splitting quantities of billable expenses when applying to invoice
Please could we have the option to add billable expenses to a customer invoice by quantity.
At current we have to assign the billable expenses as a whole, or not at all. Yet we sometimes hold items in stock for clients which are then billed at different dates, however once they have been assigned to the initial invoice we can no longer see the remaining stock on hand under the billable expenses list, unless we manually split it on the purchase invoice This only works if we know the quantities ahead of time, which we usually don't. Invoices - Open "Add Payment" option in a separate popup window or overlay view
Invoicing Add Payment - can we please have the add payment option pop up in a separate box like it did before on the new invoicing. Now you have to scroll to the bottom of the page to enter details and add payment, but I have to scroll up to see my invoice number and reference and as I type, it scrolls back to the top.. like you're fighting with something that should be a 2 second job. Why does this need to be on the bottom and why did it change at all?

Option to automatically approve bills when entered
I would really like the option to automatically approve bills when entered, rather than having to then go into the Bills section and change from draft to approved every time

Invoicing - Allow Item and Description-only lines, with no Qty or Unit Price
When choosing item code and description, I want the ability to leave the rest of the fields blank. Classic invoicing had no problems with it. The new invoicing wants to populate QTY, UNIT PRICE and AMOUNT. Makes the invoice look unappealing.

Your feedback has been valuable in understanding the needs of using description only lines to; add subheadings, provide context for grouped charges, and ensure your invoices are easy for your clients to read and understand.
To reconfirm, atm - You can add one-off description only lines as you enter an invoice. However, if you add detail to any other field the line will be treated as a 'financial' line and you'll need to include Qty, Unit price, Account and Tax rate.
- We know some users have set up and saved inventory items for description only lines they commonly use, however as the item code field is used for inventory items the line of the invoice is treated as 'financial' meaning you'll then need to include Qty, Unit price, Account and Tax…

New Invoicing - New Invoice button
When creating a number of invoices the new invoice link is hard to find. Instead of a text link have a button for new invoice in the header on the invoicing page
3 votesThanks for raising this Idea with us, we can see the value in having the New Invoice button in a position that is readily available from any part of the invoicing process. We have moved this to Gaining Support so we can track interest, now all you need to do is share with friends and colleagues and get them to vote and comment.

Quotes - New field for Repeating Fees
With so many forecasting app using Xero Invoices & Quotes, we would like to see Quotes get an upgrade. Specifically add fields to show the billing frequency for that line.
This would allow us to build our dymanic quotes in Xero, showing one time fees and monthly recurring ones. Hopefully this could also then auto-create the correct invoice types when accepted. So One-time lines are grouped into one regular invoice and all monthly lines are grouped onto a monthly repeating template.

Invoicing - Allow Salesperson name , contact terms etc
Advance Template. Allow custom fields for advance templates (For all forms). like custom field 1, custom field 2 and custom field 3. So that we can add fields like salesperson name, contacts, terms, etc.

Statements - Email template placeholder for Overdue Balance
Can we please have a 'placeholder' field for 'Overdue Balance' so that an email template may be created notifying the customer that their balance is '£x' of which '£y' is overdue?

In the meantime as you've likely noticed, there are placeholders for Statement Balance, Balance With Currency and Symbol, and Balance With Symbol that you might use in the email template.

Add option to remove quote acceptance button
The "accept" button on Xero online quotes would be awesome for us if it required payment on the spot or at least sent an immediate invoice to the user. But instead, I just get a mail from Xero saying "Woohoo! [company name] has accepted quote [number] for [amount]". But it gives no indication what person at the company clicked accept. Quotes are often handed around. So there's often not much I can do with this. And it's worse than useless, because whoever clicked "accept" may think "now I'm done" and stop working on the order. Importing invoice from CSV - Display the new items being created
When I import invoices from a CSV, they can often be really big (900-1500 lines). It tells me if I am going to create a new item. It would be helpful if it would tell me which SKU it is going to create so that I can go to my CSV and check if it is actually a new item or if there is just a typo in one of my SKUs.

User permissions - Read only access export all
read only is almost self defining - unfortunately read only users are not able to export (some) tables. The rational is that they are bundled with import. Can read only users have the right to export data.

Hubdoc - allocate account to bill during upload
Hubdoc App. needs the ability to allocate chart of accounts to the bill when uploading rather than always having to do this on the web platform

Add a Proof of Delivery document type in the sales/invoice section
Xero has no way to produce a Proof of Delivery. When goods are handed over, we need a document the recipient signs to confirm they received the items in good order, linked to the invoice so the audit trail holds together. There is currently no document type for this at all, so businesses fall back on manual templates, or end up ordering physical rubber stamps just to add a signature block to whatever Xero prints. That is a real thing people are doing to work around your product.

Annual Subscription Column
Looking for a way to show separate totals on quotes, itemizing "items" into separate columns. Such as one total for hardware and installation, and another for annual support or subscription costs.
Typically when we quote out jobs the subscription for annual support/subscription is billed separately. It is added to an annual bill with the rest of the subscriptions separate from the one time quote for installation of new hardware. When sending a quote over for adding more hardware, for client budgeting purposes it allows them to know total cost they need in the budget but separates the one time charge…

Invoices - Add option to apply an automated percentage surcharge or fee (e.g., FAF) to the invoice total
We would love the option to add a variable FAF(Fuel Adjustment Factor) in the form of an added percentage of the total invoice, to the invoices we send to pur customers. Currently we have to work this out and enter it into each invoice manually which is very time consuming. If you could add a component to your invoicing that included an optional FAF which could work out the percentage for you that would be amazing. Considering nearly every transport and logistics company we know has now added a FAF to their charging due to the recent volitility in fuel…

The suggestion is to add an option to automatically calculate and apply a percentage surcharge or fee to invoices, reducing the need for manual calculations.
For now, you can use a separate surcharge item or connected payment settings where applicable to help manage these charges. We’ll continue tracking this idea here so the community can share feedback and use cases to help shape future improvements.

Invoices - Adjust margin and header spacing controls within Standard invoice templates
Move the entire template up so the "Bill To", Logo and "Company Info are on the same rows.
There is too much wasted space up top and could be used for more line itemsOr
Add an option to crunch the line items with none, single or double line spacing between each item listed.

The suggestion is to add margin and spacing controls to Standard invoice templates, making it easier to adjust the layout to align the logo with address and company information.
For now, Advanced DOCX templates can be used when you need more flexibility over formatting. We’ve moved this idea along to continue tracking interest.

Reporting - Include Quotes and Purchase Orders in Short-Term Cash Flow forecasts
Since Cash flow forecasting is relying on Invoices and Bills input, this is not so helpful in real life scenario especially for Project based businesses. Invoices and Bills are always late. Since they're late, they don't appear in your cash flow forecast. What I'm trying to do is to input all expected Sales and Bills in a project via Quotes for expected Sales and Purchase Orders for expected Bills. This way my forecasting will account for Sales and Bills that are expected but didn't happen yet. Can you please create that Quote and PO forecasting please?

For now, you can review these alongside your cash flow reports to help factor in expected income and commitments.
