Workpapers Spreadsheet - formatting, cell selection, size of sheet
Can the spreadsheet have more formatting options - like borders so that you can have a top and bottom border on a total cell? Bold type?
Also, it needs more functionality like being able to select the range of cells to sum =sum(select cells using mouse) instead of manually typing in the range.
When you copy and paste from Excel formatting is lost and you cannot add additional lines past where the data pastes if past row 20 (The data itself can paste to additional rows). If data goes to row 19, you cannot insert additional lines past 20 either.
19 votesHi team, we’ve just released the ability to import an .xlsx as spreadsheet template in the settings for each worksheet.
We get this doesn't remove some of the restrictions mentioned in the comments here, but hope you can appreciate we're taking steps to remove friction of having to work with these limitations every day. Thanks.

Workpapers - Only view related documents within a worksheet
Showing all documents uploaded when you are in individual Worksheet is too much noise. We only need to see the uploaded documents relating to that specific Worksheet not the full Workpaper pack.
5 votesHi team, to support a more focused view, we've recently improved the way documents are being added to a pack.
Files previously added to a workpapers pack will now display on a separate tab.
We're keen to hear if this has helped solve for your needs here? Thanks 🙂

Workpapers - Ability to add our practice workpapers each year
Prefer to have one set of workpapers completed in a single software. Within Xero workpapers have ability to attach excel template to specific workpapers for completion eg live stock workpaper, overdrawn current account, hire purchase workpaper, etc.
The most important workpapers have calculations that are required outside of verifying an account balance. Eg those mentioned above.
If unable to have all workpapers in one place, it's easier to stay with current excel pack.8 votesAppreciate you sharing the type of workpapers that will help you get full use out of the new solution, Lyndsay.
We're working on adding more worksheets on the new solution so I'll keep you updated as there are updates here.

Workpapers - Status per Account for reveiw
Preparers cannot flag status per account — status applies to the whole category. While notes can be added per account, it’s not easy to see which are ready for review and which ones are with queries.
16 votesHey April, thanks for raising this idea as well, your continued commitment to bringing these points to us are always appreciated. This will be assessed by our product team. 🕵️
Once they've reviewed the idea we'll share the outcome and update everyone, here.

A1: Financial Statements & Tax Return - Ability to review and approve sections like in old workpapers
We are experiencing a significant workflow issue with the layout and functionality of A1 – Financial Statements & Tax Return in the new Xero Workpapers.
How We Used This Section in the Previous Workpaper Pack
In the previous version, this section functioned as our final review and sign-off hub. It included structured default notes such as:
Financial Statements
Company/Trust Tax Return
Individual Tax Returns
Final Email to Client
This setup allowed us to:
Upload final versions of each document
Review each document individually
Add review notes directly against that specific document
Tick off and approve each item only once it…
5 votesAppreciate you sharing how we could enhance the new Workpapers solution for you here. Our product teams have a close watch on the ideas coming through this forum and I'll be sure to update if there are any plans made for this.

New Xero Workpapers - Income Tax workpaper - fix Net profit link (doesn't factor in trust distributions)
The Net profit amount that pulls through to Xero Workpapers treats trust distributions to beneficiaries as expenses. They should be excluded (as it does with Income Tax Expense and Dividends Paid).
7 votesThanks for the feedback on this here, team. I'm connecting back with our product team on this one and will share updates with you here.

Workpapers - Fix Income Tax workpaper that incorrectly shows current year June PAYG installment
Despite the fact I raised this years ago, it was ignored when building the new Workpapers (ironically, this workpaper is one of the few that mimics the original Workpapers layout).
The Income Tax workpaper (attached):
a. correctly shows 4 x current year PAYG Instalments in the 2025 Tax to pay/(refund) section
b. correctly shows the prior year June PAYG Instalment in the Balance sheet income tax reconciliation section
c. incorrectly automatically includes the current year June PAYG Instalment (copied from the section above), in the Balance sheet income tax reconciliation section99.99% of the time, the prior year June…

Workpapers - Show attachments in Supporting Documents section
When documents are attached to line items, could they please also show in the Supporting documents section? Currently, they only appear again if you click the line item.
For example, on the Bank Reconciliation workpaper, a statement has been attached to each bank account line, but when the workpaper is opened again, you only know something is attached due to the icon under Actions. You have to click on the line item for the supporting document to appear below (which isn't intuitive).
Everything attached should show in the Supporting documents section, as per the old Workpapers.
7 votesAppreciate how being able to see line attachments from the Supporting documents section would be beneficial. Thank you for feeding back on the new experience and supporting the idea here.
Right now we have a close eye on all ideas about new Workpapers and will be sure to share if there's news on this here.

Workpapers - if we're going to be splitting up the P&L accounts.. EXP.DIS accounts should not be on the Expenses workpaper
Profit distribution accounts might have an EXP in the report code (and Xero might force us to use Expenses as the account type in Xero).. but they're not expenses.
Xero has split Revenue, COGS and Expenses across three workpapers.. but still lumped profit distribution accounts in Expenses.

Problems with being a Reviewer using the New Workpapers
Reviewing Workpapers - when reviewing the file I have found two problems - first - when scrolling through the various workpapers using the arrow keys in the top right- it is including ones that are essentially excluded from needing to be completed - i.e. the shaded out ones on the front. 2nd - I have to click into each attachment - rather than using an arrown key to see each seperate attachment like we do at the moment.
6 votesHi team, we really appreciate the feedback from you here and the issues for Reviewers that you've raised. We've made some recent changes and are really keen to hear if these improvements have solved for your needs.
Now;
- when using the arrow keys in the top right to navigate between worksheets, those marked as Not applicable are now automatically skipped
- When viewing attachments, you can use the arrow key button at the bottom of the attachment to move between files (screenshot below)
Let us know if these changes have been of benefit!

New Workpapers - Add sub-headings in checklist section
Ability to add in the checklist section more description/content in the checklist section of the workpaper lines. This would allow us to include essential sections required by the CPA, like Engagement Acceptance/Continuance and Knowledge of the Entity. I built these in the classic Workpapers. Too bad I can't carry over the Workpapers lines I built in the classic version. I attached a screenshot of one section in classic Workpapers showing a line, the guidance and comments.
5 votesGood to hear how we can improve checklists for your use - Thanks for sharing.
While we don't have immediate plans, we'll keep a good eye on the interest in this here and I'll be sure to let you know if there's any news.

Workpapers | Income Tax - Reduce column width in L
A little UI matter, I know the column widths will scale depending on the window size; however, when I go into the Income Tax workpaper, the spacing seems quite wide even in a smaller split-screen window. It would be nice if the column widths were narrower
11 votesAppreciate the feedback, Adam. Our product team are staying close to the feedback we're receiving on the new workpapers solution so I'll keep you updated hear if there is any change planned. For now we'll get a sense of others in community that support this too. Thanks

Workpapers - Create groups for Workpapers
Is there a way that we could create a group or a link to all groups within workpapers
15 votesThanks for sharing your idea, Michaella! It's great to hear what improvements would help in new Workpapers.
We'd like to gauge the interest from others in this here and I'll let you know if any plans are made for groups.

Workpapers | Manual Journals - don't automatically mark as Cash Basis
Journals (General Journals, Manual Journals) are inherently an ACCRUALS transaction. Not cash.
Manual Journals can't be recorded against a bank account in Xero.
Manual Journals should NOT be Cash Basis by default. They should be Accruals ONLY, by default. Xero should give you the OPTION to include your Manual Journals on cash based reports.
8 votesHi team, appreciate this idea is specifically around how you can process Manual Journals within new Xero Workpapers.
Right now the selection of whether to show a journal on cash basis reports is only available when posting Manual journals within an organisation at present.
Our product team are still making improvements within the new Workpapers experience and using feedback from the forums here to inform their roadmap.
This isn't planned at present, but I'll be sure to let you know if there are any plans made around enabling this selection within our new Xero Workpapers solution, here.

New Workpapers - Export to a ZIP file
The export produces a single PDF. It would be preferable if the export could instead provide a ZIP file containing the individual documents.
11 votesHi April, thanks for bringing this idea to our attention. Again your contributions are greatly appreciated in this process. Your idea is now being assessed by our product team. 🕵️ We'll share the outcome and update everyone, here, once they've reviewed the idea.

Workpapers - Manual Journal show full history of edits
The system currently does not display who posted the journal in either XWP or Xero (specific user).
Updates made to journals in Xero are not reflected in the XWP Manual Journal Summary.
Additionally, XWP only allows journals to be voided—there is no option to delete them.
10 votesThanks for your feedback around this functionality in the new Workpapers experience, we really appreciate the time taken to add your thoughts. Your idea is now being assessed by our product team. 🕵️
Once they've reviewed the idea we'll share the outcome and update everyone, here.

Workpapers - More options for Comparison Period
When preparing monthly or quarterly workpapers, we would like to be able to select the comparison period as last month, quarter or end of last financial year. Not just the same period last year.
10 votesHi Susan, great to hear your feedback on the comparison periods in Workpapers here.
As we continue to develop this new product we're keeping a keen eye on the interest ideas in this forum are building and I'll let you know if there are any changes planned for this, here.

Workpapers - Include quality assurance requirements in standard workpaper pack (like independence sign off)
Can other quality assurance requirements be included as part of the standard workpapers - for example independence sign off ?
This will save us having to address this separately or add it in ourselves in workpaper packs etc10 votesWe're grateful for your feedback on the new Workpapers, Stacey. It's really good to get an understanding of improvements that w0oulkd be most useful.
For now, we'll get a sense of the interest from others using this product here and I'll share if there are any updates.

Workpapers - Option to Group Shareholders' Current Accounts by Shareholder
In the classic Workpapers, we had the ability to be able to group shareholder's accounts by shareholder to get the net balance, by changing the group name in the trial balance. This ability has disappeared in the new workpapers, which makes it difficult to get a view of beneficiary accounts in the workpaper stage (i.e., when trying to ensure a beneficiary has been correctly paid out their account balance). Would be great to have this feature back.
3 votesThanks for letting us know how we could further improve new Workpapers for you here. 🙂
Can see how you found this feature useful in Classic workpapers and we'd like to see the support for this in new from your idea here.
Welcome to share the idea with any colleagues that would find this useful so they can add their vote, too. I'll be sure to update of there are any plans made to group accounts by shareholder.

Workpapers - don't use decimals for fields Taxable Income and above. The tax return does not allow decimals, the workpaper shouldn't either.
The tax return doesn't allow for decimals.
When people use decimals on an income tax rec (before/up to taxable income), we end up with rounding issues and incorrect tax expense calculation.
Taxable income must be a round number, all of the inputs into the tax return to calculate taxable income must also be a round number, therefore it makes most sense to make the workpaper only allow round numbers (up until the point decimals are allowed in the tax return, which is when the tax expense is calculated).
