Tracking Categories Report - Ability to print/download tracking categories
Tracking Categories Report - Please add the ability to print/download the tracking categories
44 votesHi team, to export a list of all Tracking categories in your org, you may find the Tracking Summary report of use to you here. Alternatively, you could run the Account Transactions report and Summarise by the Tracking category.
The one caveat here for both reports is that they'll only show a list of the tracking options that have been used within the date range the report is run.

Reporting - Add an Account column to the Contact Transaction detail report
It would be GREAT (ok essential) to have the "Related account" column available here.
A list of transactions by contact at it is, with date,VAT and total amount is ok but a CRUCIAL column is missing.
"Related account" column is crucial/ essenital/ a mist because we often need to check consistency of posting to the correct account, which we cannot do right now.

AU Payroll - Lock wage and super expense accounts
Where payroll is handled through Xero, please block the ability for client users to post bank transactions to Wages expense account and Superannuation expense account. It is time consuming to recode entries to the Wages payable account and Superannuation payable account. I have told some clients several times to not use the expense accounts but they still do it. If access to the expense accounts could be blocked when payroll is done through Xero, it would save a lot of time fixing the ledger accounts.

VAT returns - Filter 'Transaction by VAT' and 'Transactions by tax rate' pages
I would really like to see something similar to the sorting function on the Account Transactions report applied to the Transaction by VAT box and Transactions by tax rate pages on the VAT returns. This would make them so much easier to review, rather than exporting them to excel.

Manual journals - Export in a format that can be reimported inc. GST
Currently, I can export manual journals from a Xero organization for record saving. However, I cannot use the exported manual journals in Excel format to be imported to another organization directly. Because the exported manual journals show the GST amount in a separate line (GST account). Can you please add a new function to export manual journals for Xero importation? It means I can directly import the exported manual journals from one organization to another without editing.

Sales invoice - Discounts off total value
I need 'Invoice Value Discounting' where we provide a discount on nett price and a different percentage is applied dependant on the net amount. For example 5% applied on invoice of 250, 7.5% over 500, 10% over 750, etc. You would set these up in a table and you can decide which clients have IVDs

Banking - Show account balance on statement import screen
When importing bank statements on the import screen, it would be great to have the account balance shown on the screen.
Yes it shows the latest transaction imported but some statements will have transactions for the same day shown after this transaction that may or may not have already been imported - you would have to go back to the bank statement screen to confirm the balance. Having the bank balance on the import screen would be a nice QoL adjustment.
Thanks

NZ Payroll: Generate and send payslips before posting pay run
Ability to email payslip before the pay run is posted. This way the employee can come back to the pay clerk with any feedback on hours or allowances before the pay run is completed and filed through to myir. The reduces the need to revert the pay run before the "final" posting and payment made to employees. Reverting the pay run impacts on IRD when IRD have begun their processing as they have to do a manual amendment to pick up any changes once the pay run is re-posted. I have advised by IRD they have to make manual amendments when we often revert and make changes to our large weekly pay run. e.g. post on an afternoon and revert in the morning after feedback... so while the reverting is seemless at the Xero end for users not so useful in keeping IRD happy.

Export - Option to export data in CSV UTF-8
Export in CSV UTF-8 or excel file as opposed to CSV comma delimited. Or have the option to choose what format the file is downloaded in as opposed to it having to be csv comma delimited.
Reasoning: We utilise characters in our Xero that currently doesnt export out correctly e.g. "é’é¾ é¦™ç±³". This problem would be eliminated if we could export the file format as either excel or CSV UTF-8. Xero as a system supports the upload of these characters and displays them absolutely fine on the webpage, which is why we have decided to move to your system, but annoyingly it doesn't export this data out well.

Invoices - Protect/Lock invoices from alterations (in addition to Lock Dates)
Our company's invoicing procedure comprises three steps:
(1) invoice generation by our own custom software and also pushed to Xero through the Xero API,
(2) direct debit payments manually added and processed via GoCardless (on their own website, not Xero's integration) for selected invoices, and
(3) invoice reconciliation in Xero. This process is jeopardized when any alterations are made to the invoices in any of the systems (our database, Xero, or GoCardless), causing inconsistencies and the need for corrective credit notes. We primarily use our custom software for invoice generation and management (90%) and occasionally create manual invoices in Xero (10%). The current Xero setup allows users to modify invoices freely (both our API generated ones and manual ones), but our aim is to maintain strict control over (specificall the API) invoice creation and updates.
The ideal solution would be an invoice locking mechanism which would prevent unauthorized alterations. We cannot revoke the invoice management role from certain users as they need to be able to create and manage manual invoices in Xero, therefor potential implementations could include:
API-generated Lock: Developers using the Xero API could be given the option to lock the invoice during generation to prevent front-end users from editing. Then only the API's invoice update endpoint could be allow to update the incoice.
Role-based Lock: Different locking/unlocking permissions could be assigned to specific roles in the system.
Possible types of locks could include:
Warning: A soft lock which, when the 'Edit Invoice' button is clicked, triggers a popup with a custom message warning against unauthorized changes.
Code: An organization-wide code known to authorized users which is required to edit a locked invoice.
Request to Access: Users can send a request to modify a locked invoice, which sends a notification to designated approvers in the organization.Preventing unauthorized or accidental changes to invoices is essential to maintaining a consistent and efficient invoicing process, especially nowadays when there are many connections between systems. I believe these suggestions, or any form of preventive mechanism, could greatly enhance Xero's functionality and user experience.

User Role: More options for access rights
More granular level for user access rights
I have seen lots of ideas around this same topic but worded slightly differently.
Essentially, the access rights are far too high level causing users to have access to tasks and rights to delete, approve when they shouldn't
12 votesAppreciate your looking through the forums and existing ideas, Tracy.
Although it might seem quite specific it does help to have detail of the specific permission sets and what is missing in the existing roles shared for each idea, and get a sense of the users that are interested in these differing permissions.
As you can likely imagine, with the number of features and different roles & responsibilities staff may have across businesses a matrices of options for every single permissions across every feature in Xero would be quite complex and cumbersome when trying to assign what a user can or can't do in your organisation.
While we don't have direct plans for this level of incremental control, our product teams are definitely interested to consider the makeup of permissions within a given area or feature of Xero. I'd urge you and others here to add your support to any ideas that have been raised, or add new ones for permission sets that you'd find most useful for your business.

UK Payroll - PAYE payment date set
Add a date option on the Taxes and Filings tab to add the PAYE payment date. This would easily show if the payment has already been set in advance without having to log into internet banking to double check.

Repeating Invoice - Automatic Application of Credits
Option to automatically apply or allocate existing credits to future repeating invoices. When the client receives the invoice, it will be marked as a PAID invoice because the credit has been already applied in Xero. But only if they choose to apply the existing credits instead of a refund.
Purpose: Saves time in manually creating an invoice to apply for the credits

MFA: Remember 'Trust this device' setting after 24 hours
I understand the ATO requires you to enter 2FA daily, but that doesn't mean the tickbox should uncheck itself every day.
If I tick trust this device on Monday and login using 2FA, I can then login without 2FA for 24 hours.
After that 24 hours, I need to login using 2FA again AND I have to tick the trust this device box again to get another 24 hour reprieve.
Let us tick the box or another box that will remember our choice ongoing. So each day I only have to login using 2FA again but my choice to trust that device for 24 hours is remembered.

Bank transactions - Ability to post payments without a contact
Require the ability to post net wages, loans, drawings without a contact. This information should not be accessible in the customer/supplier ledger/contact section.
5 votesHi Charlotte, can you expand a little on your needs or use cases for your idea here?
A wage would generally be connected to an employee in payroll. Managing a loan is a little different and we have suggestion of how to do this in our help here, and when it comes to drawings and introducing cash to the business this would generally relate to a specific shareholder and would be recorded as Spend or receive monies, if you'd rather not specify the contact you may want to set up a generic contact that you could code these sort of transactions too.

Cheque Register: Option to use feature outside of Canada & US
Dear Xero,
Cheque Printing option should be available for versions outside of Canada & US It's a very key feature required to many organizations which should be added in xero. Hope to see this feature available to every version of Xero in the near future.

VAT - Automatically calculate VAT using the Marginal Scheme
Ability to automatically calculate VAT using the marginal scheme.
Purpose: To easily show correct VAT amounts when VAT is only charged on the Margin between Purchase price and Selling Price.
62 votesHi everyone, thanks for your interest in this idea.
For now, I wanted to share that we're aware some users have the following process to record their transactions. The example uses a vehicle with a purchase price of £1500, and a sale price of £2000.
- Record the purchase of the vehicle on a purchase Bill for the full purchase price of £1500 with a tax rate of VAT Exempt. So the purchase is recorded in box 7 on the VAT return.
- Record the sale of the vehicle on an Invoice for the full £2000 - using the Tax Exclusive option, and then manually changing the VAT calculated to the required amount - £83.33 (i.e. 20% on the profit of £416.87 or 1/6 of £500) by clicking the small plus box above the Tax Rate.
This will mean that you only charge £83.33 VAT for the overall profit figure, and ensuring the correct amounts are reflected in boxes 1, 3, 5 and 6.
You could also create a custom invoice template to use with the invoices that hides the VAT detail. You'd need to insert the TaxInclusiveLineAmount field and remove the other Tax reference fields.

UK Payroll - Access to communal time off calendar for employees
UK Payroll- Access to a communal time off calendar for all employees.
As a smaller business we try to have one employee off at a time where possible- it would be hugely useful if they could access a shared leave calendar in the same place as they request leave & submit timesheets from. This would pull data from my admin overview calendar and stop me having to create external calendar in iOS and another in android which leads to missing data etc and wasted holiday requests. They could see if the leave they want is available prior to the request.UK Payroll- Access to a communal time off calendar for all employees.
