Expenses - Inbuilt calculator
The sum and subtract function in invoices is a great feature; it would be great to use it in expenses as well. I often have to itemise a gross expense total into separate items with different VAT treatments. It would be useful to subtract the itemised line amount from the gross total directly in Xero rather than using a calculator.

History & Notes - Full detail of action
Can we drill down into the history lines by date to see the actual changes/edits or whatever was done for individual invoices? This would enable a clearer picture for future scrutiny.
My client couldn't work out what had been done and neither could I . All the history said was 'edited' by an employee.9 votes -
Bug or Missing Feature Reporting
There is nowhere to report missing features and bugs apart from this forum, which is more for ideas.
I have found it difficult to find a place to report an issue quickly.
For new invoicing the list of missing features and bugs should be reported so we can see what has already been picked up and what is being worked on and fixed.11 votesHI Jill, appreciate you posting here, not knowing where else to go.
For something that appears to not be working as it should or where you're having performance issues in Xero - these are best to raise with our specialists at Xero Support where we have tools to investigate, triage any issues and escalate with our team if needed.
When it comes to new invoicing we've communicated a lot of the changes and what's coming up through our Xero central page here. Otherwise, you'll also find many ideas for changes across product ideas here that I'd recommend joining for updates where you're interested. Billable Expenses - Retain tax treatment from original Bill on Invoice
When adding bills with mixed GST/GST-free items to an invoice as a single line, please preserve the tax attributions (proportions) of the items in the billable expense.
Example: If I want to invoice a billable expense to a client from a purchase made at Coles Supermarket, the expense will contain some items that attract GST and others that do not.
These are correctly recorded in the bill (spend money transaction), but when this bill is added to an invoice as a single line, the GST/GST-free portions of the bill are lost. (And tax is applied to the total of the bill, not the correctly recorded bill elements.)
The only way to preserve the proportions is to add items from bills as separate invoice line items - but this is impractical (time consuming/wasted) for dozens and dozens of billable expenses.
Please fix!

Repeating Invoice - automatically calculating days of the month in the qty field
Repeating Monthly Invoices:
Can we have a feature where monthly invoices have the ability to automatically calculate the days in that month based on the date in the "next invoice date". Therefore it doesn't need to be manually changed. Eg Monthly repeating invoice. next Invoice date - 1 November 2024. Qty - 30

Projects - Include supplier name in Tasks & Expenses
When in Projects - Tasks & Expenses - it would be really handy if the supplier name was included.
When adding bills, I have to remember to add the supplier name in the bill description before adding the bill info.

Add column/filter to include "Tax Inclusive or Tax Exclusive" invoice setting on Transaction Report.

Email address field size too narrow sending multiple invoices
When emailing a batch of invoices every month I need to click in every email field in turn to scroll along to view second & sometimes third email addresses for that client. Can the email field be widened please. It is so narrow sometimes just one email address can't be seen in full.

NZ Tax - Include Rental schedule when filing return with IRD
IRD are asking us for details of our rental expenses - I would like the Residential and Commercial Rental schedules to accompany the tax return when filing with IRD - I can not imagine anyone wanting to do this manually.

Navigation | Tab headings - Remove the word Xero, leave title of tab
Is there a way that we could see the names of opened Tabs so that we could see the name of what we are working on such as Balance Sheet instead of seeing Xero | Balance Sheet. When we open HST/HST returns, it shows GST/HST Returns which is great.
We know we are with in Xero. If Xero has to show up, it could be added to the end of the Tab heading. This way, opened Tabs would be a breeze to drag in alphabetical order. AU Payroll - No TFN entered for employee notification
When an employee onboards and doesn't have a Tax File Number (TFN) either because they are new to Australia and have just applied for one or they are under 18 and exempt. Xero should have a feature that warns you when they either turn 18 or they have passed the 28 days allowed to work without a TFN and it should automatically change their tax declaration to no TFN provided and change the tax withheld rate, until a TFN is provided. There also needs to be a constant warning in each pay run, 'this person is over 18 and does not have a TFN', 'this person has worked more than 28 days without a TFN'.
I understand there is the warning in payroll for when an employee turns 18 and this should and could be a trigger for payroll officers to check. However with over a 100 team members it's not always practical to stop half way through payroll, go out, check, change etc. This also doesn't help with the 28 days for staff who started with one and then never supplied.
The issue has come to light after a staff member turned 18, 3 years ago. This is before I started. And they have been working without one this whole time, with their tax declaration selected as exempt under 18 and being taxed tax free threshold this whole time. It's only come to light as they have started a second job and could not locate their TFN, because they never had one.
Had there been an auto prompt or change in Xero and a consistent warning that this person was over 18 and did not have a TFN, then their tax rate would have changed and I'm sure this would have prompted them 3 years ago to actually apply.

Hubdoc - Prevent Hubdoc publishing supplier bills before Xero lock dates
Please stop Suppliers Bills from being published in Xero if the bill date is prior to the period lock date!!!!
I only found out last night that Hubdocs will still publish a supplier bill with a date prior to the Xero lock date, this is crazy and I'm unsure why anyone would want Hubdocs to do this.
If you could add the option in Hubdocs to stop bills from being published in Xero prior to the lock date that would be awesome as it will ensure the integrity of end of period reports.

Reports - GL Summary comparison periods to show net movement per period
Reinstate the 'Compare With' drop down.
The key benefit of the old General Ledger Summary report was it's ability to show the net movement for multiple periods.
Xero is now without a single report to perform this core function.

Xero Account app - Frequently Invoiced Customer List
In the iOS app: Create an Invoice. When you are selecting the customer to invoice: Who is it for?
Once you tap this field, a search window appears and you start typing customer name to find.
Below the search field it would be nice to have a list of the top 5-10 customers you have create invoices for.

AU Payroll - Long Service Leave's Liability calculated and 'live' for reports within Xero
LSL liability calculations are currently handled externally to Xero.

AU Payroll - Customise User Permissions
We need the ability to further customise User Permissions. For example, a company could have 3 bank accounts and one credit card, all of which need reconciling, but I want two employees to share responsibility. So, employee A can do two bank accounts, and Employee B can do 1 bank account, and one credit card, and each can only see what they are responsible for. Secondly, we should be able to set up a Finance Manager who has certain permissions again separate from all other options. For example we may have a Purchasing Officer with authority to purchase goods/services up to a value of $10k but anything over this limit does NOT allow them to approve the PO, the PO must be submitted to the Finance Manager to approve in Xero. Another issue two is certain roles need to be able to generate certain reports but not all...

Reconciliation - Change reporting date for reconciliation of checks
When I enter the month of the bank statement with the bank statement beginning and ending balances and want to make sure all of the transactions from that month's bank statement are accounted for, checks that were written in a previous month but not posted in the bank statement until another month aren't showing up in coded transactions in the month where the bank transaction occurred. The reconciliation with the check payment and the bank transaction can be made, but the transaction doesn't show up in coded transactions section of the bank reconciliation detail report for the month the bank transaction occurred. This makes it so you can't actually reconcile the bank statement for that given month without changing the date the check was cut. I've never run into this problem with other accounting programs I've used. It also throws off the detailed bank reconciliation report for the month that the check was cut because when the transaction is reconciled, it puts it into the bank reconciliation detailed report for the month the check was cut instead of the month the bank transaction occurred.

We understand the issue you've described. When a check from a previous period clears the bank, the reconciliation report posts the transaction to the month the check was written, not the month it actually appeared on the bank statement. We can definitely see how this makes it challenging to use the report to verify a specific month's bank activity.

Xero Support - Support chat feature
There should be a support chat feature, especially for new users. Drilling through support topics and forums is cumbersome for simple questions.

We appreciate this isn't a direct live chat feature that is being asked for in this idea and will move the status back to Submitted, however we'd recommend giving this a try when you're next looking for an answer while working in Xero.
This feature takes into account what page you’re viewing, and the version of Xero you use, to do the best to ensure that the information provided is relevant to you.
Live chat is not something we have planned at this stage but if any steps are planned toward this, we'll let you know here.

UK Payroll - Allocate leave to different pay period
Currently, Xero automatically assigns holiday leave to the pay period in which it falls. However, for businesses with a different pay schedule within the tax periods, (e.g., a financial period running from the 6th to the 5th of the month), such as cut off being the 28th of the previous month and paying on the 5th of the month. this can cause confusion and misalignment in holiday pay processing. Employees may receive their holiday pay in a month that doesn’t align with the leave taken, leaving them out of pocket or causing administrative burdens.
Proposed Solution: Provide an option to assign holiday leave to a specific pay period. For example, if an employee requests leave for 30th of March, the leave pay should be processed in May pay (and not April's), in line with the company’s financial period. This would prevent confusion and reduce the need for manual adjustments, especially for larger teams.
Benefit: This feature would make it easier for businesses to manage holiday leave for multiple employees, ensuring that leave payments are processed in the correct pay period and improving payroll accuracy.

While this is not something we have plans to develop at this time, we will continue to use your feedback to help us shape the future of Xero Payroll. As noted by others in the idea, one option for now is to continue manually adjusting the leave hours for the correct pay period. We acknowledge this isn't an ideal solution, but it does allow you to correctly apply the leave across pay runs.
