AU Payroll - Payroll Admin to create Time Sheet templates on behalf of employees
An Upgrade to the Timesheets function that would allow businesses to create permanent, personalised templates for individual employees.
Currently, timesheets need to be manually updated each pay period, which increases the risk of inconsistency and errors. Having the ability to set up fixed Earnings Rate descriptions as part of a permanent template would make timesheets more efficient, accurate, and tailored to each business.
For example, it would be very useful if a timesheet template could include pre-set lines such as:
Ordinary hours – Direct
Ordinary hours – Operating
Overtime hours (exempt from super)
Overtime hours (including super)
Overtime Mon–Sat –…

AU Payroll - Add additional Payroll employee for a charge
Please allow adding on an extra employee for payroll in Australia, as is possible in the UK.
The Ignite plan is enough for most small businesses and sole traders, but the jump in price just to add an extra employee means paying more than double, which is cost prohibitive.
Most businesses don't need the add on and accounting tools when you move up to Grow or Comprehensive - allowing for an extra payroll add on for a small charge, would be beneficial for family and small businesses.15 votesThanks for sharing your idea and highlighting how important flexible payroll options are for your business.

Bill Payments - Pay Items Order
Put Pay items in alphabetic order. Why has this changed in the first place and why is it not possible to fix? When you need numerous pay items for different areas and times of the day it is SO time consuming to have to scroll through every item to find the one you need. And they there are a lot that are similar so you have to concentrate on exactly what you need. This is such a VERY basic need, I can't believe it's not fied back to what it was a month ago.

AU Payroll - Apply time tracking to the draft pay run rather than timesheet.
the ability to add dates and tracking categories and attaching them to a project. when entering pays from Payroll > Pay Employees. I know that a journal can be done after the fact, but that is time consuming. Much easier, simpler, faster to do when entering hours.

NZ Payroll - Automatically email payslips
Schedule payslip to be sent on pay day so we don't have to manually do this on pay day... currently I process payroll on a Saturday or Sunday, set up the payements for Tuesday and then have to login on Tuesday to send the payslips as I don't want to send them over the weekend when I process pay (while the employees are relaxing)

NZ Payroll - Auto accrual for additional leave from salary sacrifice
We offer employees the option to sacrifice salary for additional leave. Prorating the salary is easy - just enter a new salary and a day for it to apply from. Giving the additional leave is a pain, as it aligns with the financial year, not the employee's leave anniversary date. At the moment I have to create a new leave type, and manually add the leave balance.

Payroll AU: effective start and end dates for pay items on pay template
Can we please have the ability to add effective start and end dates against pay items. For example, a deduction may only be for 10 weeks at a set amount. Rather than having to setup multiple notes offline to remind us of this, can we have this function setup in the payroll system so it only deducts the amount over the set period specified.

AU Payroll - Notification when leave requests are created for the same date
Encountered an issue where employees annual leave has been entered twice and it doesn’t flag in the system. Unsure if a Xero glitch or a human glitch, but regardless, it shouldn’t be able to process 2 Annual Leave runs for the same dates/ Pay periods.

AU Payroll - Maximum leave accrual limit or expiry dates for leave types.
It would be good to make it possible to either set a maximum leave accrual, or set an expiry date for leave. An example where it could be used would be study leave. We have an agreement with employees that gives them 7 days of study leave per year. Any unused study leave is forfeited after two years. Currently we have to manually monitor and adjust the leave.

AU Payroll: Automate Pay Runs
For any fixed salary employees, there should be an option to automate their regular (fortnightly/monthly) payruns. There's no reason why I need to manually create these for fixed salary employees.
Any changes to salary or leave balances etc are all managed separately via their respective employee records or leave requests.

NZ Payroll - Efficient timesheets data entry and display
Make the New Layout as Efficient/Productive as the Classic Layout. It takes too many mouse clicks to set up the timesheets, compared to the Classic Layout:
1) The Classic Layout had "weeks" for the employer to choose. It didn't require you to click the starting date & the finish date. Can the New Layout have the most recent unpaid week already present, so that the employer/manager can immediately input the hours for each day?

Add option to hide hourly rate on full time employee pay slips where they are using the "Base Salary" pay item.

UK Payroll - Add Project time tracking in draft pay run rather than timesheets
Currently there is no option to allocate payments to projects in payslips. We have on multiple occasions, allocated payments to projects as a manual journal due to payments for payroll not being allocated to projects in timesheets. It is frustrating as you only realise when checking project profit/loss and quite time consuming.

UK Payroll: Default payment reference for Xero wage payments
I'd like to change the default payment reference that appears when I'm paying my employees through payroll in Xero. Currently, it shows "weekly wages" but I'd like it to default to my company name "CS UK Logistics" since I run both weekly and monthly payroll.

Payroll Journals - Customise Description for Transaction Reports to provide better context
When running reports to review Staff costs & looking into account transactions, Payroll journals provide descriptions that don't give correct/clear context. For example, under Employers Pension Contributions, the description provided is "Benefits" rather than Employers Pension Contributions. Or under Employment Costs it just says Earnings rather than "Gross Earnings". A final example was when an employee took unpaid leave, however the only description provided was "Deductions". This does not reflect clear context. It would be helpful if Xero had the means to be able to customise these descriptions or maybe have the option to ask Payroll/Reports to mirror the descriptions…

UK Payroll - Employee address change
When you change an employees address on xero, it changes the address on all previous payslips to the new address it should be the address the employee was living at when the payslip was sent

NZ Payroll - Add fixed allowance capability to timesheets
Currently, employees cannot add allowances to their timesheet if they are setup as fixed amounts (i.e - nightshift allowance where an employee works at night)
An employee should have the capability of adding the allowances they are entitled to where appropriate. The approver would then review before approving.

I’ve moved this to Gaining Support. Currently, pay templates in UK Payroll need to be updated one by one, so a "bulk update" tool would be a huge time-saver for larger teams.

NZ Payroll - Filter Payroll Reports by Tracking Category
The problem:
Xero Payroll does not currently allow reporting by Tracking Categories (e.g. by location, cost centre, or department). While Tracking can be applied to invoices and expenses, payroll reports (Pay Runs, Pay History, Payroll Activity, etc.) cannot be grouped or filtered in the same way.
For businesses with multiple locations under a single entity, this means payroll costs cannot be easily allocated to the correct branch. At present, the only workaround is to export payroll reports to Excel and manually tag employees, or rely on journal postings into the P&L.

UK Payroll - Bank holidays to automatically deduct from annual entitlement
Link the holiday group, working pattern and leave entitlement so it automatically deducts the relevant number of hours taken off for a bank holiday. Our contracts stipulate 28 days including bank holidays pro rated. The holiday group deducts the bank holidays on the pay slips but doesn't reduce the annual entitlement so the leave allowance is always higher than it should be. If you don't use the holiday group so you can circumvent the allowance being incorrect you then have to manually add the bank holidays for each user to ensure the pay and holiday allowance is correct which is…

If an employee is assigned to a holiday group in their Employment information, Xero will automatically add a Bank Holiday/public holiday earnings line to the payslip and reduce their ordinary hours by this amount.
If you want a contract that’s “28 days inclusive of bank holidays,” you can set this up by either:
- Entering a reduced annual leave entitlement (for example, 20 days if 8 bank holidays are included).
- Not assigning the employee to a holiday group and treating bank holidays as part of their regular annual leave.
