AU Payroll - Include all-purpose allowances in shift loading
We pay our employees under the Electrical award which includes several compulsory 'All Purpose' allowances that are now reported separately as per STP2. When our staff are paid a shift loading, these allowances need to be included in the loading. I have to manually add the allowances into each all purpose loading (which is time consuming)
Can you please have an option to fix this in the pay items? There are certain allowances that have to be included in overtime, annual leave (which you have an option to include) but you dont have one for shift loading7 votes -
Contact | Merge - Retain contact and financial details
It would be really helpful when merging suppliers if there was an option to keep all contact and financial details with the updated contact. When an existing supplier joins Xero and starts sending Xero generated invoices that you can upload to Xero if the name is even slightly different it creates a new supplier. This could be as basic as Ltd vs Limited. When these contacts are merged all the existing information is deleted and needs to be re-entered. An option to keep all existing contact information would be great.

Sales invoice - Discounts off total value
I need 'Invoice Value Discounting' where we provide a discount on nett price and a different percentage is applied dependant on the net amount. For example 5% applied on invoice of 250, 7.5% over 500, 10% over 750, etc. You would set these up in a table and you can decide which clients have IVDs

Repeating Invoice - Automatic Application of Credits
Option to automatically apply or allocate existing credits to future repeating invoices. When the client receives the invoice, it will be marked as a PAID invoice because the credit has been already applied in Xero. But only if they choose to apply the existing credits instead of a refund.
Purpose: Saves time in manually creating an invoice to apply for the credits

Reports - Coloured text for variances on new reports
Prior to the new reports we were able to select different colours for budget variances on our Xero reports. Green for on budget or better than budget and red for below budget.
This was immensely useful when going through reports in monthly management meetings as it meant over or under performance in any line was easily recognisable.
Please can you bring this simple feature back!

Bill - Create Billable Expenses from a customer invoice
I request xero development team to edit the billable expense feature or create a new feature. Currently for billable expense to be invoiced to customer, first we need to enter the billable expense and than later invoice to customer. However, in our case, we first send the customer a tax invoice to collect advance from customer and than make spending for the expenses on behalf of customer. However, in this case we can not make sure or link within xero what was invoiced to customer and how much was spent against that invoice. I mean if we the invoice for disbursement/billable expense was raised at $100 and actual spent later was $110, than it becomes difficult to reconcile these out of xero or manually. This becomes even more difficult when the no of transactions are large. This feature is available in other softwares however, as we are using xero since inception, so request xero development team to provide us this feature. The main difference from existing billable expense to invoice will be that in this scenario, invoice will be issued first and the billable expense will be matched with invoice later. While currently xero has facility to assign an expense a billable while entering the bill first and than issue the invoice afterwards.

Purchase orders - Ability to lock/stop editing once billed
Purchase orders should not be able to be edited after they have been billed (even part billed). It defeats the purpose of a purchase order.
We want staff to be able to issue purchase orders. Invoices are approved on those matching purchase orders. The same staff shouldn't be able to edit the original PO if it has been billed as then it doesn't match the invoice that's been paid/being paid.5 votes -

History & Notes - Contacts - Increase 2500 character limit in notes
I use the History/Notes section to keep track when I'm doing credit control- when I've chased the customer etc, and I now have to copy and paste the email I've sent to them-however, I will often need to send a long communication email which ends up being more than 2500 characters, which means I then have to copy and paste half the email and then the other half, so that they run together-it would be a lot easier if the notes section was able to take more than 2500 characters.

Customer Statement | History & Notes - Include Template Name
We use multiple Statement templates, each of them containing different stages of Credit Control progress. When sending these the Contact Notes are only updated with 'Statement', and not the Statement template name that would give historical context to a Contact on how we have progressed debt.
Can you update the Notes to include the Statement Template name, and include an option to make further notes against that activity?5 votes -
Reports - Group account transactions by month
I would be good to be able to carry out data analysis of each nominal code and therefore group the account transactions by month with totals rather than by week which will ultimately tie back to the P&L. This would make it useful when carrying out data analysis from the P&L.

Xero Files - Archive/Consolidate files by year
I love the Xero filing cabinet as I can put files in there for the accountant and owner to view. However I have been using this cabinet for over 7 years and would like the ability to archive / consolidate by year.

Bank Reconciliation Report - Version without trial balance, AP, AR, journals etc.
Create a Bank Reconciliation Report only which would be the current Reconciliation report without trial balance, AP, AR, Fixed assets, general ledger exemptions and journal entries.
I know you could custom create the report but xero generated would be more professional and would also includes any additional bank accounts .2 votes -
Budget manager - Ability to extend periods by more than 12 months
Can we please extend the budget manager period from 12 months to more than 3 years or whatever is possible? The data in the budget manager does not go beyond 12 months and if the budget is to be changed after a year of upload it doesn't have such access.
When working for a movie/film-making company the budget runs for more than 12 months and it needs to be changed time and again. But Xero doesn't have such an option which makes it impossible to get an accurate variance.
It would be great help.15 votesAppreciate how you'd like to do this within Xero, however just to confirm it's currently possible to import budgets with more periods.

Contacts | Add & archive dates - To get a Customer lifetime value report.
Customer lifetime value report.
I would like to see date fields that you complete when you onboard and archive a new customer. Then it would be easy to work out the average lifetime value of your customers (CLV) using the “income and expenses by contact” or other report.

Reports - Do not show unfiled amounts for previous financial years
The change if made in prior quarter should be made either available in amended Activity statement report or should carry forward till that particular financial year. Unfiled amount shouldn't be carried forward for infinite period of time.

Bank statements - Option to import separate Debit and Credit columns
Add an option to import a single column with positive and negative values, or 2 columns with debits and credits would be a massive help. I've attached how Zoho handles this.

Expenses: Automatic mileage tracking
Quickbooks has "motion tracking" mileage, meaning the user doesn't have spent time entering their starting and final postcodes, they literally just turn the feature on and it auto records their mileage via GPS. I have clients (using Xero) who are on the road everyday for business purposes and this feature would be so useful for them to save time.

While our team have a keen eye on the idea and interest in exploring this in the future we want to be open that resources are across other important work atm and there are no plans to develop this, this year.

Bank Reconciliation - Remove 'Great Job!' messages
There should be a way to remove unnecessary motivational responses like "Great Job!" when finishing a bank reconciliation.
I do the bank reconciliation every day and don't consider the task difficult or special, so the "Great Job!" just seems patronising. A simple "You've reconciled all the transactions for this account" is all that is necessary for a business application like Xero. Some people might like it but I'd prefer my accounting software to not pretend to have a personality like that.

Sales invoice - Separate status for when credit applied
In Xero a receivable invoice status is shown as paid whether it is actually paid or whether a credit note is applied to the invoice.
Can a new status be added to show when an invoice a credit note is applied, for example "Credited".
This will help identify actual payments received vs credit notes issued13 votes
