  1. Could we add a feature to enable us to email out service and inspection reminders up to 28 days before it is due.
    This could be done by date only.
    It would save us having to add another app and potentially another running system to get this feature.

    We understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.

    Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.

    This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.

  3. When setting up suppliers in "Contacts" within Xero, it would be great if Xero could perform a VAT check from a link to the HMRC website. There could be a button next to the VAT number box called "Check VAT" and then the supplier's VAT details (as per HMRC) would show.

    Furthermore, it would be great if there could be a VAT report that you could run each quarter to check whether all VAT numbers are correct. It might involve a bit more work for the bookkeeper to ensure they set up the supplier correctly in Xero, but it would…

    Thanks for the suggestion to add a “Check VAT” action in Xero Contacts to verify VAT numbers directly with HMRC John. We can see how this would be a helpful addition for ongoing supplier checks ✨.We’re moving this idea to Gaining Support so others can vote and add real-world examples. The more detail you can share about when and how you’d use this (for example, one-off checks during setup vs. quarterly reviews), the better we can assess impact and prioritisation. We’ll continue to monitor interest and will update this thread if there’s progress to share.


  4. FINTECH requires Xero’s Contact ID for integration, but the Contact ID isn’t included in the contact export. They must be manually copied from the URL, which is slow and error prone.

  5. Under Customers Accounts, File Attachments - Move the View button for the attachment to the LEFT side and keep the Delete button on the RIGHT side of the attachment. NOT next to each other.

    Multiple times, we have accidentally deleted important files from the customer contact account.

    Hi Sherri, thanks for your feedback. I know you started your idea in the Navigation and Homepage forum however this appears to relate to the Contacts page where you attach files to a contacts record.

    I've slightly update the title of your idea and moved this across forums. We will start to get a sense of the interest in this from the community here.

  6. On these top level menu layouts, like Invoices, Bills and Contact Activity list we really need to be able to add/remove columns. Eg. to see the net total for each Bill/Invoice, not just the gross amount including VAT.

    We use these menu layouts a lot, and have to copy and paste to Excel when we want to send that data, because there seems to be no export on Xero that can produce a neat one row per invoice layout. The exports produce a massive report that displays every row from every invoice - not much use.

    Appreciate your feedback, Maggie. However it is unlikely that this change would be made across all areas of Xero at once. It would help to get an understanding of the desire for this in each area to share with our product teams.

    We have an existing idea for customising columns in the Invoices list, and one around the ability to view total and tax amount columns in the bills list that I have added your vote to, and I have adjusted your idea here for the customisation of columns in the Contact Activity. If there is any progress for each of these we will update on the respective idea. Thanks

  7. Last Paid Date flag for Vendor or Check bank account details alert.
    Increasing there is a need to check bank details for Suppliers - to make sure haven't changed. If a Supplier hasn't been used for many months, Xero doesn't prompt the bank details to be checked. We have had cases where the supplier changed owners and bank accounts but not informed us. The bank details weren't checked. it would be useful if we could have an alert or flag that prompts a check after 3 or 6 months.

    Thanks for sharing this idea – it's a really practical suggestion.

    We get how easy it is to miss checking bank details, especially for suppliers you haven’t paid in a while. A quick alert or reminder after 3–6 months of no activity could be a great way to help catch changes (like new ownership or account updates) before a payment goes through.

    Your idea’s now live for others to see, vote on, and add their thoughts. If this would make things easier for your team, feel free to share it around.

  8. I use Auto Tax. Be nice to go into contacts and select that as a default for contacts, where appropriate. Rather having to go to the drop down (in Invoices) each time.

  9. Can we please have an option to run a report for contacts incl Suppliers for example, where we can then audit new suppliers for a time period. Links into other ideas posted here to also see last active/used date. Similiar to the account transaction reports but to be able to run one for Contacts/suppliers would be super helpful for audits. Currently xero does not support any such thing, only the history & notes which is basically useless as it does not have the capacity to show or export more than 1000 entries, so when we do more than that in…

For tracking payable transactions (bills) by contact, we suggest using the Supplier Bill Activity Report or filtering the Account Transactions Report by contact and payable invoices. If you require setup assistance, please raise a case with our support team for guidance.Regarding the 'last active/used date' feature: This functionality is not currently available in Xero.   11. Customer statements to show on the contacts tab when sent - I can see in history & notes on the file tab on a contact that a statement was sent but it would be great if it was possible to click a link here to see the statement that was sent to the customer (rather ticking to send statement to own e-mail)

  13. Add a photo to a customer file.

    The companies I work for have over 100 tenants.
    It would be great to be able to add a photo of the tenant for recognition purposes.

    It will make phone and email queries easier.

    The photo can then be displayed next to the customer's name

    Thanks for sharing your idea about how you'd like the "You Owe" and "They Owe" columns to be the other way around.

    It's worth noting that the current orientation matches the Spent/Received columns in the Reconcile tab of the bank account. You might like to raise a separate product idea if you'd also like a similar change there (or maybe an option to swap the columns around).

  15. Would be great to be able to assign a special rate to a particular client so that rate generates each time you invoice that client and also add tick box to mark as bad debtor which flags them up.

    Hi Denise, thanks for sharing this idea! We can see how a “Bad Debtor” flag could be a really useful tool for managing risk. When your business is busy, you don’t want to accidentally extend credit to a customer who’s already significantly overdue.

    Right now, the absence of an automated alert means staff often have to double-check a customer’s payment history or risk raising an invoice for someone who should be on a stop-credit list.

    As a short-term option, you can use the Contact Notes field. Adding a note to a contact makes it visible when viewing their details, though it doesn’t yet “pop up” during invoicing.

    Regarding your idea on default rates, you can already assign a default discount rate to contact records. You can also use the Untrack Items feature to make data entry faster and reduce manual effort.

  17. In nearly every other business program, a Contact refers to a person and not the business name. The person should be the primary entry entered for contact information, and the business name is an attribute to that person, not the person an attribute to the business as it is currently set up in Xero. We often have to change the specific person (or entity like Accounts Payable) who a quote or invoice or other document needs to go to, and the only way to do that currently is to change the primary person under the business name each time we…

    Hi Gary, just to better understand your idea here. Is it mainly that you'd like to classify a contacts as a customer or supplier based on spend and receive money transactions?

    Right now, as you may be aware you can easily create a new contact while reconciling, however the contact will only be classed as a customer or supplier based on the type of transacti9ons that are entered for them.

    We have an existing idea around this I could merge your feedback in with?

  19. add to show the planned date for payment on the contact page where you can see all the bills as an option for the columns. so we can see if we have set up payment for each of the bills in the contact page for each contact/supplier.

  20. I would like to have having ability to quickly see the outstanding amount in the currency it was originally invoiced (like USD or EUR) directly from contacts dashboard, without having to navigate through detailed reports and apply multiple filters. This would save a lot of time.
