  1. Please add the ability to be able to add a page break from the 'insert content' drop down in draft reports, rather than having to go into 'edit layout to do this.

    Currently the only option on this 'insert content' drop down is to 'add text block'

    Appreciate you raising this with us, Natascha. Being completely open, having checked in with our product team while it might be something we revisit further down the track, we don't have any plans for enabling adding of page breaks from the Insert Content drop down in the near term. We'll shift the status to Not planned so others seeing can also understand.

  2. Customer Statements - Would be good if customer statements could include a prepayment balance somewhere on the statement. My client receives a lot of prepayments and would like customers to be able to see at a glance their remaining credit.

    Hi team, wanting to jump in to provide a little clarity as there are 2 different points arising through this idea.

    Currently, customer prepayments will only be shown on a customer's Activity statement, not Outstanding statements.

    The way prepayments work in Xero, these only impact the Accounts receivable once it's applied to an invoice, therefore they don't impact the total of the statement balance.

    If you want to impact the total balance, you may want to consider entering these sort of payments as Overpayments in your account. You can read more on how this works in our Xero central article.

    To be open here, we don't have any short term plans for changing how these transaction types are treated in statements.

  3. Please can you add a fix so that you can amend someone's regular earnings with the same start date if that pay-run hasn't yet been run.

    You used to be able to do this, but recently you cant make a correction - instead you have to put the correct data on the next available date. This creates a second line on the payslip - which looks messy and clearly displays the fact you've made an error. Not something I'd choose to share.

    Hi Georgina, the salary line will only lock once it's been included in a pay run. Is it possible there is a pay run in draft? If so, you'd need to delete the draft pay run in order to edit the salary line.

    If you're having any issues with this we'd recommend raising a case through Xero Central where our specialists can investigate this with you.

  6. Unable to add credit note to an existing invoice in the new system.

    You can choose from the click down box - Create and Apply credit -
    - the next screen is the credit note with all the details from the invoice, But .. it doesn't add the name of the company/person to credit note
    - when you click on approve it can't save it as there is no name.
    - I can't see where you can add the name.

    You have to create a new credit note, and manually transfer the details over from the invoice to the new…

    Thanks for sharing with us here, community. While your idea has been reviewed by our product team we want to be open that we will not develop the ability to delete old pay runs. Instead, there is the mark as inactive option.


    We have rolled out new functionality in NZ payroll for timesheets, and while inactive ones are in the list, these are grouped together at the bottom, meaning you don't have to scroll through them, but can still view any old timesheets linked to that calendar.

  8. Invoices have a Date field with the temporal resolution of YYYY-MM-DD (despite there being numeric values to support time as well).
    This field shows the date that the invoice is created. It would be wonderful if the invoices had a time field, with the timestamp that the invoice was created.
    Fundamentally, this is extremely similar to UpdatedDateUTC.

  9. When we receive an email from Approval Max stating that someone has rejected a bill, it has a link to the bill in Xero. When you open the link, there's no way to edit/amend the invoice from this screen.

    Please add an edit button.

    Currently, from this screen, to edit the invoice, we need to go to:
    Bills To Pay > Drafts > search for the invoice > then edit it

    Too many additional steps to edit the invoice, it should be easy from that first link.

    Hi Kelly, thanks for the screenshots. Seeing as this email is sent by ApprovalMax we'd recommend connecting with their support to see if this is something they can change or would consider extending their integration for. Many of our app partners designed and built their integrations with Xero themselves and are best placed to confirm how this works and make changes to it.

    Hi Aaron, spam filters are determined and set by your email provider. We recommend sharing this article with any of your hotmail recipients that are finding that their invoices are being directed to spam folders. They will be able to update their email settings to add @xero.com and @post.xero.com to their email safe senders list to ensure these get through.

  11. It would be great if we could add ageing on client/customer statements. (Current, 30, 60, 90 days) Many clients have requested that the ageing be displayed on their statements. Current, overdue and total isn't detailed enough..

    Hi everybody, coming across from the previous forums we know this idea has a lot of interest.

    There is a way of using Xero's reports to accomplish what you're asking here and save the format so you can easily access and send this report to your customers outside of Xero.

    Running the Aged Receivables detail report you can choose how many ageing periods you'd like to show and set the period to '30 days'. Simply Filter the report by Contact and Update to run.

    • Once you've got it set up, save as Custom so you can easily access this format anytime
    • If you deal with groups of contacts this also means you could Filter for multiple contacts to combine the view into one report rather than multiple customer statements 🙂
    • Export the report to PDF, where you can send to customers from your email system outside of Xero

  12. Have two codes - one for rental income & one for rental expenses.
    When reconciling bank transactions to these codes, have the ability to allocate them to a property.
    Have a feature where you can view the outstanding transactions for each property and select the transactions to go on the statement to the client for that month.
    Auto generate the management fee for the month based on pre-selected criteria for that property - either % or fixed amount.
    Auto generate a bill from this statement for the money that needs to be paid to the landlord.

    Thanks for sharing and your interest in the idea here. Being open this isn't a feature we have any plans of implementing in the near term.

    However, some of what's been described here can be achieved using Tracking. For example, you could create accounts in your Chart of Accounts for Rental Income and Rental Expenses. You'd then use a Tracking category for your Properties, listing each property as a separate option within that category.

    Alternatively, if you're after more specific tools for managing properties we'd recommend looking into apps that can integrate with Xero and offer more services that could suit your business.

  13. New invoicing version makes me tick 'Include files as attachments' for every invoice I send off, whereas the old invoicing remembered my defaults. I prefer the old way where my preferences were saved.

    New invoicing also cannot preview attachments, it always has to open a new tab to view an attachment. Old invoicing I could preview an attachment on a pop up within the same browser tab. I prefer just viewing the attachment quick within the same screen, I personally don't like having another tab that needs closing.

    Sorry we've note responded to your idea here sooner, John. We don't typically build integrations with other applications ourselves. Instead we have a developer centre where interested parties can come to get information and collaborate if they are interested in integrating with Xero. If not already I'd recommend seeing if this is something Property tree would be interested in developing from their end. You can share our developer platform here.

  15. We chose xero because it was competitively priced and had all the features that we required as a small business. We trade in EUR and GBP so have to take the professional product. 2 years ago it cost us 39.60 GBP per month. In September it will cost us 43% and include a range of swanky features we have no intention of using. How about including in your product range the 'xero 22' - a stable product that worked great for so many people. The alternative is an unrecognisable product with equally mystifying price tag.

  16. I recently commented about the new invoicing not showing credit notes available, what I didn't realise that this was only for Repeating Invoices, not standard generated invoices which do infact show the credit available.

    Some of our regular clients like to prepay so there are often credits to use. Upon approving a repeating invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new repeating invoicing to indicate there is a credit available you have to go and manually check. As well as not…

    Hi Claire, I've tried replicating your scenario here using both a newly created and an existing repeating template. 

    In both cases when I open an invoice that has been generated from the template and credit is available I can see an option on the invoice to Apply credit (as shown in my image) 

    Could you please raise a case on this with our Xero support team on Xero Central. They have tools to be able to look into this deeper and confirm what's going on and why credit is not appearing for application in your invoices.

Some bank feeds have transaction details where the bank uses a debit card reference or DF reference in the PAYEE, the reference will contain the actual PAYEE name, for example the PAYEE field will have 1234-XXXX-XXXX-1234 or 123456789DF and the reference will show the actual PAYEE. Can Xero replace the PAYEE name with the actual PAYEE if it sees the above numbers. Too many clients are not replacing the numbered PAYEE and trying to recognise the PAYEE is proving time consuming as clients are not recording the PAYEE with the correct details

    Hi Bip, mapping of details from your bank statement to fields in Xero are dependent on your bank institution and feed. A change in this regard is a change for all users with that same type of bank account feed and I want to be open that this isn't something that can be changed on an individual basis.

  18. There are so many disadvantages to the new invoicing. All my points have been covered in previous ideas so have voted for them. This note is to add my frustrations to everyone else's on this supposed "faster" way to invoice.

    I have even had a customer say the GST was wrong and had to revert to the classic invoicing to fix then return to the new version.

    This whole new version is not my favourite and I will be recommended to my clients to consider other software if these Xero "improvements" continue to disappoint. There are other improvements that disappoint…

  19. New invoicing has to go, it is aboslute rubbish and does not work, The new reporting si so bad and hard to work along with the latest change I will likely leave. And no one at xero wants to talk to you, and one reply i saw was basically gaslighting every one into a tough ti..ies it is changing. keep old invoices, and work on weaknesses like inventory for small businesses.

    Sorry to hear you're not liking some of our changes in Xero, Fiona. I've made sure to share your feedback here with the team but want to be honest that we will be retiring classic invoicing in September and we will move the idea here to not planned. However, that said we are committed to continuing to build on new invoicing. 

    I understand you've seen some of our responses elsewhere and as you may have seen some of the ideas on the site that relate to changes that you'd like to see I encourage you add your vote and join these for any updates. If there's not an existing idea for a particular change you'd like to see please do add it, our product team are taking on board all feedback we're receiving on this. 

  20. The Xero API will let you send an invoice by email - https://developer.xero.com/documentation/api/accounting/invoices/#emailing-an-invoice

    There is no equivalent functionality for Quotes, each needs to be send manually. This endpoint should be added in as well.
