Would it be possible to set up repeating projects? IE if I do the same work for a client each month to save me keep setting up a new project could I choose for it to be a repeating project?

It would be great to have the ability to assign New staff to all existing Projects without having to open each Project individually. Perhaps a multi select drop down. Currently I am having to open 40 projects and add the new staff member in one at a time.

Xero Projects - Auto attach files from Expenses to Project
Automatically add expense receipts associated with an Expense Claim to a Project that converts to an Invoice within a Project. Currently, the Expense Claim description is the only info added automatically to a Project when the claim is associated with the Project. Ideally, we need the receipts associated with those Expense Claims also added automatically from the library to the Project without having to search in a long list of library receipts for a match when creating a customer Invoice for expense reimbursement. Analytics - Filter by tracking category
It would be ideal to filter analytics (Business Snapshot) by tracking category and show only income/expenses for each Tracking Category on the dashboard e.g by Department/Region/Product etc.

Tracking categories - Spread costs across tracking categories
We run a music festival of 10 concerts. Each concert is set up as a tracking category. It would be great to spread the direct and admin costs across evenly acoss all 10 concerts in a way that doesn't involve entering each invoice across 10 lines.

Contacts - Tab to view associated Projects
You are currently unable to see the projects within the contacts tab against a contact within Xero.
This would be really helpful as I have some customers that have several projects on the go at one time. This would make it easier to go from one project to another for one client. It would also be a quick reference location. The added quotes, invoices and credit notes added to the contact has been a great step in simplifying contact management - the project listing would complete the loop.15 votes -
Tracking - Link options within categories
It would be helpful to link our 2 tracking categories together. As it stands, we've got departments within our business as tracking category 1, and divisions as category 2. It would be so helpful if we could put default links in place, as each department links directly to a specific division in the business. That way, when we go to post sales & purchase invoices to the ledger, once a division is added to the tracking category field, the division is automatically populated.

Projects - Set date for change of charge rate
Staff members gets pay reviews each year, which means their cost change. But we are unable to get the change to commence from a certain date so reporting for prior year projects won't be accurate. any way we can put a change commencement date so reporting is more accurate?

Projects - Allow staff cost rate and charge out rate
We have an individual staff cost rate and individual staff billable/charge out rate.
Staff work on the same task's in a project.
The hourly rate on a task only allows one entry so does not capture the individual staff billable/charge out rate

We can see how having separate staff cost rates and charge-out rates in Xero Projects could provide a more accurate view of project profitability.
While Projects doesn't currently support individual internal cost rates for each user, some businesses use Tracking Categories alongside payroll and project reporting to compare revenue and staff costs. We appreciate this isn't the same as having dedicated cost rates built directly into Projects.

If there are particular reporting views or profitability metrics you'd like this to support, let us know as those examples help us better understand how this could fit into your workflows.

Projects - Available in standard reporting
It would be incredibly helpful if we could have project names available as a column option in standard financial reports. This is something we currently have to add manually into the reports we run monthly.
14 votesHi Polina, thanks for highlighting this idea. We can see how having Xero Projects data available within standard reports could make it easier to analyse financial performance without needing to switch between different reports.
While Projects data isn't currently available as a reporting filter in standard financial reports, using Tracking Categories alongside your projects can help if you need project-based reporting within reports like the Profit & Loss.

Invoices - Create invoice to a date. Simple scheduling calender
Basically calendar to add draft invoices to, to use as a job scheduling calendar.
Add draft invoices/job to a date add basic detail to the schedule day and it saves the detail in the description row on invoice with the date.
Each time you add an invoice to a date and you add detail it adds new row with simple details
Once finished you finalize draft invoice as normal.
14 votesHi Michael, returning to your idea here this'd be quite a difference to the way in which Xero works today and we don't have any plans of adding an invoice calendar to be able to schedule tasks that'll add new rows to an existing invoice.
That said, we have another idea for being able to add a date column to invoices that you may like to join and would be a step toward what you're hoping to achieve here.
Alternatively, if not already I'd recommend exploring Projects that enables you to add tasks and expenses on the fly. When ready you can create draft invoices from the tasks and expenses within a project which can be carried through as either a combined line or individual lines on your invoice.

Xero Projects - Select the date when closing the Project
Our financials include a report on the profitability of projects closed during the month. Because the system writes the date of closure from the actual live date that the user marks the project as closed, the user needs to make sure that each project is marked as closed immediately on the date of completion. E.g. If a project is completed in the last week of the month the user must ensure that the closure field is ticked during that week and not wait until the following week.
Can you allow the user to enter or amend the closure date ?

Project Timer - it would be great when using the timer for it to automatically enter actual start time and end time into the time entry, rather than just a duration.

Projects: Update inventory when a tracked inventory item is added as an expense
Update inventory when it is posted as an expense to a project as this makes more sense as clients use the project reports to calculate WIP and it is annoying to have to constantly check which inventory figures have been applied and deduct this from the inventory. It also means when projects are billed this actually reduced the stock figure as this only happens when you invoice the project for the tasks and expenses whereas currently invoicing using the project amount does not update the inventory.

Projects - Add Estimated Income Feature
Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.
Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.
Benefits of this feature:
Aligns income forecasting with existing expense tracking.
Improves visibility of project profitability before actuals come in.
Helps businesses plan resources, budgets, and cash flow more effectively.

Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community. Projects - Allow limited-access users to add expenses
we are currently setting up our company so that all employees use projects to keep track of time entries.
however, we have given majority of our employees limited access as they don't need to see much, but it means they aren't able to add their expenses on.
