    Would still need to consider an optional trigger here as different businesses process projects in different ways. 

    Appreciate the efficiency play and while this isn't something we have plans for atm, we'll track the interest of this here. 

  3. Feature suggestion: Draft invoices should not appear as “Invoiced” in Xero Projects until approved

    In Xero Projects, invoice line items assigned to a project currently appear as “Invoiced” even when the invoice is still in draft status.

    This creates a major reporting issue for construction businesses and any business that uses staged billing, contract milestones, progress claims, or forward-planned invoicing.

    For staged construction contracts, we often need to prepare draft invoices in advance for agreed contract stages, such as deposit, slab, frame, lock-up, fixing, practical completion, or variations. Drafting these invoices ahead of time is part of good project administration.

  4. It would be helpful if you could add a description or comment field to tracking categories. This would allow us to add keep category names concise and then add more information to in the description field so that we can describe things like how it is used, start and end dates for event tracking etc.

    Hi everyone, thanks for sharing this idea. We understand that having more context around Tracking Categories could help teams apply them consistently, especially when managing more complex reporting setups.

    The suggestion is to add a description or notes field to Tracking Categories, giving teams a place to record how each category should be used.

    For now, some teams use internal guides or shared documents to keep these details available. We’ll continue tracking this idea here, where other users can add their feedback and examples to help shape future improvements.


  5. It would be great if cost codes or tasks automatically linked to a job once they’re assigned to a customer or project. At the moment, you have to assign the task and then separately select the job from the tracking dropdown, which feels like duplicating the same step. Ideally, once a cost code or task is assigned to a customer or project, it would automatically populate and link in the tracking section. This would streamline the workflow and reduce the chance of mis-entering or incorrectly assigning information.

    Hi Ryan thanks for raising this with us. We appreciate the need for a Tracking option within the Projects space. While this is not available currently we will open this up fro the community so they can add their vote. Did you know if you've set up tracking categories, you can assign a category to use for the contact's transactions from the contact default section?

    When you create a new transaction, click in the tracking field and the assigned category will populate (you don't need to select it from the list). You can refer to the subheading Default Settings here .Cheers!

  6. Ability to change the default work week for entering and viewing time entries in Projects.

    Purpose: Allows us to easily view employees time in the work week that we use for an outside Payroll.

  7. Just brought on a new client on Xero that runs large number of projects. At the moment, Xero does not provide a facility whereby we can bring forward opening blalances for ongoing projects.

  8. When I post an expense through to a project, for some reason it limits it to 100 characters, which pretty much makes it un-useable for me.
    This is annoying, as I was just thinking how handy the projects app is, but now all the "projects" I've set up are basically a waste of time as I need the extra detail on my invoices.
    Please can you change this?

  9. I would like a solution to be able to import a list of projects. ie project number, client name, project description. It is very time consuming to setup projects individually one by one. Would be much easier if I could create an excel listing, convert to csv and import to xero

    Thanks for raising a request for a bulk project import tool in Xero Projects Kesini. Feedback like this helps our product team understand where bulk tools would save the most time, so thank you for taking the time to share it. We'll move this idea to gain more support from the community and keep you posted here.

  10. We would like the possibility to assign a validity period to each new "Tracking Category" entry.

    This would mean that you don't have to see all options every time the Tracking Category drop down list is selected e.g. when entering an invoice.

    It would also help to limit the Tracking Category options available to employees, for example, when they enter their expenses.

    Hi Amanda, Tracking was originally designed to be used as a way to track and monitor parts of the business that did not have a lifespan like departments. Appreciate there are many different ways our customers have grown to use tracking, and we'll start to track the interest in this through your idea. But do want to be open that we don't have any plans for this at present.

  11. Job Car Creation with Check list for empployees

    Having the Ability to do all things in one app without intergration would be ideal and more cost effective and productive.

    Simple

    1.Creating Jobs
    2.Add Customer
    3.Add Vehcile/Vessel
    Port & Starboard - Model Numbers, Serial Numbers
    Generaor Model Number, Serial Numbers
    4.Add Fault Description
    5. Engine Hours
    6.Trailer Brand
    7. Trailer Details - VIN, Model Number, GTM, ATM, Overall Length, Overall Width, Materail

    Everything needs to revolve around job Numbers

  12. On projects under "quotes & invoices" it would be great if it showed the remaining balance of the invoice. I send 4-5 invoices per project and sometimes clients pay a random lump sum and i write it off against the invoices but that can lead to an invoice being part paid and being able to see which invoices have been paid or have a remaining balance under that view would be beneficial instead of having to get out of projects and searching the invoice under the invoice tab.

  14. When converting xero projects / Invoice

    6 employees work for the last month gets dumped on to the invoice in alphabetical order and from the latest date they worked

    The client needs to see this in cronological order and with each task for the said date

    eg

    1 July

    Dave
    Fred
    jim

    2 july
    Dave
    Fred
    Jim

    At the moment this task of ordering said invoices can take about half an hour of ferrying each transaction up and down the page. Before Editing

    So needs a filter button installed to do this please

  16. When a quote has been accepted, instead of then having to go to Projects to make a new project would be more efficient to then have so you can turn the project into a project from the quote.

  17. It would be incredibly helpful if we could have project names available as a column option in standard financial reports. This is something we currently have to add manually into the reports we run monthly.

    Hi Polina, thanks for highlighting this idea. We can see how having Xero Projects data available within standard reports could make it easier to analyse financial performance without needing to switch between different reports.

    While Projects data isn't currently available as a reporting filter in standard financial reports, using Tracking Categories alongside your projects can help if you need project-based reporting within reports like the Profit & Loss.

    I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are particular reports or project metrics you'd like to see supported, let us know so we can capture those use cases too.


  18. Invoices created by the Projects API show in Xero accounting as "System Generated" therefore the user that created the invoice in projects cannot see the invoice or quote if they have Invoice Only + Draft.

    Xero is missing just a key user level - where account managers can see and manage sales invoices, but can't delete or edit. Projects seems a good way around this limitation, but the inability to see invoices kills that.

  19. It would be great to add an "Item" to a project, that would, as a whole include, tasks and expenses.

    For example, Kitchen/cabinet maker, Project is a whole house, I want to add items to the project of say, Kitchen, Laundry, Wardrobe etc.

    and then either it just has a dollar value to it (no tracked time or expenses), or have the ability to add specific expenses and tasks to the item.

    Then when you go to quote, all items are split apart with their expenses and tasks separate from the other items.

  20. Time adjustments or credits within a Project | Time entries in Projects works well and it makes sense that a time entry is locked once it is invoiced. However we regularly need to make adjustments for situations like (a) incorrect entries, e.g. billing time on a public holiday not worked, that we want to credit back against the invoice or (b) moving time between tasks within a project. I understand that Practice Manager has a "Time Credit" feature that may be suitableto this need if it could be made available in Projects. If not we need something like a manual…
