  1. I would like the ability to restore voided / deleted invoices and bills. Sometimes an item is deleted by accident but to restore it I have to copy it to a new draft and then re-attach any PDFs, which is clumsy and time consuming.

  2. Allow negative values in default due date options.

    We set our due dates 7 days prior to the invoice date, currently Xero only allows default due date settings to be set after the invoice date.

    Allowing negative numbers would make our workflow much quicker!

    Hi everyone, thanks for sharing this idea. We understand the ask for the ability to set negative default due dates.

    Currently, default due dates in Xero are designed for scenarios where the due date falls on or after the invoice date. We appreciate the suggestion that negative due dates could support specific business workflows and would like to understand more about when this would be most useful.

    We encourage the community to share more examples and use cases to help us better understand this need.


  3. Please add a simple AI microphone / rewrite button directly inside Xero description fields, such as quotes, invoices, bills, purchase orders and other areas where users need to write item descriptions.

    I understand Xero has started introducing AI features such as JAX, but this idea is slightly different. I am asking for a simple feature inside the actual description box where a user can speak naturally, or type rough notes, and Xero turns it into clear, professional wording.

    For example, a tradesperson could say:

    “Supply and fit grey contract carpet to two rooms, uplift old carpet, dispose of waste, price…

    Hi Paul, thanks for sharing this idea. We understand the benefit of having a native voice-to-text AI assistant to help write invoice descriptions especially for users working on the go or across multiple client sites.

    The idea is to allow users to dictate invoice line item descriptions using voice input, with text being automatically captured and inserted into the invoice fields to speed up billing and reduce manual typing.

  4. When utilising the option to request a DEPOSIT on an invoice there is a standard default email accompaniment. The text within this default email does not fit our business' needs and we have to manually adjust the content every time I send a deposit request when using it. I would like to suggest that we are able to create our own default deposit request accompanying email and select it from the drop down at time of use OR be permitted to edit the default somewhere permanently.     Hi everyone, thanks for all the engagement so far. We understand why having a custom email template for deposit could be useful.

    The idea is to allow users to create or assign a separate email template for deposit invoices, so messaging and payment terms can be tailored to suit businesses.

    We'll continue to track the demand for this idea here.

  5. I would like to take our first payment via Go Cardless Instant Bank Payment and send them a mandate to fill in for future recurring monthly payments.
    We have our first invoice for customers purchasing a subscription from our website set to instant bank pay, so that they can pay immediately and be given site access immediately, but they will then make future payments by Direct Debit.

    Hi Stephen, thanks for raising this idea. We understand why having the option to set up a Direct Debit mandate at the same time as an Instant Bank Payment via GoCardless could help create a smoother customer payment experience.

    The idea is to combine these steps into a single checkout flow, allowing customers to make their first payment while also authorising future Direct Debit payments without needing to complete a separate setup process.

  6. Idea for a warning pop-up message for when clients add payments to invoices
    (usually they haven't matched off by cent variance or something that has made it not match in the reconcile screen) Currently, its to easy for clients to add payment without realising they have also coded this, leading to double return of income/GST paid twice

    Hi Eden, thanks for sharing this suggestion. We understand why having a confirmation prompt on the “Add Payment” action could be helpful in preventing mistakes.

    At the moment, when a payment is entered on an invoice, it is recorded immediately once confirmed. If a selection is made in error, this can require reversing or correcting the transaction afterwards.

    One option in the meantime is to use the bank reconciliation screen with the Find & Match process, where transactions are matched directly against bank statement lines. This can help reduce the likelihood of accidental manual payment entries from within the invoice screen.

    Hi Julianne, thanks for sharing this suggestion. We understand why having the option to start the calendar on a Sunday could make date entry feel more natural for some.

    At the moment, the calendar picker follows a fixed layout and there isn’t a setting to change the start day. We appreciate that even small layout changes can make a difference when you’re entering lots of transactions and moving quickly through your workflow.

  8. I'd like to see both the VAT inclusive and exclusive values listed in the transactions list shown in a clients account. Some clients discuss VAT exclusive figures and others inclusive, so it would be much easier to have the selection to show both values side by side, especially if you're looking for something by value.

    Hi Emma, appreciate you submitting this through. We understand that having both Gross and Net figure visible together could make reviewing transactions easier.

    The good news is this is already available in the Account Transactions report. You can customise the report columns by opening the Columns dropdown and selecting the fields you need, including Gross, Net, and VAT. You can also save the layout as a custom report for future use. Alternatively, you can also run the Receivable Invoice Detail report.

  9. Currently, there is no path to follow to an overpayments origin. We need to be able to see which transaction this overpayment came from when there is disputes over the account.

  10. Currently Prepayments can only be posted directly to the bank line and so the actual payment must be processed manually in your online banking. We use Batch Processing for our supplier payments, so being able to add it to Accounts Payable instead would make things a lot easier for this saving both time and the risk of a mis-type for bank details. I appreciate this means both sides of a transaction would be in Accounts Payable (for a short while) but it would only be until the Batch Payment process has selected the relevant invoices for payment.     Hey Monica, thanks for bringing this to our attention.

    We’d like to make sure we fully understand the workflow you’re asking for so we can review the idea properly.

    Can you confirm whether the main request is to allow prepayments to be posted to Accounts Payable, rather than directly to the bank line, so they can be included in a batch payment?

    If so, it would also be helpful to understand whether this is mainly for:

    • supplier payments processed through batch payments
    • pro-forma invoices
    • situations where you’d want the audit trail to still be visible through a tool like ApprovalMax

    If you can share more detail about the steps you’re following now, what’s not working well, and what you’d expect the ideal workflow to look like, that’ll make it easier for us to review the idea and move it to the right status.

  11. I’d love to see Xero expand repeating invoices to support scheduled future invoice variations within a single recurring invoice template.

    Current Problem

    Many service-based businesses invoice clients monthly for recurring services (e.g. retainers, subscriptions, support agreements, maintenance plans, etc.) but also need to bill occasional or annual charges such as:

    • Annual renewals
    • Membership fees
    • Licence renewals
    • Maintenance charges
    • Contract uplifts
    • Seasonal charges
    • One-off setup/project fees

    Currently in Xero this usually requires:

    • multiple repeating invoices,
    • separate one-off invoices,
    • or manually editing invoices each month.

    This creates unnecessary admin and breaks automation workflows such as autopay/direct debit systems that only work cleanly…

    ⭐ Thanks so much for taking the time to share this idea in so much detail. The examples and use cases you’ve included do a great job of showing why more flexible repeating invoice schedules would make a real difference for businesses managing recurring and occasional charges.

    This is an area that is continuing to gain support. The need for more flexibility, less manual admin, and better support for real-world billing arrangements is something we know matters to customers, and feedback like this helps reinforce that.

  12. The function already exists to have assorted branding and (if you remember) you can send from different email addresses. This falls down (in my scenario) as i have two companies using the same Xero package but have to download quotes, invoices and statements to send from my desktop email account, as the email template has none editable company details and we cannot obviously send invoices when the email is branded with a competitor.

  13. Hi all,

    I would like to float the idea of including an 'Order' button/tick box on the invoices.

    The 'Order' flag would indicate that this Invoice is still 'In progress' and has not been fulfilled. In this situation the invoice has been created as the Quote has been accepted, however the invoice is not sent for payment until the order has been completed. This would also mean that this invoice is not included in the statement that is sent to the customer..

    This would help with the customers that have terms and/or have agreed to not pre-pay, however pay on…

  14. It would be most helpful to have a valuation format ( which for my construction business sits between the ( Quotation & invoicing documents that Xero have delivered perfectly)
    This would require a % of the line item “ as defined in the quotation document” this value / % would increase as the project progressed.
    Is this something that could be accommodated?? For a 50 something builder with limited I.T experience Xero has proven to be user friendly and very efficient tool. Thank you!!! The perfect tool would include the above Valuation document.

  15. The existing CN is being phased out in favour of a new-format CN (now in 2026). It is less user friendly than the old one; there are 2 options to create them as follows.

    1. Using Create & Apply Credit from an invoice automatically applies the full amount without giving you a chance to edit first, requiring you to then un-allocate, edit, and re-allocate.

    2. Creating a blank credit note from the Sales Overview means manually copying line items from the invoice, which is cumbersome with room for manual errors..

    I'd like to create a CN off an invoice, and edit it…

    Appreciate your feedback on the new credit notes experience here, Zoltan. Can see how this would be useful when you need to make a few changes to the credit note that's related to a specific invoice.

    While we don't have immediate changes for this planned we'll start tracking the interest here and can keep yu updated if there's anything in the works.

  16. Ability to apply a tracking category to all items listed on a quote rather than having to manually enter the tracking catergory for each item line.
    Eg a tick box that would apply tracking category to all, but you could then still change some of the tracking catetgories if needed at a later date.

    Appreciate you sharing your idea in the forums here, Ellie. Understand it's not a bulk assign feature like you're asking here, however you may find setting defaults for Contacts useful in your flows here.

    You can set defaults for tracking for purchase and sales transactions within a contacts record that'l automatically be applied to lines of your quote when that contact is selected.

    For now we'll get a sense of interest from the wider community in being able to assign tracking to your quotes in bulk from the idea here, and I'll share if there are any plans made.

  18. The Vision: Every business deserves to send invoices and quotes that look as professional as the services they provide. Currently, Xero’s "Advanced Template" engine is built on 20-year-old legacy standards that "obliterate" modern branding, fonts, and high-resolution graphics.

    We are asking Xero to modernize the template parser to support the industry-standard OpenXML (.docx) used by modern versions of Microsoft Word (Office 2016/365).

    Hi everyone, thanks so much for taking the time to share your feedback and support this idea. We’ve taken another look here and, while we don’t have plans to develop DOCX further, we have released and are continuing to roll out our invoice editor. It’s replacing the Standard branding theme first, and from there will continue to evolve with more of the invoice customisation we know customers are looking for across things like logos, fonts and colours.

    We know this won’t be the update some of you were hoping for, especially for those wanting more flexibility in how invoices look and feel. To help keep updates relevant to the specific changes being asked for, we’d really encourage you to add your vote to the ideas below, as they’re more closely related to those points:

  19. This is based on an actual example.

    I had an invoice for around $15000 which consisted of around 10 line items. It appears Xero calculates GST per line item which is rounded (which is fine) and then for the total at the bottom appears to add up the rounded line items. What this meant in my case was that the GST total was 1 cent out where on my invoice it showed $2037.59 and on the purchase order I had it was $2037.58. The latter was the correct amount. What this meant was that this was enough for a big…

    In Classic Invoicing, there was a history and notes link between the quote and the invoice when the invoice was copied from the quote.

    At the moment, that same history link isn’t available for quotes copied to invoices in the newer experience. We understand how helpful that audit trail is, especially when you need a clear record between the two transactions, so this is being moved to gaining support for the quote to invoice history workflow.

    However, we are happy to say that this is still available in bills copied over from purchase orders , the link is still available above the history section
