  1. It would be most helpful to have a valuation format ( which for my construction business sits between the ( Quotation & invoicing documents that Xero have delivered perfectly)
    This would require a % of the line item “ as defined in the quotation document” this value / % would increase as the project progressed.
    Is this something that could be accommodated?? For a 50 something builder with limited I.T experience Xero has proven to be user friendly and very efficient tool. Thank you!!! The perfect tool would include the above Valuation document.

  2. We often invoice once a week or so, it would be good to have an option to mark an 'accepted' quote as complete. This will help prevent missing them at the invoicing point as the staff member completing the projects is always difference to the staff member invoicing.
    Going deeper if possible, being able to flag line by line the completed line items so you can partially invoice?

  3. The existing CN is being phased out in favour of a new-format CN (now in 2026). It is less user friendly than the old one; there are 2 options to create them as follows.

    1. Using Create & Apply Credit from an invoice automatically applies the full amount without giving you a chance to edit first, requiring you to then un-allocate, edit, and re-allocate.

    2. Creating a blank credit note from the Sales Overview means manually copying line items from the invoice, which is cumbersome with room for manual errors..

    I'd like to create a CN off an invoice, and edit it…

    Appreciate your feedback on the new credit notes experience here, Zoltan. Can see how this would be useful when you need to make a few changes to the credit note that's related to a specific invoice.

    While we don't have immediate changes for this planned we'll start tracking the interest here and can keep yu updated if there's anything in the works.

  4. The "accept" button on Xero online quotes would be awesome for us if it required payment on the spot or at least sent an immediate invoice to the user. But instead, I just get a mail from Xero saying "Woohoo! [company name] has accepted quote [number] for [amount]". But it gives no indication what person at the company clicked accept. Quotes are often handed around. So there's often not much I can do with this. And it's worse than useless, because whoever clicked "accept" may think "now I'm done" and stop working on the order. My preference would be for…

  5. When I import invoices from a CSV, they can often be really big (900-1500 lines). It tells me if I am going to create a new item. It would be helpful if it would tell me which SKU it is going to create so that I can go to my CSV and check if it is actually a new item or if there is just a typo in one of my SKUs.

  6. Ability to apply a tracking category to all items listed on a quote rather than having to manually enter the tracking catergory for each item line.
    Eg a tick box that would apply tracking category to all, but you could then still change some of the tracking catetgories if needed at a later date.

    Appreciate you sharing your idea in the forums here, Ellie. Understand it's not a bulk assign feature like you're asking here, however you may find setting defaults for Contacts useful in your flows here.

    You can set defaults for tracking for purchase and sales transactions within a contacts record that'l automatically be applied to lines of your quote when that contact is selected.

    For now we'll get a sense of interest from the wider community in being able to assign tracking to your quotes in bulk from the idea here, and I'll share if there are any plans made.

  7. We have two projects running under one contact and it is not possible to send two different statements. I have to duplicate the contact or create a manual statement.

  10. This is based on an actual example.

    I had an invoice for around $15000 which consisted of around 10 line items. It appears Xero calculates GST per line item which is rounded (which is fine) and then for the total at the bottom appears to add up the rounded line items. What this meant in my case was that the GST total was 1 cent out where on my invoice it showed $2037.59 and on the purchase order I had it was $2037.58. The latter was the correct amount.   12. Looking for a way to show separate totals on quotes, itemizing "items" into separate columns. Such as one total for hardware and installation, and another for annual support or subscription costs.

    Typically when we quote out jobs the subscription for annual support/subscription is billed separately. It is added to an annual bill with the rest of the subscriptions separate from the one time quote for installation of new hardware. When sending a quote over for adding more hardware, for client budgeting purposes it allows them to know total cost they need in the budget but separates the one time charge…

  13. The rational of display Tax ID Display Name under the client contact doesn't sounds right as this is the column where we should key in our own company information.

    When we using the standard template of Xero for AR Invoice, if there is tax id keyed under client's name, the field of "Tax ID Display Name" will be display under the client name. this sounds weird when I was told to amend the "Tax ID Display Name" which can be found under Financial Setting to something called "TIN Number" or "Tax ID Number" to make the display right.

We have guys out on site who need to be able to raise a quote for a client while they are on site for parts or additional works for their call out but we don't want those engineers to have access to see all of the sales invoices for the larger projects and we don't want them to have to wait until someone in the office approves it whilst they are waiting on site for it to be done.

  17. Now that the new Credit Notes have a white background the same as Sales Invoices it can be difficult to differentiate between the two. Can we please have negative symbols added to the Credit Notes to make it easier to differentiate from the Sales Invoices screen.

  18. Suggestion: Additional Date Field for Bills (Invoice date vs Posting date)

    I recently started using Xero and I have been really enjoying the simplicity and usability of the platform so far.

    I wanted to share a suggestion regarding the "Date" field when entering bills. Currently, there appears to be only one date field, which can be interpreted either as the invoice date or the posting (accounting) date depending on internal company practice.
    From an accounting and reporting perspective, it would be very helpful to have two separate fields (Invoice and posting Date). Benefits are:

  19. Feature Request: Repeating Invoice Preview & Breakdown

    Summary
    Add a real-time preview panel to the repeating invoice setup screen that clearly shows how many invoices will be generated, their dates, and expected amounts—similar to the instalment breakdown experience in GoCardless.

    Problem
    When creating repeating invoices in Xero, there is currently no visibility into the outcome of the configuration before saving. Users must mentally calculate:

    • How many invoices will be created
    • The exact invoice dates
    • The total value over time

    This becomes especially difficult when working with:

    • Custom repeat intervals (e.g. every X months)
    • End dates vs no end dates

  20. we have hundred of customers and I sometime mis-spell their names when starting in invoice. Its would nice if an intelligent pop up would come up and say 'Mr Blougs' doesn't exist, did you mean Mr Bloggs? and links straight to it. At the moment it's just an unfriendly 'this contact doesn't exist' or something.
