  1. To show a negative number in customer balance, when customers have a prepayment.

    Purpose: To make users easier to see any prepayments that were made by their contact in Xero.

  2. It would save us so much time if there was an option to turn off debtor statements per contact just like we have the option to turn off invoice reminders. That way when sending statements we can bulk send without having to send them one at a time.

    Interesting idea - we'll continue tracking interest here. 🙂 In the meantime I did want to highlight how you can send multiple statements at once and may help some here. 

    While it's not possible to set a default for each contact, you can currently send statements to multiple users at once - 

    From your Contact lists either select all, or just the contacts you'd like, select the 3 menu dots in the top right of the page where you'll see an option to 'Send statements'.

    • When clicked this will take you to the statements screen where you can further refine the lists of contacts you'd like to send a statement too
  3. Can we have hubdoc detect receipt edges like the Xero Expense app, so we don't have to see the client's coffee table, bed, duvet, laptop, lap, the list goes on

  4. When sending statements Xero is adding automatic commentary on the associated email about "overdue invoices". In my examples the Xero feature claims that the customer is "Overdue $535" is 100% wrong - customer only owed $39.

    I fully understand why this is. There are unallocated cash payments (overpayments) in the mix.

    There can be a lot of reasons why this is - invoice queries, partial payments, customer terms, errors being resolved, a customer payment that is not easy to reconcile etc etc. but the point is, that these transactions (overpayments) are totally legitimate as far as Xero is concerned.

  5. Currently Hubdoc only flags an invoice as a duplicate if the supplier, invoice date AND invoice amount exactly match. This means if any of these are adjusted or Hubdoc doesn't pick up the exact correct details, the invoice wouldn't be flagged as a duplicate and could be double booked or worse double paid.

    Hubdoc should flag an invoice as a duplicate if the invoice number is the same too. Yes there are rare scenarios where two suppliers issue an invoice such as '001', but it's much better for this to be flagged as a duplicate and reviewed, than actual duplicate…

  7. In Xero, under All contacts, would be great if we & please add had more columns or choices to add certain column of attributes of the contact showing if they are in a group, and possibly a last action date of last transaction, so that any can be easily Archived, when they haven't been accessed in a long while.   8. Would it be possible to create a contact who is a "sub contact" of an existing contact. For example we perform work for a strata management company. Every invoice is made out to [name of strata company] but the contact details, email address and physical address are all the same - that of the management company. I would love to create [strata management company] as the main contact with all the strata "divisions" they manage below them without having to create a new contact for every single new building. What are my chances?

    Hi team, we appreciate the interest and rational in this idea when you trade with Contacts that might be part of a larger group.

    We want to be open that this isn't something we have plans for developing just atm, but will keep considering the idea as we continue to develop contacts in Xero. I'll share if there is any progress here.

  9. A 'Deleted' folder in Files that captures deleted files.

    Once I have uploaded a receipt to the files folder, I always dispose of the original.

    If you accidentally attach it too, and then delete it from the transaction, it is gone forever. You have no ability to reload it from the files folder.

    The original uploaded file is gone, so you have to source another copy of the receipt from the supplier.

    Surely this deleted uploaded file has gone somewhere?

    Can we have it directed to a folder?

  10. Ability to rename the files in Xero Files once it’s attached.

    Purpose: To make other users in Xero (the one that doesn’t upload the file) can easily identify the file without having to click it.

  11. It would be great to look down the list of files in the Xero Files inbox and see a thumbnail image of what the PDF is, so that non-relevant ones or replicas can be deleted in bulk.

    When files are forwarded, often the attachment is loaded to the inbox along with multiple other files which turn out to be logos from the email signature, and it is time-consuming to have to open every file to find out whether it is relevant or not, and delete individually.

  12. A number of our clients simply use hubdoc as a filing system as publishing to Xero is not as simple as they would like.
    So we maintain their Hubdoc accounts, we update the document type and archive. It would savea huge amount of time if we could bulk edit and bulk archive rather than having to do this one document at a time.

  13. It would be great if, when viewing a contact, there was a quick 'sign/flag' to show if that contact has an active Direct Debit form.

    Currently you have to go to >Settings >Payment Service >GoCardless >edit >Direct Debit Forms

  14. Under the Contact, where Xero shows the current account balance and further down the screen we can see all invoices etc for that contact. When I scroll down the list of invoices I'd love to be able to see a little icon that tells me how many files I have uploaded to each invoice. The only way to tell currently is if I click into each invoice and then I can see the number of files attached per the little file icon at the top.

  16. When entering line items in Hubdocs it would be so useful if we could enter the same number of decimal places that are available in Xero. When we split invoices into line items it is very clunky having to make rounding adjustments because we only have 2 decimal places in Hubdocs, yet 4 in Xero.

  17. Sort 'customer or supplier' list by account number from the drop down menu, (not the same as the search function).
    The account number field is a unique identifier to any customer or supplier record. Having this function should be a necessity as it is with most other software.
    In many cases the account number field is overlooked in Xero from the users point of view, yet it underpins the whole database for many people and connecting software/apps.

  18. 1.Hubdoc can become very slow and mostly crashes when inputting the contact in the destination section.

    1. Hubdoc also slows when you use 'extracted tax rate' and 'generate line items' the box that comes up to input the data takes a while and then trying to scroll on the document with this box Infront it takes a while too

    2. I find that the when i generate line items I need to manually amend the tax rate on each line as its over calculated it by a few pennies and i am unable to do this

So we have set up and had a lot of success with email templates in Xero. it would be useful to have the ability to have a default option for each contact (or group of contacts) a specific template for a specific reason eg new invoice or AR. so that everytime we go to email an invoice for example it preloads on a certain template.

    Eg we have a number of clients that only speak read German and/or french so it would be nice to be able to set these contacts to default to use our German and/or French templates…
