AU Payroll - Set up multiple auto super authorisers
Having multiple people as a Super Authoriser would be helpful when the 1st person goes on leave.
Hi everyone, a quick update on multi-authorisation for Payday Super.
We recognise that multi-authorisation is a priority for many of you, particularly as Payday Super approaches and businesses review how they manage super payments in Xero.
Our Product team is actively working on an enhanced workflow for this, which is on track for release next quarter.
We’ll share more updates as soon as we have more to confirm.

If the super authoriser is also the subscriber, as it is for a LOT of small to medium businesses, then that's a single point of failure. If that person gets hit by a bus, there is no way to transfer the ability to pay super fast enough to meet payday super requirements, and they'll be subject to penalties from the ATO through no fault of their own.

Allow multiple automatic superannuation approvers for xero super clearing. With pay day super starting this process will become a lot more frequent. If more than 1 person can approve the superannuation payment will improve the processing of super. If the current person is away it means the xero subscriber has to edit the current details of the approver which can be very time consuming.

To make compliance with Payday Super easier, we'll be adding:QE columns in the Payroll Activity reports to help you track payments and check that QE posted amounts are correct.
Better visibility of at risk super payments and notifications to encourage same day payments
Inclusion of the required QE values as well as super contributions in STP reporting, in line with the ATO guidelines
Verification of employees' super fund details using Member Verification Request, reducing rejected contributions
The ability to manage the maximum contribution base as part of reporting
Nomination of an alternative authoriser for super payment

It is just a hinderance and ridiculous that only person can be an authoriser. We have several staff who do payroll in our office, and this is to ensure someone is always here to process payroll and super in the event of staff holidays, sick leave, absences, meetings, etc. What is Xero thinking?

Christine is right. The authorisation for Super has a background bank authorisation - if you process in Xero it automatically debits the funds from the bank.
Having an unsecured login and phone to gain access to the code and login authority to process Super in Xero is a huge security risk.Xero - would you please provide an update as to when you will be making a second secure authority provision?

I acknowledge the recent communication from Xero's Community Manager advising that there has been significant customer discussion regarding Payday Super and that this matter is currently on the product team's agenda, with a potential solution anticipated later this year.
However, I am concerned that this timeframe does not adequately address the operational requirements imposed by the new Payday Super legislation, which comes into effect on 1 July 2026.
The Australian Taxation Office (ATO) formally called on employers and software providers to prepare for Payday Super on 11 November 2025. Following the passage of the legislation, Xero commenced communications with Xero customers and provided guidance regarding the upcoming changes. Given this lead time, I would have expected critical functionality to have already been developed and implemented.
A recurring concern raised by many Xero customers is the inability to nominate more than one authorised mobile number for superannuation payment approvals. This creates a significant operational risk. If the nominated individual is unavailable due to leave, illness, travel, or any unforeseen circumstance, superannuation payments may be delayed because they cannot be authorised.
Under the Payday Super legislation, employers will be required to ensure that Superannuation Guarantee contributions are received by employees' superannuation funds within the prescribed timeframe of 7 days. A system design that relies on a single point of authorisation increases the risk of payment delays and potential non-compliance.
Given that these concerns have been consistently raised by customers since the legislation was announced, it is difficult to understand why a solution remains under consideration rather than already being delivered. Advising customers that this functionality may be available "later this year" does not provide sufficient confidence that businesses will be able to meet their obligations from 1 July 2026.
I respectfully request that Xero prioritise the implementation of multiple authorisation options for superannuation payments and provide customers with a clear timeline for delivery. This functionality is not simply a convenience; it is a practical compliance requirement that will assist employers in meeting their obligations under the new legislation.

Burner phone is only half the solution. You would also need to have Xero access through a generic email address that multiple people have access to, which is not ideal from an audit and accountability perspective. That said, it is a possible work around if the operational requirements outweigh the need for strict user tracking.
The fact that we are all talking about a work around for this, when it will be a legal requirement in less than a month, just shows how much the ball and chain are being dragged instead of being picked up and run with.

Will a burner phone work though? We tried having the authorised person send the codes to someone in the office trying to process super and it still didn't work because the person processing it was not logged in under the authorised person's login. If someone has gotten around this, please share!

the most practical workaround I've seen is to buy a burner phone to stay in the office as the single approval device. Of course this raises a raft of other security risks, but will facilitate compliance with payday super.

Can we please have an update as to the expected implementation of this feature. Our clients are asking us for advice on when this will become available and we need to be able to advise them.
I note many other software providers have advised in their recent PayDay Super setup communications that having multiple authorisers/back up authorisers is best practice. -

@thurgoona preschool admin, this has nothing to do with your bank account, I am a bookkeeper for a number of school P&C's and there is no authorisation required in the actual bank account as it goes through as a direct debit. The authorisation is in Xero where they only have one person and if that person is not available there is an issue, so users are asking Xero to have multiple people available to authoriise superannuation payments, one of those people would authorise.

This needs to be actioned ASAP as I have clients that just sit on their super authorisation until they become overdue, they still want to be able to do it but are too busy at times to login to Xero. This is extreamly important to ensure payday super is done on time.

@Thurgoona Preschool, unfortunately this will not help as it is not the bank account that direct debit is processed to that is the problem.
The problem is that the Xero Superannuation approval process only allows one person (with one mobile number and one email) to authorise the superannuation payment. If that individual and mobile phone is not available, the superannuation payment cannot be authorised.
Xero needs to address this as a matter of urgency by allowing multiple users the ability to authorise superannuation payments.

In the meantime we are thinking of opening a new bank account with one signatory to bypass this problem until a solution is created by Xero, is that what other businesses are doing as well?

This needs to be actioned NOW to allow compliance with the new super changes and implemented before the 30th June 2026
