AU Payroll - Email auto super code to email address instead of mobile number for overseas travelers who don't always have access to mobile phone
Hi everyone, we just wanted to provide a quick update on this one as the upcoming payday super changes will be top of everyone's minds.
The current approval step is important for both cash flow management and security and the community has also suggested a few different ideas on how to approach this:
- Setting up multiple auto super authorisers - currently in discovery
- Super Payment Authorisation via Xero Verify - currently gaining support
If either of these ideas reflects what’d work best for you, please add your vote, to help us get a clearer understanding what matters most to our community.
When we’re through the thick of EOY and initial payday super is rolled out, our product team will circle back around to these ideas to review.

An email option is a great idea. Also simply allowing each "User" to receive a mobile code to the phone attached to their profile would solve much of the problems. We can manage it through the User rights page.

We definitely need an email option. This has also been flagged to me by several clients. 90% of my businesses would have a standard info@***.com email address that everyone has access to and its crazy that its not possible for the code to be sent here.

Perhaps you could enable verify codes via The Xero Me App. ALL super authorisers need an alternative option.

This should be a matter of urgency with pay day super coming into effect 1 July 2026. Only 1 option of SMS for authorisation codes is too restrictive.

Yes definetally make this urgent, We are a small business and my husband and I are the only people in our business that do the payruns and approve the super processing. I would need to pay for roaming to be able to retrieve the sms code or I would also be concerned if I am in an area that has no signale to my Australian number. When overseas I ussually use a data sim which allows me to use interent and do the pays and wages via the data sim connection. But that means my normal Telstra sim is switched off whilst overseas.

This is a must from Xero! I have had several clients ask about this already and its going to be even harder now with payday super!
I asked Xero support as I have clients that are overseas often and they said the client would need to pay for international roaming to ensure they meet their obligations. How is that the only option in 2026? -

Crazy , that we cannot meet Superannuation obligations while travelling , instead the only solution when running a business on your own is to pay your accountant to receive the code for you to finalise your super

I need to be able to approve super when working from home - currently the codes go to the office phone because it's inappropriate for authentication codes to go to personal devices. I can't exactly take the office phone home; it needs to stay locked up in the office! And I can't exactly call the office to get a code when it's 6pm and they've all gone home!
We need to log in to a secure portal to access work emails and client information (again, having such things available on personal devices is inappropriate), so having something I can log in via our secure portal and access the code I need to comply with the law would be valuable.

I support this suggestion. Having the super approval code sent via email as an alternative to SMS would be very helpful, especially for overseas travellers or users who may not always have access to their mobile number. An email option would provide more flexibility and help avoid delays in processing payroll and super payments.

The option to have the approval code sent to SMS and email is needed especially if the approver is going to be away or can't access SMS especially with the time contraints we will have with Payday super.
I have a client who is a sole trader and will be therefore be the sole approver, express concern of how she will approve super payments within the necessary timeframe from July when she is overseas and won't have access to SMS. -

Yes PLEASE Xero have more than one option. I work with a bookkeeping team and we approve over 50 super payments for clients, this all falls on me as the approver.
It would be beneficial to be able to have more than one approver or the option to get an email so someone else in the team can approve the payments.
I was off sick last week and being the manager of our team I was wondering how things would work in the future and how we can keep our clients compliant with the new pay day super if the approver does not have a secondary option to approve the payment. -

I agree and completely support this option! As the others have said, we need more options (ie adding email codes), especially to make the transition to PayDay super easier.

The current setup for Super approvals is too restrictive and doesn’t reflect how businesses actually operate.
Right now:
Only one approver is allowed
Approval codes are sent via SMS onlyThis creates a significant bottleneck.
In many businesses, approvals are not managed by a single person sitting with their phone at all times. Directors travel, phones aren’t always accessible, and responsibilities are often shared across a team. When that one approver is unavailable, everything stops — including time-sensitive super payments.
We need:
The ability to have multiple approvers, and
The option for approval codes to be sent via email (and/or authenticator app) — not just SMSThis isn’t about reducing security — it’s about making the process workable in real business environments.
From a bookkeeping and advisory perspective, this setup slows down workflows, creates unnecessary risk around missed deadlines, and adds friction to something that should be straightforward.

Offering SMS or email, especially for clients who travel frequently, would be great. You cannot always rely on text messages either.
