  1. It would be nice to have an option in the invoices settings to have approved invoices automatically marked as sent.
    This would be mainly for users that send their invoices with another program, so the invoices they enter in Xero are always sent.

  2. It would be good to see the number of notes in the Notes Tab (perhaps in brackets, for example: 'Notes (2)'), so you can see at a glance, if there are any notes for the Employee and if yes, how many.

  5. Ability to specify a set approver for a specific employee for when they submit leave requests.

    Employees who are nominated as a leave approver should only be able to approve leave for the specific employees who have them nominated as their approver.

    Alternatively, employees who have the "Authorised to Approve Leave" checkbox ticked should only be able to approve leave by employees in the same Employee Group.

    Only payroll admins should be able to approve leave for all employees.

    Thanks for the great discussion and all the votes on this idea. We know that without the ability to set specific leave approvers, it can be harder to keep governance clear, avoid self-approval and ensure requests go to the right person.

    While we’re not planning to develop dedicated approval workflows in the near term, we want to share a tip that many have found useful. You can help streamline the process by guiding employees to select their direct manager from the approver list. While all payroll admins and leave approvers are listed, this step helps make sure requests reach the right person and keeps oversight clear.

    Your feedback here is incredibly valuable for future planning and we’ll continue to keep an eye on this idea’s traction. We’ll keep it open for voting and will share any updates if plans change down the track.

  6. We have a 2 year old issue where we changed an employee end date then reverted a payrun. HMRC has not recognised the revertion or that the resubmission is the same data so we have a duplicate that we haven't been able to sort out.
    To avoid this pain for others, could there be a pop-up warning if someone tries to revert (or otherwise change) a payrun where an included employee has an end date set? Or if the end date has been changed? The details of how it works can be as is easiest to implement.

    Thanks for sharing and supporting the idea here, Community. We understand the needs and desire to set a default mileage rate for Xero expenses, however want to be upfront that this is not something we have plans for in the short term.

    Our product team are staying close to the feedback, and will continue to review this idea, so if there's any changes planned we'll update you of this, here.

  8. Dear Xero product team,

    Please could we have an option to Password protect Lock Dates.

    Where certain user can only unlok Lock dates i.e. Accountants or Subscriber

    At the moment anyone can unlock the Lock dates which defeats the purpose of the Lock Dates.

    We appreciate the interest gathered on this idea, everyone. At this time we don't have any immediate changes planned for lock dates, but as we continue to develop parts of Xero this is something we'll consider as a possible enhancement for lock dates. If there's any news I'll be sure to update you here.

  9. When a customer pays, could the find and match box show outstanding invoices for that customer instead of all customer outstanding invoices? It would speed up matching the payment

    Not an idea I've seen raised yet, Lisa. Can see how this may be helpful when you have many invoices entered in your org. It's not something we have any plans around at present but we'll track the interest here and share if there's news.

  10. To create a credit note from an invoice without applying it to the invoice.
    Currently the only option is ‘create and apply credit’.
    We refund first then generate the credit note. So we need to allocate the invoice to the customer receipt, then allocate the repayment to the credit note.

    Generally this is a time saving mechanism, not having to then apply the credit to the invoice. Appreciate the detail of your workflow Susan, as definitely makes sense in what you're trying to do here. 

    We'll start to get a feel for the interest around this here, and in the meantime - Not sure if it still suits your flow however if viewing invoices from the Awaiting Payments list, if you don't need to open the invoice, you could use the 'New Credit Note' option from here. 

  11. We charge our consultants at a different cost rate per customer project and pay them a different cost rate per engagement. This is negotiated with them at the start of the gig and applies only to that Project.

    I want to set a different staff rate per project per staff member.

  13. Allow charities to add an option for customers to make a voluntary donation when paying their invoice.

    When making a payment through the pay now link, they would be able to add an additional amount as a donation, if they choose to.

  14. The new mobile functionality for Outstanding Invoices adds more steps to being able to see when an invoice is due.

    In the past, it was a one button press into Outstanding Invoices and it was easy to see the dates for when all invoices were due.

    With the new system, now when you press into Outstanding Invoices, you cannot quickly see the due dates, and it's cumbersome to have to dig into each client by pressing View all invoices, only to then be able to see the due date.

    Thanks for your feedback on the change in the mobile app, Mike. I've passed this onto the team however do want to be upfront that there's no immediate plans around this atm. 

    Instead, the 'Sales' tab invoice list screen might help what you're trying to view. This will show all the invoices and due dates in the same screen. 

  15. what about the possibility of practices creating their own report code structure? with infinite report codes capable of being added? to accommodate flexible reporting structures?

    It is truly difficult to automate reporting where a practice does not control the chart structure. this is because clients often create new chart codes because their particular expense doesnt neatly fit the chart options available...so a new expense/revenue/etc account is added and then the report pack grows in size (with similar account types that really should be grouped for reporting) to the point where it is unusable...unless the practice manually maps into a "group"…

    Hi everyone, thanks for your feedback here. It’s great to see so much engagement on this idea, and we appreciate you taking the time to share your thoughts with us.

    We understand you’re looking for the ability to create your own report code structures within Xero that'd allow for more detailed and flexible reporting, helping to automate processes and provide clearer insights for your clients.

    As noted by others in the idea, you can currently leverage the existing report code mapping functionality. While it doesn't allow for entirely new report codes, you can map multiple chart of account codes to the same report codes to group them for reporting. 

    To do this in bulk, you can also export your chart of accounts, apply the mapping in a CSV, and then re-import it

    We see the value in providing more customisation in reporting. Right now we have some more codes…

  16. Payment Summaries in STP - Copies of prior years.

    • It would be helpful if we could retrieve copies or make reprints of prior year payments. This is particular helpful where a new client comes on board, and you will not have history on files.

  19. When a credit note is approved, the next page that pops up is the Allocate Credit Balance screen. This screen does not state who the customer/supplier is, and when creating multiple credits, it can be hard to recall who each one is to. It would be great to have the Allocate Credit Balance screen displaying the contact of the credit (the reference would also be great, but I have already voted for that one separately).

    With the new invoicing re-vamp this would be a great opportunity to increase the information on the Allocate Credit Balance screen too.

  20. An automatic monthly payroll tax report would be fantastic. I've noticed Xero cannot do an automatic calculation of Payroll Tax like MYOB can. MYOB allows you to select pay categories (pay items) to exclude and run a monthly payroll tax report.

    Our AU Payroll team are testing some changes to Payroll reconciliation. The idea to have an automatic monthly payroll tax report is highly associated with payroll reconciliation and we feel that voters here would also have an interest in payroll reconciliation. They would love to hear from you!

    They’re aiming to conduct some 1 on 1 interviews between 6 Feb - 16 Feb 2024, the interviews will last 45 minutes.

    The purpose of the session: Participants will be asked to help with testing a prototype concept designed to enhance the AU payroll reconciliation process.
