Payroll - Suggestion for a visual staff leave planner to manage overlaps and cover
A Planner with a visual representation of staff approved leave (with an option to note who is covering that leave) would be super helpful. We're trying to do this with with spreadsheets and it's diabolical - but the info is all there in Xero - seeing it in a planner would be AMAZING!

New invoicing - Increase Transaction lines in invoices
Currently one can only post 50 lines in an invoice. It should be unlimited as some clients have at least 200 lines or more depending on their line of business.

AU Payroll - Employee Remuneration - Ability to view date employee last paid
Payroll report (or add field to existing), "date employee last paid".
We have a lot of seasonal adhoc casuals, it would be good to have a column in payroll reports showing the last pay-period they were paid in. We'd use this to off-board employees we haven't paid in a certain period of time (i.e. 12 months). Inventory - Set default prices with tax inclusive/exclusive treatment
I have entered selling prices excluding GST but have noticed that some personnel have been invoicing inc GST yet xero hasn't adjusted the price of the item to add 10%. I need the item price to be the same either way of invoicing.
Can we make this happen some how ? so the price of the item is the same either way. MYOB manages to adjust it, you just set the price as either including or excluding and it adjusts it automatically when charged out. Maybe Xero should aim to improve this aspect of the program.

Thanks for this suggestion. You're right that currently the tax inclusive/exclusive setting on the invoice would change the overall invoice total.

In the meantime, you might want to tell all staff to enter invoices with the same tax treatment, to avoid accidentally under/overcharging for the same item. If you create all invoices on a tax-inclusive basis, you can enter the default sales price for your items including GST. Otherwise, you would need to enter the prices excluding GST.

Please can there be an option to mark a GST Return as FILED in Xero , where it has been filed by another method.

Bills - Awaiting Payment bills summary by supplier
Bills - View bills awaiting payment summarised by supplier with the ability to expand supplier to view invoices and select individually or make changes if required.
You need to use the awaiting payment screen to create batch payments. To make payments you have to select each individual invoice for a supplier which takes time and is inefficient.
Having the ability to view the awaiting payment screen showing summary (total) for the supplier would be helpful. You can still filter dates so you can see everything owed to a supplier within date range. Much like an Aged Payables report. You can then tick next to that supplier to automatically select all invoices that make up that total without ticking invoices/credit notes individually. However, the ability to expand the supplier to show the individual invoices underneath on the same screen in case there is one invoice there that isn't to be paid would be important here. Think of it like and expand/collapse feature.
Overall just adding a feature to allow this summary on this screen for payments would be extremely helpful. We pay our suppliers based on total amount owing i.e. <$10k paid in first run, then up from there. This would be helpful rather than running an aged payables report then having to filter on each supplier and select all invoices separately. Even without paying in $$ brackets we have to select each invoice separately as there are APs and DDs also in here.

Stripe Autopay - Report to show Autopay status of an invoice
AutoPay reporting - Xero needs a report that will show all the customer paying by AutoPay or show the percentage of invoices setup with AutoPay or even just have AutoPay Active/AutoPay offered in a separate column on the list of repeating invoices so we could sort by that information to determine how many of our customers are using AutoPay.

Sales - Export invoice totals due
When you export invoices, it gives you multiple lines for any invoice which has more than one line. It is therefore not possible to easily total up the amounts due because some invoices are on there multiple times meaning the values are overstated.
8 votesHi Stewart, is there a way you see the export being more helpful for you. For example would you be looking for a summary of each invoice? The Receivable Summary and Detail reports maybe useful for this sort of view and can be exported.

New invoicing - Remove invoice description character limit
Remove New invoicing description Character limit. Currently the limit is 4000 which isn't enough for large customer invoices.

We don't have any plans at this stage to increase the Description field character limit from 4,000, however we're interested to continue tracking the interest in community and understand what the optimal amount of characters would be for our customers.

New Invoicing - Consolidated invoice process voiding the original invoices automatically
Consolidated invoices:
Have a proper feature that allows us to consolidate customer invoices rather than the "copy to" or "merge" as this does not tack the consolidation.
So the example us Customer A has 15 invoices you bill on 20th of each month but want to consolidate all 15 into 1 invoice to send them with all line items (not statements). Then the 15 invoices consolidated would be zero'd or closed off with a note saying the old invoice reference and where they were consolidated to into the new single invoice.Statements won't work, with the copy or merge you then have to go into the old 15 invoices and delete them.
This can be a simple feature to implement but very powerful for customers.

Quote - add account number to template
Invoice Settings - need to be able to add account number to Quotes. This feature is available for invoices but not for quotes. We currently have to copy and paste the account number from the clients contact details.

Calculate running total difference of transaction details
When 'Adding details' or editing a transaction, the running total amount needs to equal the original transaction amount (money receive or spent). Some businesses require entering multiple line item entries in order to balance a deposit or withdraw. XERO states the total amount entered at the bottom, but does not state the 'Mathematical Difference' between the original transaction amount & the running total. In order to determine this, a manual calculator is needed. XERO should state the running total as well as the running difference.

The ability to set up payment schedule on a single bill such as insurance, rates, leases etc...
Being able to schedule the DD dates on a single bill such as insurance, business rates, leases etc... so that when you run a bills to pay you can get a clear snapshot of what is due for the period rather than having to manually work it out - this would assist in not missing outgoings for the period.

Add NDIS Funding Period Tracking in Xero
With the rollout of the NDIA’s new PACE system, NDIS participant plans now include funding periods (e.g. monthly or quarterly). Providers and plan managers must track and claim within these timeframes, but Xero currently doesn’t support this.
Adding a Funding Period Tracking feature would let users:
Set funding period start/end dates per participant or support category
Track and report spend per period
Receive alerts for overspend or expiring funds
Validate invoices against active funding periods
This would help thousands of NDIS providers maintain compliance, reduce manual tracking, and strengthen Xero’s value in the disability sector.

Reporting - Allow Standard users to publish reports
Provide an option to allow standard users to publish bank reconciliation reports, but not all reports.
As a Xero Advisor, I don't always perform all of the accounting functions for my clients. For some clients we mutually prefer to have them perform the bank reconciliation process each month. This is a standard internal control that isn't always outsourced. Requiring publishing bank reconciliation reports at the Advisor level user seems overkill and limits how advisors can manage levels of service assumed by the advisor and their clients.

Quotes - Automatic pre-loaded descriptions for specific customers when creating a quote
Option to have pre-loaded descriptions for specific customers when creating a quote. The description should automatically be present when each customer is selected rather than having to select a code to load it.

Expense claims - Item field
Xero Expense claims do not provide the field "Item" when submitting an expense claim for small items of inventory purchased infrequently. This means the inventory items purchased via expense claims will not show up on the reports "Inventory Item Details" and "Inventory Item Summary" reports" and a separate reconciliation just on expense claims will need to be run in order to account for the true inventory balance.

We know that it's not possible to add an inventory item directly to an expense claim and the current process to track inventory for an expense is to raise a bill instead. 📊 The team is still looking at the best way to address your feedback, and while we can't promise a timeframe just yet, please know that we will be watching this to see how much interest it might generate 👀

Reporting - Calculate % from invoices for payment report to Contractors
We pay contractors based on sales reports for each contractor. Getting this report is easy. In fact, Xero does that well. However, to get that same report and deduct a % value or any other value to work out what the contractor payment will be. Then being able to save & print & Email that report. Currently, we export to Excel, and whilst that works great, it is fiddly and time consuming. Probably not for everyone, but handy for some.
2 votesTHi Steven 👋, thanks for raising this idea. We appreciate its not straightforward calculating the percentage of invoices paid to contractors, which we know creates extra manual work. Although this is not on our current roadmap, we will monitor this idea for votes and other comments. However, for now, a workaround would continue to be to export the report and use a spreadsheet application to calculate the percentages. 📈
