Reporting |Credit Notes - Date allocated
When allocating a credit note to a customer invoice we need to be able to report on this event and no date is stored at the point of allocation.
In the current system you can see credit notes allocated against invoices only when in the documents as a credit note displays similarly to a bank payment. You can to an extent identify credit notes allocated against invoices by running reports against the Accounts Receivable ledger, filtered by source 'credit note allocation' but you cannot filter this in any way to see recent events. The date of the allocation is deemed to be the credit note creation date which isn't reflective of reality. Credit notes are issued to customers but they may be allocated at a much later date to an invoice and to a different invoice than the one expected - this is often the customer's control depending on their remittance information.
Xero should at the very least store the date that the credit note was allocated to an invoice so we can report and review those allocations based on the event date. It is impossible to review these otherwise. For example my team have allocated a credit note today from 3 months ago as the customer has finally confirmed which invoice they will net this off against. But I can't see this anywhere as an event in any reports as it is now buried as a transaction from 3 months ago!

User roles: Restrict access to Invoice Settings
For internal control reasons the 'invoice settings' section should be only accessible for certain access types. Anyone with Xero access (excl read only) can go and adjust the bank account manually entered on the invoices sent to customers.
It would be great to have this locked the same way bank account admin is for supplier payments.

Emails - Avatar in email inbox to use business logo
Have the option to change the Avatar/ coloured circle with initial in email inbox, to a business logo when emails are sent from Xero on behalf of the business. I.e when sending out invoices and quotes through the Xero app.

Require functionality that allows quotes to be sent to management for approval before they can be sent out to customers.

Bank rules - Choose which rule to apply
I have a number of Telstra accounts that all come due within a day of each other. Xero can't tell the difference between the rules. I was thinking that when doing reconciliations, where it has the drop down tab "Options" if you could add "Choose a Bank Rule" it would save me having to ignore the wrong rule chosen by Xero and and manually have to fill in the data for the relevant Telstra Account when it comes in.

Have option to remove decimals entirely. I.e. Have no ability to input decimals and where calculations are done, e.g. VAT, to round off.

Sales Invoice - Column for client Account number on invoice
Would like to be able to have adjustable columns on an invoice that I can change what they fill with. Right now an Invoice only has Item as a field. I would like to be able to change from Item to Account. That way I can have one payer and list several clients in the invoice without typing them all in. For instance, if a field was labeled Client Account # or something then I could set up the list with my clients or pull them up from contacts, and just select the clients account number, it would prefill a description if I wanted and the account the amount should post to (Monthly Service).
Right now all there is is repeating invoices. So I have 20 invoices post a month then I go in and pay each one so that I can reconcile 11 invoices or so with a bank deposit. Would be nice to have all 11 in one invoice. That I could select (because they change each month/week as to who is paid). - It makes sense to me.

4 votesHi Laura, hen you say you'd have one payer - would this be a customer or someone internal in your organisation?
It still sounds like untracked inventory could work here - for example each 'client' would be set up as an untracked item, you could select clients using the Item column of the invoice and this would auto populate pre saved data such as the account number which could be referenced in the description column, and monthly service for the account.

For businesses that need to record the date, reference (work order/docket number & job number) and also the full description of the items purchased for each line item as opposed to issuing separate invoices for each sale to that same customer through out the month.
For example: Trucks pick up materials from the local quarry daily. The driver provides a work order that is sent to the office for invoicing. A draft invoice is created and each work order is added as line on the invoice until the invoice is approved and sent at the end of the month, resulting in one invoice per month instead of one invoice per work order.
Currently all the details have to be entered into the description field which means the descriptions end up being very long. And if they are using Items then they have to edit the text to add all the required detail.
It is also difficult for the receiver of the invoice to match items purchased to their customer jobs for on-billing.

25 votesHi everyone, thanks for your feedback here. Being transparent we don't have any work planned for adding a secondary description field in an invoice.
In lieu of this, an option for some could be to use one line as description only - entering the first description for like a work order summary, and then use the next line to enter the finer details of the work order where you'd also enter the qty, price etc.
I appreciate this isn't the ideal solution you're looking for here. We'll continue to track this idea here and share if there's any change.

Bills - Include tracking category in Purchase Order PDF export
"Purchase order PDFs only include information that's relevant to your supplier. Fields such as the account code or tracking aren’t included on the PDF. "
It may not be relevant to the supplier but it's critical for the Accounts Payable person to match and code to the relevant account. We track POs based on Property category and also if they are extras to the contract.. A printed PO is attached to the Vendor bill but we have to go back to the PO in the system to see the expense code and if it's extra to a contract.

Lock Dates - Allocate Overpayments to Bills before a Lock Date
when doing allocation between an overpayment and a bill, if the invoice is dated within a locked period you are unable to do the allocation, it would be good if you could just do the allocation without having to open the period.

Batch Payment | PDF - Print invoices in logical order
When you print a batch payment to PDF it currently prints the invoices in a random order (not by supplier name, not by date, not by amount, not by invoice number, not by Details -- completely random by the looks of it).
It would be great if the invoices on this PDF could be sorted in the following order to make the PDF easier to read:
Supplier Name
Invoice Date
Due Date
Invoice NumberIf you are trying to use this report to check all invoices from a statement have been included, its currently very difficult/waste of time.

Projects - Custom date filters for Project Summary reports
It would be really helpful if you can add more filters in the Project Summary reports, e.g.. a date range for "Closed Date" so we can report on Projects completed in a specific month. At the moment the date range is based on time entries only.

User role | Invoice Only - Send receipt for payment
As the Standard user role is required to send a customer receipts for invoice payments or receive money transactions (https://central.xero.com/s/article/Send-a-receipt-to-a-customer), clerical staff assigned this role can view all bank account balances. As most business owners would prefer that bank balances remain confidential, adding the ability to generate customer receipts to the Invoices Only role would alleviate this concern.

Credit Note - Flag up credit notes when entered twice
When you enter an invoice it flags up to say that it has already been entered, with a credit note this function is not available, could this be added?

Pricing Plans - Have a dedicated team advising on software for different industries
THERE ARE SO MANY CHOICES. I need something specific and someone to help. A comparison tool of each app features (like some of the health industry sites have) or a specialist team to advise, particularly when you are recommending so many platforms.

For the UK we now have a page on our website that helps you find a plan that's right for their business. Xero will provide a plan recommendation based on responses to a selection of questions.
Though only available in the UK atm, we are looking to extend this to other regions and I'll keep you updated on when this is available elsewhere, here.

Invoices: Option to only show item code in item column
Invoice setting: There should be the ability to remove the Item Name from the Item column when creating or editing invoices.
