way you add description only lines in new invoicing is a little different to classic and we wanted to explain in hopes it'll help with how you're using new invoicing. 
    When entering a description only line, you can enter text in the description field of the line. If you add detail to any other field the line will be treated as a 'financial' line and you will need to include Qty, Unit price, Account and Tax rate.
    When an inventory item is added this uses the item code field and the line is treated as 'financial', so it's not possible to use inventory items as description only lines in new invoicing atm.

  2. Please move the SAVE for the New invoicing to the bottom as per old invoicing. When you have an invoice with 30-50 items and then have to scroll back up to save it adds to the pressure of getting things done.

    Leave the old there until you've got it together and your Paid subscribers are happy.

    Hi team, while we don't have immediate plans to change the placement of buttons on new invoicing we're interested in staying close to this feedback and I'll move the idea to Under review for the time being. We'll return to confirm any outcomes. 

  3. In the "classic invoicing" interface an alert is displayed at the bottom of approved invoices when the contact being invoiced has existing credit that can potentially be applied to the new invoice. This is a very important feature and strangely it's missing from the new invoicing interface. With the "classic invoicing" now being officially retired this basic feature must definitely carry over to the new invoicing interface.

    Without this alert, every time we create an invoice we would need to manually check if the contact has previous credit with us, which makes the process unnecessarily inefficient and unpleasant.

    Hi community, we appreciate all the feedback you've shared on how we can improve new invoicing for your needs.

    In relation to the alert of available credit as raised in this idea, we've identified there are a few situations for Invoice only users where the available credit pop up isn't being shown. This is something we have plans to fix, and while I can't give a specific date on the idea here, we want you to know this is important to us and I'll keep you updated on progress here.

  5. When a selecting the new invoicing platform, you lose certain functions.
    The first function that has been lost is the ability to copy invoice data to a purchase order - this feature needs to added to the new platform as some business use this to purchase items that have been sold from a supplier and makes sure there are no errors.
    The second function is when invoicing from Project the time entered for that project is no longer being allocated to an invoice and showing in the project as not invoiced, this will cause doubling up on billing.

    Hi everyone, we appreciate your continued input and feedback on this feature here. Being able to copy to purchase orders and bills is something our team are monitoring feedback of closely and very much across the this idea, however there are a few other priority pieces of work that are currently of focus.

    Right now, it is still possible to copy an invoice to a purchase order or bill from the list views(Draft, Awaiting approval, Awaiting Payment or Paid tabs). You'll find you can select the invoice/s and click 'Copy to...' - You can find out more detail and ways of doing things within new invoicing through our guide on Xero Central.

    We'll keep you in the know here of any progress or updates for this feature.

  6. Thank you for delivering to keep the existing contact when copying an invoice. Now when you email the invoice the email address is not populated from the contact file. You have to go and look it up to send the copied invoice.

    Please refer to the contact details and pre-populate their contact email addresses.

    Sorry Lynne, It's a bit hard to troubleshoot and get the detail to understand why your contacts details like email aren't coming through to your copied invoice. I've just tested this with Draft and approved invoices being copied and the email of the contact was bought through each time as expected. I'd recommend raising this with our specialist through the Contact Xero Support option in Xero Central for closer inspection.


    Thanks for also checking on this, Olga - that message on defaults application is related to the Sales defaults saved against inventory items or the contacts record but doesn't apply to the contacts personal details. These should be applied when copying an invoice.

    To explain a little more - The reason defaults aren't automatically applied is because the line item fields will be prefilled with the information from the existing invoice that the new one is copied from.

  7. Give sales invoices the ability to create self-billing contractor bills - the same as billable expenses but for the the sales side, rather than the purchase side. I produce high vol royalties where the suppliers(producers) do not physically bill, but we need to raise the charges directly in line with the sales received. Massively labour intensive and could be fixed with this function.

    Hi everyone, to give a bit more detail from our status update a few months ago - The ability to copy to a bill is a feature that the team will be building into the new invoicing experience. They have a few items on their agenda and I want to be open that this is not planned to be delivered until after the sunset of classic invoicing. 

    For the time being, you'll find you can still copy to a new invoice, quote, purchase order or bill from the invoices list view. 

    You can get a bit more of an understanding of what's coming from our Xero central page. When there's more news on copy to a bill I'll share this, here.

    Hi community, our product team have started exploring some improvements in inventory in Xero with the ability to bulk update the sales price of inventory items by a percentage being one they've set their eyes on!

  9. Scenario - Multiple projects open. If materials are purchased at eg a builders merchants for mutliple projects on one invoice/receipt, it's not possible to allocate the spend to individual projects which is madness. It seems that the total invoice/receipt must be assigned to ONE particular project. When materials are bought, it's often far cheaper to buy them in bulk, hence buying for more than one project at the same time. It should be possible to therefore assign individual lines on the invoice to a particular project (a bit like tracking).

    Hi Clare, if you're adding an expense from within a project, it's expected that the expense you're creating is related to the Project you're in. You could create a Bill within the Bills to pay area where you can assign individual lines of your bill to different Projects. 

  10. To have an option to set up e-mail notifications to receive a report when an invoice payable becomes due

  11. As an event company, we often receive bills months after the original project is "complete". I wish I could assign costs to "complete" projects the same way that I can assign invoices to "complete" projects.

    Hi Leah, when you've closed/completed a project it is still possible to add Bills and new Expense tasks to it. 

    From the bill you'll be able to look up and assign lines of your Bill, or within the project you can simply add an expense. The only transactions you can no longer add once closed are Billable expenses, Spend monies and time entries. 

    Is there a specific reason you need to enter the expense as one of these type of items?

  13. Suggest being able to turn a bill to pay directly into a prepayment or better yet a part prepayment.

    The Bills to Pay function doesn't work well (at all?) for prepayments - if a draft bill is received there is no workflow to set it as a prepayment recognised by Xero (although you can set the account to debit as a prepayment). Suggest adding "Record as prepayment" to the bill options drop down.

    Even better would be the functionality to record the bill as a part prepayment, many of our bills are for annual service delivery, therefore the bill will…

    Hi Matthew and Anthony, appreciate perhaps not as streamlined as you'd like here there is the ability to apply a prepayment to a bill. 

    In Xero, you would enter the bill to recognise the expense, payment itself would generally be recognised through the bank account when reconciling which is where you can create a prepayment and then apply the credit to the bill.

    Alternatively, if you'd like to do this from the bills screen, you could use the create icon (+) in the top blue navigation and select Spend Money when redirected you'll want to switch the 'Spent as' to Prepayment from Direct Payment. 

  14. Ability to allow negative stock in Xero.

    Purpose: Users that take orders and receive payments from their contacts before placing inventory can easily do it in Xero.

    Hi everyone, we appreciate the restrictive nature of inventory(Products and Services) atm, and our product team have plans to explore adding capability to cater for negative inventory or back order of stock recorded in Xero. 

    While they have a few other priorities to get through first we'll move this idea to Under review and return to share more when this work picks up.

  15. To have a column of back orders/negative items within the Sales Invoices.

    Purpose: Users can easily enter back ordered items rather than doing extra steps of adding 1 more item in their inventory.

    Hi team, we know some of our customers find using inventory(Products and Services) in Xero a little restrictive atm. Related to the idea here - Exploring the ability to record negative inventory, or back order of stock in Xero is in our product teams plans. They have a bits of work to get through first, but we'll shift this idea to Under review and keep you updated when this progresses.

  17. See Inventory Item Cost when doing a Quote. I would find it helpful, when doing a quote to a customer, to see the cost of the inventory item I am quoting on. Of course, it should not appear in the final quote going to the client, but seeing it, would give me more confidence in doing my quote and make it a lot quicker. Thanks

  18. When viewing a Contact's record, the activity can appear cluttered with every single change made, including adding planned payment dates, removing planned payment dates, adding invoice notes, editing the contact's record etc.
    It would be good to be able to filter this page to look at say Bills Paid and Invoices Paid only; or Invoice Sent only.
    As it works now, for a very active contact, this can quickly become difficult to navigate.

    Thanks for your feedback and sharing your idea in the forums here, Jo - As part of our work for 'building on beautiful' a contact record is the next page in this space that'll be getting a new look. 

    Though a little too soon to confirm what it will look like, I can say that the page will be cleaner, with filters to help with viewing what is shown on the page.

  19. When I reconcile a transaction in my bank account I can enter a "Why". I.e. Gas for Youth Hostel. So when I have multiple transactions to the same customer, under the same Chart of Account I can differentiate them.

    However, this data entry can not be pulled into a report. This is really hampering my ability to differentiate my transactions.

    Hi Stephen, is there a specific report you've been running to try include this data? 

    When creating a transaction during bank rec, the 'why' is saved as the description of the transaction. You should be able to  run the Account Transactions report to view this detail in the Account you've coded payment too. Let me know how you get on. 🙂

Currently there is no easy way to review the on/off status of invoice reminders for Customer unless they have an outstanding balance, and even then this is only on screen and not exportable, so either a way to filter the Customer list for those which have invoice reminders turned off, or just a report that can be run with a column for the reminders status (on/off and number of reminder sent) would be useful for better credit control review.
