  1. Reports: Project Financials
    Include the ref of bills and invoices as an optional column on this report. At present the only way to include this information is to re type it into the description of each line on a bill or invoice, which is not efficient.

  2. Projects - It would be helpful to be able to open multiple timers at once. Sometimes I work on one project and then get interrupted to work on another. I would like to be able to open a new timer without having to save and close the time on my original timer. I could then come back to the original timer and resume time recording after closing and saving the new timer.

  3. Add a button to move an estimated expense to become an actual expense. Would save time having to copy and paste the description. Add ability to amend final cost.

  4. Please increase the character limit for line descriptions when generating invoices from Projects.

    Right now, if a bill line has a description that exceeds the small character limit, it gets cut off on the invoice. I have to then manually open each bill, copy the full description, and paste it into the corresponding invoice line. Obviously this is extremely time-consuming and inefficient for something that seems like a relatively small backend fix that would make a big difference to everyday usability.

    Is anyone else dealing with this?

    While increasing the character limit of a bills description when invoicing from a project isn't something we have plans for atm, we can gauge the interest from community in this and will update you if there's any progression.

  5. It would be useful if when manually adding an expense to a project, there could be a description box available as well as entering the expense name. We sometimes need to elaborate on those costs for the numerous people looking at that expense but there is no-where to put this information unless it's added to the expense name.

    Hi Nicola, really appreciate you taking the time to share this idea. Right now, the only place to add detail when recording an expense in a project is the Expense Name field, which is limited to 100 characters. You can consider this as a workaround to include a short description with the title— but we know that it’s not an ideal solution when you need to provide more context or add a professional level of detail.

    This idea is now in the Gaining Support stage. If you’ve found creative ways to work around this or have thoughts on what a proper description field should include, we’d love to hear them. The more insight we get from real workflows, the more helpful it is in shaping future updates.

    We look forward to seeing more discussions on this idea.

  6. It would be good to have customer or site supervisor sign off time entry's when created, and even a way to send copy of signed time entry to task

    Hey Jason, really appreciate you putting this idea forward. Getting a customer sign-off on project time entries just makes sense, it’s one of those things that can save a lot of hassle down the line.

    Having a built-in digital sign-off could bring extra clarity and confidence for both you and your customers, creating a clear record of approval before invoicing. It’s a simple step that could save time and build trust in your projects.

    At the moment, Xero Projects doesn’t offer a built-in way to collect customer signatures, but it’s clear this could be a helpful addition for many of you.

  7. To display the potential project margin % and variance from expected invoice and costs as baseline to compare with actual performance. OR allow the project report to be customised to add calculated fields. So staff can instantly see the potential of the project, and look to adjust if necessary before sending to quote or invoice.

  8. When creating an invoice from a project-keep items in the same order as they appear in the project. It is very confusing when all the items are in different places than they were in the project and I have to reorder everything.

  9. It would also be a lot more practical to assign the expenses to projects in just the same way as it's done in invoices, instead of assigning them via the project tab. I notoced that not all expenses are taken into account and I had to go back to each bill to redo the project assignment to make sure that everything is accounted for, and even then, i find that there are still gaps.

    The invoice project assignment method has the merit of showing what was assigned or not.
    Having said this, it would also be very useful to have…

  10. I think the idea of Xero Projects is great. However, it requires a lot of hand-holding and reentering information to go through a project life cycle.

    Here are my top 10 improvements I think would make a FAR smoother experience.

    1. Pull through items quoted into the project as tasks once 'started'. This should be a bare minimum. At the moment tasks have to be manually added to any project.

    2. Push the project title into the reference tag so it displays in the Xero invoice list (otherwise there is no high-level description of what the job is for an invoice). Or…

    That's a few points you've listed, Nicholas. Sorry it's taken a while to respond to you here, and do appreciate the feedback.

    It's best for each point you've raised to be recorded as separate ideas so the community know what they're voting for, we can get a clear sense of interest in what customers are wanting to see, and we can keep you updated if a particular idea progresses.

    We have a few ideas that have been started and appear to relate to things you'd like to see too, I've adjusted the title of your idea here to represent your point on adding the project title to the Quote reference but for the others I'd recommend starting new ideas for each of these so we can start to track the interest from the community.

  11. Restricted to entering 9 digits before the decimal place in estimated expense unit price/total fields.

  12. Scenario - Multiple projects open. If materials are purchased at eg a builders merchants for mutliple projects on one invoice/receipt, it's not possible to allocate the spend to individual projects which is madness. It seems that the total invoice/receipt must be assigned to ONE particular project. When materials are bought, it's often far cheaper to buy them in bulk, hence buying for more than one project at the same time. It should be possible to therefore assign individual lines on the invoice to a particular project (a bit like tracking).

    Hi Clare, if you're adding an expense from within a project, it's expected that the expense you're creating is related to the Project you're in. You could create a Bill within the Bills to pay area where you can assign individual lines of your bill to different Projects. 

  13. Projects: On project summary report include column for who project is assigned to. This will be useful if calculating work in progress per assigned user.

  14. I am trying to add a list of inventory items to a project quickly, to estimate cost, is there an easy way to upload an excel sheet with all the inventory items & quantities?

    I need to add multiple items like over 60 each with their own quantity... Can I upload a list? Instead of individual listing?

  15. To be able to search the Tracking Categories on the set up page. Also to have a duplicate warning would be very helpful.

    This search function would stop a Tracking number/ name, being entered twice. The list for us is very long!

  16. In Xero Project it would be useful to create sub teams within the staff. For example, we have different office locations and would like to filter our reports, or view projects by those office locations.

  17. Instead of delete - can we lock tracking category - for our business - this is very critical if we post any transaction accidentally as we have more than 200 in tracking - any solution for this

  18. We are a small consultancy firm and we do work for customers for multiple sites. We set up our projects where each task is a separate site. We need to be able to search for these tasks but the search option only allows searching at a project level. Can you please update the functionality to be able to search based on task name?

  19. The projects detailed report shows the estimated expenses on separate lines to the actual expenses incurred against that estimate. It is a manual process in excel to move the expenses around so that the report can reflect Total estimate less total spent and balance remaining. While this information is available on the projects page, it can't be pulled out as a report which is frustrating.

  20. Automatically opens a new window when preparing Draft invoice from Projects Screen. This means the project screen stays open to do your next invoice rather than having to navigate back after you have approved your invoice.

    Hi team, just having a little play in Projects - while it won't work for Deposit or Project Amount creation, if you're creating an invoice from a Project for Tasks & Expenses you'll be able to hold down 'ctrl' while clicking on this option and should find this opens the Tasks and expenses screen in a separate browser tab. 

    Totally get this doesn't resolve the idea here, but wanted to share for those it helps 🙂
