  1. Automatically add expense receipts associated with an Expense Claim to a Project that converts to an Invoice within a Project. Currently, the Expense Claim description is the only info added automatically to a Project when the claim is associated with the Project. Ideally, we need the receipts associated with those Expense Claims also added automatically from the library to the Project without having to search in a long list of library receipts for a match when creating a customer Invoice for expense reimbursement.   2. It would be helpful to link our 2 tracking categories together. As it stands, we've got departments within our business as tracking category 1, and divisions as category 2. It would be so helpful if we could put default links in place, as each department links directly to a specific division in the business. That way, when we go to post sales & purchase invoices to the ledger, once a division is added to the tracking category field, the division is automatically populated.

  3. Staff members gets pay reviews each year, which means their cost change. But we are unable to get the change to commence from a certain date so reporting for prior year projects won't be accurate. any way we can put a change commencement date so reporting is more accurate?

  4. Update inventory when it is posted as an expense to a project as this makes more sense as clients use the project reports to calculate WIP and it is annoying to have to constantly check which inventory figures have been applied and deduct this from the inventory. It also means when projects are billed this actually reduced the stock figure as this only happens when you invoice the project for the tasks and expenses whereas currently invoicing using the project amount does not update the inventory.

  5. Ability to add a "Site Address" for the project. I have clients who are landscapers or in the construction industry and may have one client with multiple projects that each have a different location.

    Hi Shelby, thanks for sharing this idea. We appreciate you bringing this to our attention. At present users are utilising tracking categories to track different locations of a project. However we appreciate the need for a seperate field for address. We're moving this idea to gain more support from the community. Feel free to share it with your friends and colleagues so they can add their vote and comments.

  6. It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

  8. It would be ideal to filter analytics (Business Snapshot) by tracking category and show only income/expenses for each Tracking Category on the dashboard e.g by Department/Region/Product etc.

  9. We run a music festival of 10 concerts. Each concert is set up as a tracking category. It would be great to spread the direct and admin costs across evenly acoss all 10 concerts in a way that doesn't involve entering each invoice across 10 lines.

  10. I want to be able to group/merge multiple expenses being on-billed into one line on an invoice, even if they're not a tracked expense.

    For example, if a contracting company has billed for a fortnight of the contractor's work, but has separated that into two lines, each dealing with one week, on their bill, then the draft that is created when they e-invoice me will have two lines. When I assign these lines to a project and approve the bill, each line shows up as a separate expense to be on-billed. If I am on-billing the full fortnight, I would…

  12. Basically calendar to add draft invoices to, to use as a job scheduling calendar.

    Add draft invoices/job to a date add basic detail to the schedule day and it saves the detail in the description row on invoice with the date.

    Each time you add an invoice to a date and you add detail it adds new row with simple details

    Once finished you finalize draft invoice as normal.

    Hi Michael, returning to your idea here this'd be quite a difference to the way in which Xero works today and we don't have any plans of adding an invoice calendar to be able to schedule tasks that'll add new rows to an existing invoice.

    That said, we have another idea for being able to add a date column to invoices that you may like to join and would be a step toward what you're hoping to achieve here.

    Alternatively, if not already I'd recommend exploring Projects that enables you to add tasks and expenses on the fly. When ready you can create draft invoices from the tasks and expenses within a project which can be carried through as either a combined line or individual lines on your invoice.

  13. It is possible to see a list of bills not assigned to a project.

    However, I would like to be able to see a list of all transactions not assigned to a project including spend money and receive money.

Currently Unallocated Expenses in Xero projects just show the item line description Which can make assigning to an estimated expense difficult especially when you have "Delivery Charges" I propose a change so that once an expense is allocated to a project and falls into the unassigned it shows the name of the supplier

  16. You are currently unable to see the projects within the contacts tab against a contact within Xero.
    This would be really helpful as I have some customers that have several projects on the go at one time. This would make it easier to go from one project to another for one client. It would also be a quick reference location. The added quotes, invoices and credit notes added to the contact has been a great step in simplifying contact management - the project listing would complete the loop.

  17. Xero Projects - Group estimated expenses
    It would be helpful to be able to set up categories to group together estimated expenses. For projects with lots of different expenses but of a similiar type it would be useful to be able to group these to more quickly see the various costs of a project. For example, to separate out administrative costs from material costs at a glance, so there would be a 'category' into which we could put tasks, estimated expenses and expenses to distinguish from other major costs while still tracking individual costs against the specific estimate.

  18. When you need to create a new tracking option in the sales invoice screen, you have to search for it again after you have just created it.

    This used to work where it would keep the tracking option you just created but now you have to then search for it to select it again. Doubling up.

  19. Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.

    Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.

    Benefits of this feature:

    Aligns income forecasting with existing expense tracking.

    Improves visibility of project profitability before actuals come in.

    Helps businesses plan resources, budgets, and cash flow more effectively.

    Hi Jalal, thanks for sharing this idea with us. We can see why this would be helpful for some users. Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community. We'll watch it closely for more traction. In the meantime, you can share this idea with your peers who might want to see this feature in Xero as well.

  20. we are currently setting up our company so that all employees use projects to keep track of time entries.
    however, we have given majority of our employees limited access as they don't need to see much, but it means they aren't able to add their expenses on. This isn't ideal for us as our employees do a lot of travelling and need to be able to add their own expenses on to claim their millage back, is this something that could be changed?
