Bills - Create a Supplier Statement
Ability to view supplier activity including payments & credits within a period.
Purpose: Would help with validation and reconciling of supplier accounts, especially where payments are not specific to a bill.
We understand and value our community's enthusiasm for Supplier Statements. Our product team recently engaged directly with several of our partners and customers to provide greater insights into the needs of viewing supplier activity, and how we might provide a solution.
What we discovered was that the majority of the functionality requests for viewing supplier activity exists within Xero today. However, we haven’t done a good job in explaining where and how customers can use existing reports to complete the tasks. .
As a direct result we’ve created this help on Xero Central on some of the reports that you could use, and steps to create and export this view.
With so much change we want to help our customers re-discover Xero reporting, and you can read all about latest changes through our Blog.
Along with this there are a few product changes to make reports that support supplier activity easier to find.
We’ve uplifted the Contact Transactions - Payable report and renamed this to the ‘Supplier Bill Activity’ which you can access directly within the Reports Centre. If you’d like to take that next step - set up the report, save as custom and favourite to make this one of your top options!
Understanding how our customers value the detail of the Account Transactions report, we’re adding both Contact and Invoice # fields to this report! When delivered you’ll be able to further filter and customise this report using both these fields - Stay up to date on this idea here.
We are aware that some customers would like the ability to format and send these reports as well. It’s not possible within Xero and not on our current roadmaps for 2022. It is something we will continue to monitor feedback on and consider amongst other priorities in the future.

Reports are waste of time Supplier statements are the opposite of a customer statement the programing logic should be the same. You can see the bills but you cannot send the statement. Very Frustrating

It's incredulous that Xero is not planning on adding a report that should be simple for us to get by a vendor/supplier: bills, spend money, credit memo amounts (all transactions) with bill/spend money date, paid date and amount.
My client's vendors are always asking for this report.
Here is a helpful report for all of you - except that I have to manually download this report to Excel and then click on each transaction in this Xero report to get the "Paid Date".
Under Reports - Payables and Receivables:
Under Payables and receivables, click the 3 dot menu icon next to "Income and Expenses by Contact". Under Common formats, select Expenses by Contact.
Select a Date range.
Under Filter - Select the Contact.
Click Update to run the report.
Click the total under the date range you selected and a list of transactions will come up. Export this as an excel sheet. Manually click on each transaction in the Xero report and add a column to your Excel sheet for paid date.

I am actually furious that this is not planned, I am trying to reconcile a large complicated supplier and for the most part the supplier bill activity has worked for my little clients. More complex clients this does not work in the slightest. In fact this particular client that is large and more complex, also uses multi-currency. Instead of being able to download a simple supplier statement, I have had to manually go through each record and manually put it into and excel spreadsheet. It has taken a day for me to do this....when a simple Supplier Statement would have VERY easily have taken me an hour to cross check with what they had. It would have taken even longer had the supplier not sent me a statement from themselves, so I wasn't working off a blank canvas, but it still took me a days work.
Why can't I use a Supplier Bill Activity....well, there is no option to change the currency! I certainly could not use is to check off a USD Statement against a AUD Statement. This is a major issue with the report. Xero support took 6 hours to come back to me advising I use a Payable Invoice (Detail/Summary) Report, that is NOT what I am after, I can quite as easily view in the supplier file all the invoices, I am in need of the suppliers ACTIVITY, vastly different to seeing invoices as being paid or not. And more importantly, viewing it in the currency in which the supplier uses. It's really not helpful providing a document in another currency.

This would be incredibly helpful as when Suppliers/Customers want to cross reference accounts, there is nothing to use to send to customers. I have received a statement from my supplier and trying to match it and pulling reports has been a nightmare.

I am using Xero from 2015. this is a basic requirement of suppliers to match the activity with their statement. Kindly add supplier statement feature as soon as possible.

Irritates the daylights out of me that you can't set a supplier statement and also that with a customer statement you can't download to excel!
Poor show Xero! - especially as you say 'not planned'! (more useless bells and whistles take precedence!) -

New to Xero after using an accounts package for over 35years. Finding it extremely easy to use and the support is amazing. Really surprised to find however that there isn't the supplier statement facility as there is on the customer section. This is something I would find extremely useful and feel there would be a great need and demand for it.

This is a most basic bookkeeping requirement.
Xero has an AR report that does this surely it should be easy enough to replicate this on the AP side of things.
Very disappointing from Xero. -

Guys, please do not turn off the Invoices report unless you do this statement. However imperfect Invoices report is (supplier statement would be better), it is the only way at the moment to reconcile suppliers' statements.

I have just had to do a complicated reconciliation going back 9 years.
I ran the supplier activity statement and drilled down to the detail.
If you look at the detail there are 'overpayment allocations' which appear as separate transaction lines and in the 'running total' but they shouldn't!
The balance carried forward does NOT agree to the sum of all the transactions listed because these allocations are treated as additional entries.
There should be access to a bog standard supplier activity statement - not a report where you have to pick out bits that shouldn't be there!
Xero really doesn't seem to care about standard accounting / bookkeeping reports anymore!
This report should be standard!!!!
As should being able to export customer activity statements to excel! -

I'm in need of a report that will have the payment date. Important! Urgent! Data is there, all you have to do is activate/add a new column for the payment date!!!

It is so disappointing that Xero wont supply a bog standard accounting requirement for a supplier statement!
Same as you wont allow excel download of a customer statement.
They are basic accounting reports! -

I simply don't understand this. Not only is this utter nonsense, because this is book-keeping basics, but the fact is you should be able to send a statement to a supplier. To prove that the payments you made, match their allocations. I can't get my head round Xero's poor response to this.

We have many invoices from a large supplier of ours and credit notes which I have to apply.
I can't find anywhere in Xero that allows me to send them a statement to show them which invoices I have paid and on what date and which credit notes have been allocated to which invoices.
Would be really useful to be able to simply run a supplier statement showing all the activity as in invoices, the payments against the invoices and any credit notes and where these have been allocated. Currently I have to edit a report and pfaff about with it which takes a bit of time trying to sort it out.

I don't really understand why this idea has been shut down. What I used to do manually is check each invoice against the supplier statement and pay the total due listed on the statement. Surely this is very common, why can't we do this within Xero??
As someone else has already mentioned, (as I used to do on paper) I would like to be able to take a supplier statement i have received from the supplier, and
A) compare it to my records / supplier statement
B) apply that document to all relevant invoices raised in Xero -

in addition to supplier statements we require to be able to allocate supplier credit notes AND invoices at the same time and then produce a remittance advice showing payments.
At present I have to send a details AP document showing amount paid (as this shows all invoices and credit notes). I have at least 30 credit notes to randomly allocate against invoices before i can process the payment. Huge waste of time unnecessarily.
I requested this back in 2007 as other systems I have used you are all able to process this basic task.
Why is it taking so long?

This is yet another "hegemonic" response we have got used to hear from the Xero Team, unfortunately such responses are completely disconnected from the realm of accounting and bookkeeping.
Xero seems to be still bringing in marketing officers and software developers with no experience in accounting asking them to improvise at designing accounting software architecture and user functionalities. Still your "Sleeping Beauty" Product Team and Software Developers have so far not realized that your accounting software lacks a "Batch Payment" function in foreign currency, nor do they understand the meaning of "Overpayment" (of course, they have some silly cosmetic trivial improvements in the software to work on!)
Only seasoned accounting professionals who have extensive experience of using accounting software can help you properly design a proper accounting software.
Supplier statements of account are very basic tool that accountants require on a regular basis.

Xero prides itself on being multi-currency but actually very few multi-currency functions are available.
Not only can you not create a supplier activity report / statement but you can't do it in the supplier's currency.
This would be so helpful in reconciling creditors.
