BillsTo often data is entered then lost as you move away from a page before you are finished if not saved you loose it all. This becomes time consuming to re-enter all data.
3 votesHi Rossco, auto save is already within invoices in Xero, however I want to be open that we don't have any plans at this point of implementing this across other areas of Xero.
For Bills maybe another way to save you time could be to upload or email bills to your organisation so Xero does a lot of the manual work for you.
Here in Product ideas it helps for each post to be related to a singular idea for one feature - this ways it's clear what others are adding their vote to and we can best keep you updated on any progress.

Hubdoc - Automatically extract or split tips and gratuities from receipts
Please create an automatic tip function ideally with Hubdoc.
I'd be really grateful if there was a way to simplify tipping in the Purchase/Bill module. As it stands the total amount is transferred from Hubdoc to Xero. I have to:
1. hit edit
2. switch tax inclusive to tax exclusive
3. edit the bill amount to the pre-tax value
4. add a line
5. type "tip", add 1, add tip amount, change tax rate from standard (Entertainment) to Tax on Purchase (o%)
6. Hit 'Update'.THEN I can fill out the apply payment line.

Bills - Add planned payment date from inside the bill with a default of the due date.
Add planned pay date automatically as the due date or add a field into the bill entry screen so that you dont have to go back and add it from the bill list view.
Just a suggestion which i think lots of people would find helpful. It would give real time data from the bill screen and saves going into the bill list to add the planned payment date for the categories at the top to populate correctly.

9 votesHi everyone, following up in this idea I'd like to share an update that may be helpful to some people here.
We have now released Quick view in the Bills list that enables you to easily see, review and take action on your bills without moving away from the list view. Meaning you can quickly add a Planned date when viewing bills in your organisation.
There are also many useful options to efficiently create bills in Xero rather than manual entry like; email to bills, bills upload and our new Smart document capture feature that's in the process of rollout.
The Create bills page is something we'll look to develop overtime however I don't have any timeframes to share on this right now. I'll keep you updated if there are further changes planned to help you here.

Batch Payments - Keep multiple payments to the same payee as separate lines
Currently when creating batch payment files, multiple bills to the same payee are combined into a single line with only one set of bank payment details (although they appear separate on the batch payment screen in Xero).
Sometimes different bank reference details are needed for each payment, and sending the details in a remittance advice is inappropriate - it would be helpful if the lines could remain separate rather than combined so that unique bank reference details could be added against each line for the same payee

Hubdoc - Navigation have a direct link from purchases and bills.
For organisations that have an active Hubdoc organisation, it would be helpful from a workflow perspective to:
1. Have a link from the main purchases dropdown menu direct to Hubdoc; and
2. On the various Bills tabs, have a link to HubdocThis would provide a trigger for users to remember there may be Bills needing approval/processing in Hubdoc; and even as a cross promotion for Hubdoc.

Bills - Sort bills by 2 or more variables
Sorting tool seems to be only for one criteria. It would be great to be able to sort bills by due date, then supplier or contact alphabetically as the 2nd sort request.

Bills - Show and override tax amounts when entering
Please show the sales tax amounts that will be posted to each account (GST and RST) separately so we can reconcile to the receipt that is calculating properly. It would also be nice if we could manually override this amount as sometimes there is a small rounding difference. I am attaching an example from QBO. Please update your system to also have this functionality.

We would like to submit a feature request for Hubdoc that we believe would significantly improve workflow efficiency. It would be extremely helpful to have an alert or notification within Hubdoc (or during bill processing) when a supplier does not have bank account details entered in Xero. At the moment, when new supplier accounts are created and bank details are missed, this is only discovered at the time of payment. Bills - Automatically adjust the date on imported draft bills to a set date
We use Xero on top of a project management system (Deltek PIM) which generates employee expenses and supplier invoices. When we export them to Xero they sit as draft bills which we approve. If users of PIM enter an invoice/expense for a prior period, the transaction has to be redated in Xero to prevent it changing the historic management accounts. My suggestion is that there is an option within Draft Bills that would redate draft transaction dates (before posting) to a given date, say 1st of the open period.

Purchase overview - Add Spend money view same as bills
This feature as per attached picture for viewing/editing Bills paid is so useful in reconciling and checking. Also the return of the "Previous" & "Next" button/arrows are very welcomed.
What is missing right now is for the "Spend money" items which are not showing here. I would like you to add a new feature or even you can just make it viewable here in this same window.
If this feature is already there, please let me know.

Bills - add link to awaiting approval
On the Bills entering screen there is a link already to "add another bill", could an additional link be included to "purchases awaiitng approval" instead of continually having to exit the bill screen and go back to the Purchases tab and select Purchases Awaiting Approval?

Just to re-highlight for others coming across the idea here - There are a couple of existing options available to help;
- Bills default page to Awaiting approval so each time you're returned to the list view this directs you to the Awaiting approval list.
- Quick viewing bills from the Bills list will allow you to review and edit bills without having to leave the list you're on
Appreciate even with these options you'd like to see additional quick links within an individual bill for view next awaiting approval, and next draft. Being open this isn't something we have any plans for but can get a better sense of interest from this idea. We'll share i there are any updates.

Prepayments
This applies to sales and purchases.
I think Xero product ideas has been as effective as screaming into the void ... however that did not work so I will try Xero Product ideas.- Every time I have seen a Xero company use Prepayments it has been a ... mess.
- Users have prepayments going to various accounts, some with GST and some without and there are transactions in the Prepayments accounts that were not processed as Prepayments.
- You end up with prepayments scattered over the balance sheet, amounts in Prepayments that are not prepayments, and some have GST and some not.…

I want to make sure I'm interpreting your idea here correctly - Rather than a change to the prepayment transactions it sounds like you'd like to restrict posting to the Account prepayments are posted to in the Chart of Accounts and would like a separate account that purchase v sales prepayment transactions are automatically posted to. Would this be right? Please do let me know if I'm misunderstanding.

Bills | Add new item - Autofill Item code from search text
When searching if an item code exists in the item column when in bill entry, the drop down minimises to "+NEW ITEM" - ideal if the code you have already typed (i.e) the new on to be set up, can be automatically copied into the new item set up pop out. Additionally it would be fantastic if the what is typed into the item name and be replicated in the purchase description box, if overtyped - currently it replicates, however if you then change the text in the item name it does not change in the purchase description box

Duplicate Bill Review – Click-through Functionality
Enhance the Duplicate Bill Review screen by enabling direct click-through access to individual bills.
When reviewing potential duplicate bills, it would be helpful to click on any listed bill to open and inspect it directly. This allows users to quickly identify and resolve issues—such as an incorrect reference number—without having to search via another screen. After making corrections, users should be able to refresh the Duplicate Bill Review screen to confirm whether the duplicate warning has been cleared.

Payment Voucher – Generate Payment Vouchers.
Provide users with a streamlined way to create official payment vouchers, including payment details and supporting documents, for improved record-keeping and transparency.
17 votesHi team, just wanting to make sure we understand the idea correctly here. When you'd like a payment voucher - would this be for accounts payable or receivable?
On the payables side, perhaps purchases orders could facilitate the record of this in Xero, and you can upload attachments to keep track of files related to a voucher. Alternatively, for accounts receivable, quotes maybe able to support what you're in need of here.

Bills - Option to add credit card surcharge
Nowadays everyone include a credit card surcharge when paying a bill. However when the bill is recorded originally, it is without the surcharge. When applying payment to the bill, if we are in the bill screen and we apply an amount higher than the original invoice it records as an overpayment and creates a credit note. There should be an option like in the bank rec screen where it allows us to type in the surcharge so that the surcharge takes the same character as the original invoice. Understand it's not the flow you're looking for here, but one option would be once the payment comes into your bank account you could use Find & Match to select the bill and in the second section you could use the Bank fee option for the surcharge like you mentioned.

Bills Purchase Overview - show permit number column in draft bills
It would be nice to have more options to view more columns featured in the draft bills and bills so we can have more options to search for the supplier invoices.

We did release an update to our Bills list last year that provided users with more filters and the ability to choose from a selections of columns they'd like to show on this list view.
We've also introduced Bills quick view that enables you to view and edit an individual bill, without navigating away from your bills list.
Any additional detail you can share on your needs here would be helpful.

Xero Accounting App - Add item from Product & Services to Bill
On the Xero mobile app it would make life easier for small entrepreneurs who are always on the go to update products purchased and update their inventory from a receipt that they capture on mobile app. This feature is only available from a desktop computer where persons need login from their computer to enter Bills or expenses for the purchases of inventory products. At the moment this is possible through the Sales invoices. Please make it available through purchases as well

Bills List View - Add a Notes / Reminder section
Insert a Notes section on the Bills You Need To Pay screen.
For example, I can enter a due date, planned date etc .. but a section for Notes that can include a little reminder for example "confirm A123456 has been delivered"17 votesHi team, we appreciate hearing how viewing noes from the bills list view would be helpful. Bills - View PDF of bill without downloading
It would be massively helpful to be able to preview the PDF invoice instead of having to click on and download it each time. If you could preview it alongside where you are inputting data on a Purchase invoice that you have sent to Xero by email - then you can check details side by side rather than having to print out the paper versions. Would be much more efficient
