  2. Expenses - Claim query function. Rather than just approve or deny, an option to query with a note to the submitter about the details of the claim or to add a better/proper receipt etc

  3. If Xero Expenses' OCR reader doesn't find a date in a photo/receipt, it sets it as 19 Feb 2022 (from reviewing a number of Expenses in my organisation submitted in December 2022 that don't have visible dates).

    It would be more helpful to set the date as the day the Expense was initially created.
    The submitter is likely to have incurred the Expense on the day they take a photo of the receipt.

    As it currently is, if a period isn't locked and the Approver isn't checking dates, they may inadvertently post entries to the wrong period, even a historical/filed…

  4. When entering an expense claim you can only assign it to a supplier if you paid with company money. If you pay with personnel money the supplier field is only free text and doesn't list suppliers to choose from.

    I would like it so that we can search for suppliers and see everything that has been purchased from them no matter if it was paid directly to them or from one of our team members' back pocket.

  5. Xero Expenses - be able to change an expense claim submitted by an employee through the Expense App as Personal money (reimbursable) to Company Money (non-reimbursable). Currently within Xero Expenses, you can change the 'How did you 'pay' on an employee's submitted expense only if it was processed as Company Money (non reimbursable). It would be good if we could also do it the other way round in that if an employee submits an expense on the app as Personal, it could be changed to Company.

  7. Allow casual, one off, expense claims WITHOUT needing to purchase the "Expenses" subscription.

    I am the treasurer of a Men's Shed and, occasionally, members use personal funds (either card or cash) for Shed expenses, generating an expense claim. These are rare, usually one off, and might not occur again.

    Could an exception be allowed for this, within the software, that would allow a one off expense to be recorded? This could then then trigger the need to purchase the "Expense" module if that person had any future expense claims within, say, 12 or 18 months.

  8. Ability to trigger notification when expense claims are awaiting approval and approved status.

    Purpose: So the approver can review the expenses faster and the one who’s asking for an approval don’t need to wait longer for approval.

    Hi team, we appreciate and thank everyone for feedback. While we began a roll-out for the notification changes mentioned in my last update, as shared in some of the recent comments this resulted in a fair amount of noise for some customers inbox.

    We've made the decision to turn off the recent notifications changes.

    We'd like to provide more controls around this so users can set a preference, however this does require a fair amount of work and not something we're able to do right now.

    Please know we have keen eyes on this idea and when we're in a position to progress this again I'll share news with you all here. Thanks

  9. Ability to have a flag feature when potential duplicate expense claims are uploaded.

    Purpose: To make users easily noticed when the same/similar expenses are already uploaded.

    Hello everyone, thanks for the detail and support shared for this idea. We understand how recurring expenses would enable efficiency when you have frequent expenses of a similar nature (like subscriptions), so have moved the idea to Accepted.

    Currently there is work needed within expenses to enable us to develop this capability. Once we're in a better position to be able to dive deeper into this work, we'll review all of your suggestions and share any progress with you here.
