UK Payroll - Allocate leave to different pay period
Currently, Xero automatically assigns holiday leave to the pay period in which it falls. However, for businesses with a different pay schedule within the tax periods, (e.g., a financial period running from the 6th to the 5th of the month), such as cut off being the 28th of the previous month and paying on the 5th of the month. this can cause confusion and misalignment in holiday pay processing. Employees may receive their holiday pay in a month that doesn’t align with the leave taken, leaving them out of pocket or causing administrative burdens.
Proposed Solution: Provide an option to assign holiday leave to a specific pay period. For example, if an employee requests leave for 30th of March, the leave pay should be processed in May pay (and not April's), in line with the company’s financial period. This would prevent confusion and reduce the need for manual adjustments, especially for larger teams.
Benefit: This feature would make it easier for businesses to manage holiday leave for multiple employees, ensuring that leave payments are processed in the correct pay period and improving payroll accuracy.

While this is not something we have plans to develop at this time, we will continue to use your feedback to help us shape the future of Xero Payroll. As noted by others in the idea, one option for now is to continue manually adjusting the leave hours for the correct pay period. We acknowledge this isn't an ideal solution, but it does allow you to correctly apply the leave across pay runs.

Sales Overview Improvement Request: Add "Send Date"

Clients sometimes claim they have not received an invoice and ask when it was sent. Currently, to answer this, we must navigate into each individual invoice and check the history, which is time-consuming.
Our team members occasionally inquire about the send date of invoices as well, and without this information readily visible, they too have to go into the invoice history.
Proposed Solution:Display the "Send Date" directly on the Sales Overview page, making it quick and easy to find the last time an invoice was sent to a client.

Bank rule - Ability to set up overpayments to a supplier
We have standing orders set up for multiple properties for water rates, business rates, electricity and rent all of which are invoiced quarterly/six monthly/annually.
Can we have the ability to create bank rules for supplier overpayments to a contact??

AU Payroll - Employee Contact Details to have termination date and reason column
On the Employee Contact Details report it would be great to have a column to show the termination date and reason for termination. Being able to sort by termination date range eg last quarter would be beneficial to assist with preparing the long service leave reports. The termination date and reason needs to be included in the report. Having a summary of the information from Xero would be beneficial for all.

New Invoicing | Contact details - ABN
New Invoicing - Show ABN details with Client details in the "To" section of the invoice. All other information is there for reference, excluding the ABN.
To view the ABN details, you need to leave the invoice screen and go to Contacts.8 votes -

For setting dates on new invoicing:
- when using the "copy to draft invoice" function, keep original date from copied invoice and not default to current date.

In terms of the second when you're mentioning the input of dates. You should find you can currently enter dates in number format, however you'll need to make sure you keep the '/' or '.' to separate day month and year, alternatively you may find shortcuts help you cut down the time needed to enter your dates here.

Bank Feeds - Square bank feed integration
Please please please Xero can you work on a proper Square bank feed integration so we don't have to keep using Amaka or other 3rd party connection apps!!!
Why can't we connect Square as a bank account with a feed similar to Stripe?!?! We are in 2024, square has been around for 15years!!I have so many issues with Square! And it is one of the most widely used payment processors!
A recent example -
A client has a coffee van and uses it to take payments for cups of coffee. I had to setup the Amaka integration so that the sales come through as a daily sales invoice, then the fees come through as an expense. These come through as reconciled. Then the transfer comes into the bank account, we allocate it to the Square account and always have to go in and manually mark as reconciled in Square. This is not a huge drama, but now that I have talked the client into doing his invoicing out of Xero instead of square (he invoices businesses who book him for events) the invoices may be paid via Square and this doesn't convert to the Square Balance account automatically! The client has had to go in and manually mark them as paid. Did so to the bank account instead of the Square Balance account so i have had to undo them, and redo. I then need to apply a credit in the square balance account otherwise the sales are doubled up from the daily sales invoice from that day!Amaka is also a horrible add on. it use to be ok, but i have also had heaps of issues with the GST not coming through correctly and on a couple of clients who aren't even GST registered, i had it all set as BAS Excluded in the settings, then something changed and all of a sudden the sales were coming in as BAS excluded but still had GST added to the bottom of the invoice. So it wasn't as simple as just recoding them!
Long story short... GET A SQUARE BANKFEED!!!! (LIKE STRIPE)

We understand that using a third-party integration isn't always seamless and that a direct feed, like the one for Stripe, would make life easier when reconciling your payments.
As noted by others here, the current solution is to connect an app from the Xero App Store to bring your Square transactions into Xero, or you can continue to manually import these.
Right now, building a direct bank feed for Square isn’t in our plans. We're continuing to monitor the interest in this idea, so please keep adding your votes and comments as it helps us see the demand.

Contacts - Search newly registered addresses
When adding a contact, the "search address" works fine most of the time, but can take some time before new addresses are added to the search data base and require manual entry (usually cut and paste from Google Maps.) Could this feature not be linked with an API to the likes of Googles address infrastructure to utilise their rapidly adapting data base?

Checks - Increase unique cheque/check number limit from 6 characters
When writing a cheque, I am limited to a 6-digit unique cheque number. With QUickBooks I used the date as the checknumber. For example May 31 2025 would be 20250531, then I append a letter to it as 20250531a. With making payment on web sites and then entering checks into Xero this still allows things to sort properly. Being limited to 6 numbers makes it harder to keep track of things.

New invoicing - Untick sent when invoice is edited
New Invoicing My issue is that when an Invoice has been amended after it has been sent. I have found that currently the tick is still in the box as Sent . I think it should not be ticked until the amended invoice has been emailed again. I sent it twice to a customer Also The History and Notes on that Invoice Show it was updated but not emailed straight after I edited it. Anyone else having issues with this?? Maybe I should log a support call for it. If so let me know

In terms of the sent box being ticked. This is automatically ticked when the invoice is initially sent and does not change when an invoice is subsequently edited. Appreciate this might be something that would help your processes and I've slightly amended the title of the idea for this.
While we don't have any plans for this right now, we'll begin to get a sense of the interest in this, here.

New invoicing - Simplify process for allocating Credit
When the Allocate Amount pops up to allow for Pre-Payments to be allocated to an Invoice, I find I am going between Mouse, Tab, Numeric repeatedly. We have a large number of Clients who pay weekly and build up a number of Pre-Payments. It would be a lot easier to just use the mouse. Allow for a Double Click in the box containing what is available, or Double Click in the amount allocated, or something - but there has to be a simpler method.

UK VAT - View multiple unsubmitted VAT returns
We should be able to prepare and view future VAT returns where there are multiple unsubmitted returns. Ie. able to prepare multiple VAT returns for client approval at once. Currently, they have to be prepared and submitted before the next quarter's return is visible.

In the mean time, you may wish to use the “Looking to see VAT transactions for your own date range” option to run off reports for each return period, and then calculate the VAT from this report.

There are other payroll system they do this, and with the minimum wage requirements changing every year, there should be an automatic update or prompt to change anyone who is affected by this, to avoid the error in not paying out correctly as per the legislation,

I'm invoicing for June, and I'm clicking "add last items" so that I can copy and paste the descriptions, and it added the items from the last paid invoice and not the last invoice - I know because the last invoice had line items for May, and it added the line items from April. The May invoice for the client I'm invoicing is still open but the April one is paid and closed.
I just want the thing to do what it says on the box.
(I'd also like for there to be fewer than 7 different font/size/colour in the text so it's readable instead of giving me migraines trying to look at things that aren't highlighted, but you can't have everything)

Xero Accounting app | Reconciliation - Show tax for suggestions
Hi, on the mobile app, it would be really helpful, if when reconciling bank entries, when xero comes uip with its "suggestion", that is also displays the VAT line. Saves having to go into the suggeestion edit and check VAT is applied correclty

When posting an invoice as a fixed asset, why not choose the depreciation rate at that point, when the invoice is posted?

Reconciliation - Overpayment Allocation Reminder
When reconciling bank accounts for money received a reminder of overpayments allocated to the clients account would be useful.

Right now, there’s no pop-up or indicator on the reconciliation screen to remind you about existing unallocated credits, so manual tracking is needed.

Batch payments - Print Receipts
The ability to print receipts for batch payments is desperately needed.
Currently there is no way to print a receipt for batch payments. There is only the ability to email receipts or print deposit summary. Deposit summaries do not contain the level of detail that a receipt does.
Currently, to print receipts for payments recorded in a batch deposits you have to email the receipt to yourself first. The problem with this is, when you enter your email address in the blank field it then automatically updates the customers contact details with your email address, so you have to then go to there contact page to delete the email address. This process is very time consuming.
Please add a dropdown box for receipts with the option to print or email them. Alternatively, add a separate button to print receipts.

Its not something we have direct plans for atm, but we'll continue to track the interest here and share any updates.
While not the ideal solution, for the time being to avoid updating your contacts record when you click send receipt from a batch payment, you could uncheck the recipients but have the option to 'Send me a copy' checked.
