Customer Statements - Option to remove links to invoices
Have the option to remove links to invoices on Customer Statements
154 votesHi everyone, thanks for your interests and sharing on the idea here. Being totally open, we don't have plans in the near term for any change that'd solve for the idea here. This may be something we consider down the line and will keep the idea here open to continue monitoring.
For the time being, we wanted to share a way you can remove links from the customer statement using a custom branding theme that you'd apply when sending a statement.
Once the new branding theme is created, you can select it when printing or sending the customer statement, and the invoice link will be removed.

Inventory - Checkbox to include/exclude from customer's Discount %
It would be great to apply the Customers general discount (as set on their Contact Card) to only specified product items, not all product items. e.g. I don't want the Customers discount applied to say my Freight or Labour product items, but I do want to apply it to other products items we are selling.
I would envisage a Tick Box on each Product card that we can tick, or untick, for the Customers Discount to be applied to it (by default it would be ticked to apply the Customers Discount).

I want to be open that we don't have planned changes for adding a discount option within Inventory items themselves atm but we will continue to watch the trend in this idea and share if there is any change.

Inventory - Add a Description column or preview to the Products and Services list
The option to view the product descriptions when in the Product and Services list should already be a feature.
Many of our products have an abbreviated item name, with the description containing the expanded product information. Opening individual products to view the description takes a significant amount of time as we have over 1,500 items.
It is also the product description, not the product item name, that appears on invoices to customers, so it only makes sense to be able to view the descriptions from the P&S list.

Bank Reconciliation - Suggest matches for total of multiple transactions for the same Contact
In the bank feed, recognise transactions that cover a supplier or customers total balance, or multiple bills/invoices paid together rather than only suggesting matches for 1 invoice/bill.

AU Payroll - Display name as standard across payslips/timesheets etc.
Currently the display name for payroll items doesn't extend to timesheets. So the employee sees the rate name. Really an employee should only see the display name and the rate name should be for/staff/admin/advisors. I would like to enter the default rate in the rate name as there is also no prompt in the employee file if you choose to use earnings rate to see what the rate is. You need to go back to payroll setting to check which is inefficient.

Tracking - Sub-category under options
Can we please add the ability to set up a sub-category under category options?
For instance, we have already tracking categories by store locations (i.e. Loc 1, Loc 2, Loc 3). However, we need to have a sub-category per Deputy's area (i.e. FOH, BOH) under the store locations.
Category option: Loc 1 (Store Location)
Sub-category option: FOH, BOH (Area)If we could set up a sub-category under tracking options, that would be great. Thank you!

Lock Dates - Option for an auto lock date every month
The ability to have a set lock date EACH month. For example, every month by the 5th the prior month is locked for users other than the advisers. Currently you can manually do this, IF you remember.
My issues is, if I do not remember the accounting clerk will go back multiple months creating entries and causing issues.

Purchase orders - Online view with option to convert to Quote
Purchase Orders - ability for the suppliers that you send the Purchase Order, to view the document online and have the option to import the Purchase Order to Quotes and Sales Invoices.
The Purchase order area of Xero feels a bit underdeveloped at the moment. However, one strong step would be to allow Purchase orders sent by Company A from their Xero account to be transferred to Company B's Xero Sales area at the click of a button (giving an option of Quote or direct to sales invoice).
This is already set up on the Sale side, where Company A sends an Sales invoice to Company B and Company B can add it to their draft bills directly. Creating a similar flow from Purchase Order to Sales Invoice/Quote would be a logical step.

An online view of purchase orders, along with the ability for suppliers to convert those into a quote or invoice in Xero, would help make this a much smoother experience for everyone involved.
At the moment in Xero, purchase orders can be converted into bills, which you can then send to suppliers, and quotes can be converted into invoices to be sent to customers. However, there isn’t a way for suppliers to view a purchase order online and import it into their organisation as a Quote.
This idea is currently in the Gaining Support phase, so we’re keeping a close eye on feedback and interest from the community. We’ll continue to update this thread as things progress.

Contact - Font color
If we cannot put a warning against the bad payers, surely it cannot be that hard to be able to change the customers business names into another color (Red) So when you search or create a new invoice, alarm bells will ring and hopefully avoid more loss
7 votesHi Todd, have you seen credit limits? These will allow you to set a limit to how much spending a customer can make with your business. When they reach that limit you can also choose whether to restrict invoicing for that customer. This may help with the scenario you're noting here.

UK Payroll - Show forecasted leave balances
Show forecasted leave balances to allow for planning of Christmas Shut Down periods
94 votesHi everyone, we really appreciate the sentiment and engagement on the idea of being able to forecast leave balances.
We know this feature could make planning ahead and managing leave approvals much easier, but at this stage it’s not something we’re planning to develop in the near term, so we’ll be moving it to 'Not in pipeline'.
We’ll continue to keep an eye on how this idea trends in the community and will leave it open for voting. If our plans change, we’ll share an update here.

Reporting | Add multiple FY'S as common date selections

On financial reports. Instead of last financial year of this financial year wouldn’t it be better to have the years as the selection ie 2024/25 2023/24 2022/23. it will be much quicker to select the year especially is going back further than the current year.3 votesThanks for sharing here, Kerri. I know it's a little different to what you're directly asking here, but perhaps comparison columns and saving as custom could help where you can run the report for multiple date ranges at once and view the comparison across each?

Reports - Quotes track invoicing
Have a Report that shows all Quotes that have been accepted, but not invoiced. That shows any part invoices that have been raised. We frequently invoice a % upfront, % mid project and then % at the end.

Bill import - Allow default Supplier settings to apply to CSV imported bills
Example we explain here is a 4 line Purchase Order in CSV format which, using the Bills To Pay Template, we are importing in my test Xero platform.
Each line in the PO use a different Account Code from our Chart of Accounts.In brief, if we leave any of the Account Code fields empty the system does not seem to want to import the Supplier Contacts Purchasing Default Account settings.
I have tried all versions of this import and the only one I can get to work is one where all the fields are completed.
This means we have to code every part in our MRP with a Supplier Purchasing Account Code.
This to us is around 2,000 lines of purchased parts.However when I import Customer Invoice Data, if the Account Code Field is left blank, the system automatically pulls the default Account Code in for me.
Question ? why will it not do it for Suppliers ?See Harry's reply below.

You're correct that there is a difference in behaviour between importing customer invoices and supplier bills when it comes to default account codes. This is a known limitation in Xero's import functionality for bills. Here's what's happening:
Customer Invoices: When importing customer invoices, if the Account Code field is left blank, Xero will indeed use the default sales account specified in the customer's contact settings.
Supplier Bills: Unfortunately, when importing supplier bills, Xero does not automatically apply the default purchase account specified in the supplier's contact settings if the Account Code field is left blank.
This discrepancy is not ideal, and I apologize for any inconvenience it may cause. To work around this limitation, you have a few options:
Complete all fields: As you've discovered, filling in all fields, including the Account Code, allows for successful imports.
Use a placeholder: You could use a placeholder account code in your CSV for all lines where you want the supplier's default to apply. Then, after import, you can bulk edit these transactions to apply the correct account codes.
Consider using the Xero API: If you're importing large volumes of data regularly, you might want to explore using Xero's API, which offers more flexibility in handling default values.
Provide feedback to Xero: I encourage you to submit this as a feature request to Xero. They value user feedback and use it to prioritize improvements to the platform.
I understand this isn't the ideal solution you were hoping for, but I hope these workarounds can help you manage your imports more efficiently. If you need any further clarification or assistance with implementing these suggestions, please don't hesitate to ask.

I understand what you have said and how the system differs between Customer Invoices - Suppliers Bills To Pay.

Now you have explained it , it makes sense.
To keep this message short, we are working with our MRP software supplier to build a customer API from their system into Xero. When we export data we can fully code the export / import file so it loads the right Account Code for the parts.
In our MRP - Purchase Order Export File we will only ever use 6 - 8 codes at a max.
I have attached our Chart of Accounts highlighted with our codes that we want to use in the import / export process.

Multicurrency - Support cryptocurrency directly, or have cheaper crypto apps
Please investigate cheaper crypto aggregation services than the ones available currently in your apps section. Currently (Aug 2025) all the ones there are for enterprise, or businesses that trade a LOT in crypto. And the prices are ludicrous for those of us with small amounts of crypto assets.
Maybe get the IRD to fund your research and development of this kind of thing, because it will make proper tax reconciliation possible, and their investment will pay dividends.
As an example, ZenLedger (https://zenledger.io/) lets us integrate all this information. It still costs a yearly fee (per tax year) but its orders of magnitude less than any of the others in the current Xero apps list.
An even better solution would be to provide native support inside Xero for importing crypto transactions. Now, I expect there would come a point where its too complicated, and an external service may be needed. Thats fine, because I would expect by that point, there would be sufficient need for that service.
But MANY people would only need pretty limited numbers of transactions per year.
Downloading our transactions via our Public Address is done by any of these services. So it would be a trivial task for Xero to do that.

Xero App Store - Add a link to each app's website
When we go to the apps directory, and click on an app we are interested, they are usually associated with an external company. For instance, Crypto websites that consolidate our crypto transactions, then can be imported into Xero.
But when I go to the information pages about the apps, there is no link I can find to the actual website of the company. There are usually links to support, or social media.
Please go one step further and just put in the official website.
The reason for this is because sometimes we are researching what services actually connect with Xero so we can use that, rather than start using something that doesn't connect.

Batch Payments - Keep multiple payments to the same payee as separate lines
Currently when creating batch payment files, multiple bills to the same payee are combined into a single line with only one set of bank payment details (although they appear separate on the batch payment screen in Xero).
Sometimes different bank reference details are needed for each payment, and sending the details in a remittance advice is inappropriate - it would be helpful if the lines could remain separate rather than combined so that unique bank reference details could be added against each line for the same payee

Projects - Description field when adding an Expense
It would be useful if when manually adding an expense to a project, there could be a description box available as well as entering the expense name. We sometimes need to elaborate on those costs for the numerous people looking at that expense but there is no-where to put this information unless it's added to the expense name.

Right now, the only place to add detail when recording an expense in a project is the Expense Name field, which is limited to 100 characters. You can consider this as a workaround to include a short description with the title— but we know that it’s not an ideal solution when you need to provide more context or add a professional level of detail.
This idea is now in the Gaining Support stage. If you’ve found creative ways to work around this or have thoughts on what a proper description field should include, we’d love to hear them. The more insight we get from real workflows, the more helpful it is in shaping future updates.

Invoicing - Increase the Font Size
Rows on invoices - On the new invoicing manually adding rows is cumbersome for a mechanic business suggest making more than 1 row on the invoice. I rarely have an invoice which is less than 6 rows.
Font size- Font is very small and should be increased to at minimum 12pt.3 votesHi Lynda, appreciate your feedback here. As you may have seen from updates on this idea we have now added the ability to add multiple rows to an invoice at a time in sets of 5, 10 or 20 like you could in classic invoicing.
Earlier this year we also enhanced the invoice grid to optimise font size, padding and column widths. I want to be transparent that we don't have further plans for changing the font size in invoicing.

NZ Payroll - Option to remove Salary Hours on Payslips
Please update to have the option of removing salary hours on payslips.
We just need the Gross Salary for that line and not the hours.
When we have employees working accross different days of the week Xero Payroll round the hours and so in our example someone on 100 hours working 11 days per fortnight, Xero Payroll rounds the Salary Hours to 99.9999 on the payslip which is close but not correct.
