  1. In the activity tab in contacts, it'd be great to be able to have a "files" column just like in the bills section, so that we can preview the invoices to the side rather than having to click into the bill to see the invoice.

  2. Currently, when filtering smart lists by location you can only add [city, state] tags. It would be nicer to be able to just add country tags, to sort / view contacts by country as opposed to by city.

    This would also allow new contacts in that country to automatically be added to the list, vs needing to handle this manually.

  3. During the creation process, we should be allowed to update all fields necessary on the Contact record.

    Example I have at the moment is one of my customers needs to set their clients details within Xero so they can invoice them correctly. At the moment we can't use the API to set the Website field.

  4. Our contact cards are set up automatically through an API directly from our billing systems (we have multiple systems that are all coded differently). Fields like currency and branding are not updated with this link; therefore, the fields default to our Xero account settings. We want to export the contact card list with these fields to identify the clients with information that needs updating, to then fix and import in one step instead of updating each card.

  5. Bulk Configuration Extract from Hubdoc

  6. At present you have to enable indvidual currencies in Xero settings to allow a purchase receipt in this currency to go through from Hubdoc. If the currency is not pre-set up in Xero then the default is that that the purchase invoice reverts to GBP which means that you then have to reset the currency in Xero. If all currencies were automatically enable for Premium subscriptions this would be avoided and would not rely on each individual currency being manually added to Xero.

  7. After reporting a bug (can no longer preview contact files) I was given the following response :

    "As you’ve found, right now it’s not possible to preview contact files anymore. You can however, download it and view it instead.
    I’ve included a link to Xero Product Ideas where you can view and support current ideas or create a new one to share your thoughts."

    When something breaks you fix it. You DO NOT pretend that fixing it is a "New Feature" - that then needs requested and voted on.

  8. Could there be an option to link an address for a contact group to members of that group?

    We have many NHS customers who order under individual staff names but are linked to NHS Trusts. So for instance, John Smith, David Brown, Elle Davis may all work for Clydeside NHS.

    We'd like to have them all grouped under "Clydeside NHS" (can do that) and be able to flag that they all share the same Billing Address which is an attribute of that Contact Group.

    At present we have to maintain each separately and this doesn't help with spotting that they…

  9. When I am manually entering a contact bank account number, I find it disconcerting to be warned to enter the bank account number after I leave the BSB code field. But I HAVE to leave the BSB code field in order to move to the Bank account number field! Leaving the BSB field is not a mistake!
    I think the warning would be better triggered if you attempt to click on 'Save & close' without completing both fields.

  10. The way that you can preset (and save) coding in spend money bank rules in Xero between "Fixed items" and "remainder items", it would be extremely useful to be able to do this with bills that are uploaded to Hubdoc.

    You would then also be able to save the multiline configuration in Hubdoc so that when the bill autosyncs with Xero it has the desired split between fixed and remainder items.

    Hi Amna, could you explain your idea a little more? Would this be to send bulk comms to multiple contacts from Xero, or something like being able to set different persons on a contacts record to receive different types of transactions or communications? 

  12. The longer I use Xero the more supplier invoices it stores.
    When I use the recent bills report it takes so long to go back to the beginning 2015 in my case before it allows you to put in a date search.
    It would be great if we could have a function to archive old supplier and customer invoices- not losing them altogether but just in the background to be viewed if needed.

  13. In Canada we need to file T4A slips for contractors. We can create a group of suppliers/contacts who would need a T4A, and we can create saved custom reports for the transaction lists, and we can add all their details to the contact, but we can't combine all this info into one report. It would be great if we could have a report that let us see both the amounts paid to a contractor AND their contact details in one report that we can then use to prepare the slips. Even better would be an actual workflow that we could…

  14. Allow customer's company and/or contact name changed as of an effective date. Retain original customer's company and/or contact name prior to effective date and future business is recorded post effective date with new customer's company and/or contact name.

  15. Would be great to be able to assign a special rate to a particular client so that rate generates each time you invoice that client and also add tick box to mark as bad debtor which flags them up.

    Hi Denise, thanks for sharing this idea! We can see how a “Bad Debtor” flag could be a really useful tool for managing risk. When your business is busy, you don’t want to accidentally extend credit to a customer who’s already significantly overdue.

    Right now, the absence of an automated alert means staff often have to double-check a customer’s payment history or risk raising an invoice for someone who should be on a stop-credit list.

    As a short-term option, you can use the Contact Notes field. Adding a note to a contact makes it visible when viewing their details, though it doesn’t yet “pop up” during invoicing.

    Regarding your idea on default rates, you can already assign a default discount rate to contact records. You can also use the Untrack Items feature to make data entry faster and reduce manual effort.

  16. The HubDoc Ui/Ux is outdated, we all know it. But its a good product. With the addition of the "Upload Bills" feature to Xero, it would make sense to just bring the full functionality of HubDoc right into the Ui of Xero rather than invest in the standalone product of HubDoc. It keeps us on one screen within Xero and eliminates all the nuances of the sync/integration.

    Maintaining backup to DropBox or Google Drive is key though. That makes it feel like a 'safe' backup method for receipts.

  20. Noticed that the BRN can be filled in the "Business Registration Number" data field in Xero Contact, but how about the individual contact with an Identity Card or Passport number?

    Even we can fill the IC / passport number in the BRN field, but how to choose the ID type (whether it is IC No., Passport No., BRN, or Army No.)?

    Hi Liew,thanks for raising this. We can see how having a dedicated field for e-invoicing IDs on a contact would make things easier, especially when you're managing different ID types and need a quick way to reference them.

    At the moment, you can enter specific IDs like the BRN, but there’s no option to add a custom or more general ID type.

    This idea’s now in the Gaining Support stage. Your input helps us get a better sense of how useful this would be across the wider Xero community, and feeds into how we prioritise updates. We’ll share more here when there’s progress.
