Invoicing | Contact Group - Add attachments when sending invoices
Provide functionality in Xero to add attachments to a group invoice.
Annually when we issue membership
subscriptions there are a number of attachments that need to be included with the invoice, this is currently a manual process. Adding the sane attachments to over 80 invoices is time consuming and tedious.Given Xero has this functionality already, it should be expanded to include the functionality of adding attachments when creating an invoice o a contact group.
9 votesAppreciate your feedback here, everyone. While we've recently released contact group invoicing with new invoicing, the ability to attach and send an attachment has not changed for the time being.
Contact Group invoicing will only create draft invoices for the contacts within that group, so you'll need to attach any documents to the individual invoices that are created and select to include these with the invoice when sending.
We'll continue to review this idea as a future enhancement, and I'll let you know if there are any changes planned, here.

New Quote - Create blank lines in Quote
Since the new quote format was launched, we are no longer to insert a blank line in our quotes at the beginning of a new item. Previously, this allowed us to space out the quote a little so it didn
t look too jumbled and allowed us to space the quote neatly over two pages instead of just having a line of a quote on the second page if it didnt all quite fit on the first. Please put it back to how it was and allow us to insert blank lines at the beggining of an item.28 votesHi all, upon revisiting here we'll re-open this idea.
As you may have found - While possible to add a new line and drag & drop this to where you'd like it to sit in a quote. Once saved, blank lines that have no data in any field will disappear and lines with detail will condense.
Apologies for the earlier misunderstanding and we appreciate those who've feedback on the idea here too.
There aren't any direct plans for changing this behaviour for now. We have a keen eye on the interest here so please add your support through votes and importance.
For the time being, if you'd like to add a blank line in your quote you'll need to enter a character in the description field of the line - This could just be a hyphen or full stop

Quotes - Applying Mark up
Applying Mark up in Quote - Ability to hit 'apply mark up' and select specific costs / folders that the mark up is applied for. Ie labour costs are not based off markup but the products are. If you hit 'apply mark up' the markup gets applied to every single cost.
25 votesRounding back on the idea here it sounds like using non tracked inventory could be a solution.
In Products and services you can add items and enter a Purchase price and a Sales price for the same item.
This means you can add the marked up price for Sales and when you select the item in Quotes or Invoices this price will be reflected for the line item.
Alternatively, you could add a discount to lines of your invoice if there is a general amount or % by which you would mark up items.
Keen to hear your feedback for these options.

Invoice - Show Domestic Reverse Charge VAT on Invoices
Show the total amount of Domestic Reverse Charge VAT on an invoice, to make it clear to the customer what is due by them.
It is not necessary to show the VAT amount on each line, when it is the same for the whole invoice.
While Xero may be compliant with HMRC, it is not right for businesses who are being repeatedly asked for this information to be shown on invoices. It would be a simple fix for Xero as the functionality is already in place. This is on a discussion thread with plenty of users requesting the same thing.

Invoices: Attach remittance advices to all paid invoices (when making bulk payments)
It would be great if Xero could automatically attach the remittance advice to each invoice after making a batch payment?
This would save time when we get queries from suppliers as to the status of their payments, rather than searching for the batch remitttance and emailing it to the supplier again, it can be easily found as it will be attached to the paid invoice.8 votes -
Invoice Reminders: Ability to select that reminders only go to original recipient/s
Here's a copy of my note to Xero Support & their response below:
Hi,
I prefer to check 'include in emails' for all contacts in an organisation, as the quote & invoice recipient/s often vary & I find it simpler to delete unnecessary recipients from the list on each quote or invoice than to add them. I've only just accidentally realised (after years of use) that invoice reminders go out to every email address in an organisation that is 'included in emails' & not just the email recipient/s of the original invoice - I've been unintentionally sending reminders to multiple…9 votes -
Invoices: Option to only show item code in item column
Invoice setting: There should be the ability to remove the Item Name from the Item column when creating or editing invoices.

Invoicing - Choose which columns to show on the Invoices screens
It would be great to be able to choose which headings are visible on the default invoices view. There are some customisable reports which allow you to run a report with your preferred view. But for others such as repeating invoices there are no options.
Our company has different teams, so for these it would be good to customise the column headers, to show the contact groups the client belongs to. This would allow us to forecast what upcoming invoices are due for each team, so that they can allocate resources accordingly.
Ideally the following would be helpful

Quotes - Reduce number of steps to create and send
New quote screen has created a lot of extra steps in creating quotes
i.e.
- moved buttons out of intuitive workflow space
- save button now hidden at top right instead of at bottom of quote
- quote numbers less visible once saved
- sending a saved quote takes a lot more stepsUnderstand the need for new framework but the workflow changes have made creating quotes longer and more complicated. Thanks.

Reporting |Credit Notes - Date allocated
When allocating a credit note to a customer invoice we need to be able to report on this event and no date is stored at the point of allocation.
In the current system you can see credit notes allocated against invoices only when in the documents as a credit note displays similarly to a bank payment. You can to an extent identify credit notes allocated against invoices by running reports against the Accounts Receivable ledger, filtered by source 'credit note allocation' but you cannot filter this in any way to see recent events. The date of the allocation is deemed…

Invoice Templates - Drag and drop invoice designer
How come the process of designing invoices is so painful? It would be great to have a built-in drag and drop invoice designer. I realise it won't be easy but it's mad that our only option is to design them in Word. There are so many sites that allow similar functionality, albeit for non-finance related areas like marketing.
32 votesHi everyone, thanks for engaging and sharing how this feature could improve your experience using Xero. I'm happy to announce that we have rolled out a new invoice template editor which is currently available to AU, UK, US and NZ organisations.
This new experience allows you to easily upload your business logo, auto applies your branded colouring and has simple tools to customise the look of your invoices, with an easy side by side view to see what a change will look like!
Get in and have a try if you haven't already, I'll round back to confirm once this live to all regions. 😊

Invoice - Export invoice link
To include invoice link in column fields when exporting invoice details.
Reason: During times of audit, we will need to extract the invoices and it has to be done 1 by 1.
With this function made available, we are able to provide the links to the auditors in 1 click of a button.14 votes -
Customer Statements - Use Contact default to apply template
We are a multi-currency business. We send out invoices in GBP (base currency), EUR and USD. We have 3 bank accounts (GBP, EUR, USD. I therefore had to create separate invoice templates for each currency, to show the correct bank details. I added the relevant invoice theme when setting up a new contact (customer). This works well when raising an invoice. However when manually sending out a statement it does not take the invoice theme from the one chosen on the invoice (= in our case normally default invoice theme on contact). It takes the ‘default template’ = the first…

Invoice Reminders - Ability to send manually
We need to be able to send reminder letters through Xero but as and when, and to all customers, not just those that have fallen overdue since turning on the function. We have just migrated and have to go through each account and send an email outside of Xero to chase these so therefore no audit trail. This seems a key feature which is missing and easy to implement.
20 votesAppreciate you raising the idea, Emma. To round back and confirm current functionality - If needing to send emails for invoices to multiple customers at once you could use the email feature from the contacts list view - See our Xero central article for detail on this.
If it's something you'd commonly do you may like this article in helping you set up email templates where you could create and save a custom template that you'd use when sending an overdue invoice.
It'd be good to hear if there is detail that this method doesn't help you resolve, that we can share back with our product team.

Sales Overview - Colour Code Listing
Can you colour code each row in the "Sales Overview > Invoices" based on "status" so that paid invoice listings are "green", waiting payment are "orange" and overdue are perhaps "red"? At the moment the "Sent" column is the only colour coded column which shows "green" whether the invoice is just "sent" or "viewed" which doesn't make it easy to know which invoice to chase for payment.
