  1. At the moment, when we email a statement from Xero, the customer only receives a static snapshot plus invoice links that reflect the balance at that point in time. If a payment or new invoice is issued after we send it, we must send another statement manually for them to see the updated balance.

    It would be extremely helpful if Xero offered a secure link or customer-facing portal where each customer could view a live statement of their account at any time — showing all outstanding, overdue, and paid invoices in real time — without us needing to resend updated…

    Hi team, last year we released the ability to send and enable your customer to view and pay from an online statement. This is available through the use of Stripe.

    An online statement will be live for 90 days from the time it is sent, and the online statement will be reflective of the current invoices for that customer at the time - so if updates are made to invoices between the time it is sent the online statement will still be up to date. 😊

  2. Set the calendar to Sunday to Saturday for everything, including Invoices. - Xero recently changed the Calendar for only the invoices. The week day now starts on Monday. I was informed this change was intentional and is currently not going to be changed back. Credit Notes, Recurring payments, quotes, bills, reports, literally everything else has the week starting on Sunday. This is very cumbersome for our business. My staff are constantly putting the wrong date on invoices. We operate at very high speeds because we have a lot of customers come in at a time, and a lot to do…

    Hi team, we appreciate all the feedback we've received on the invoice calendar here. I want to confirm that our team have released an update and you'll find the calendar now runs Sunday - Saturday consistently with other areas of Xero. Thank you again for feeding back with us, here.

  3. Please can you include an option on the invoices for payment due date -28 days. We have an option for 7 and 14 days but the majority of our invoices are 28 days from invoice date.

    This is possible from within the Invoice Settings page, Emily 😊 From here there is an option to set Invoice due date based on days after the invoice date, where you can enter a number anywhere between 0 - 99.

  4. KEYBOARD ACCESS IN ALL FIELDS IS CRITICAL
    Xero users know how a keyboard works and I'm sure many find its use preferential to having to continuously move a hand to the mouse to engage dropdown menus. This needs to be available in all areas of Xero.

    Hi team, from the payments window when you're on the Account field if you press 'Enter' on your keyboard this will open the field. From here you can type to search and select the bank you'd like.

  6. NEW INVOICING
    Add default bank accounts for adding a payment. Old invoicing automatically brought up your bank accounts. New invoicing-you have to sort through or search your whole chart of accounts for the bank account/s.

  7. New invoicing - Not user friendly

    I am sure that there are some great features with the new invoicing but I cannot see them!!

    On the new invoicing screen, where do you see the exchange rate and the payment status of an invoice or if a credit note was applied to an invoice.

    The Classic invoicing working well and if it isn't broken then don't fix it!

    Hi Celeste, appreciate your feedback here. Each of the points you've shared should be visible within new invoicing.

    If you're entering a multi-currency invoice the exchange rate is shown at the top right of the invoice, and you should see the status of the invoice i the top left beneath the blue banner e.g Awaiting Payment, Paid etc.

    I've attached an image of this for your reference.

  8. In the old invoicing you can preview the invoice without downloading a PDF. I would like to view them again in the new invoicing without having to download a PDF.

  9. Can you make the VAT amendable on the new invoicing system. We link with the Clover till system and the vat is always a few pence out, but the new invoicing doesn't allow us to change the vat amount.

    Hi Lindsey, you should find that you can add a Tax Amount column within new invoicing which will allow you to change the tax amount of the individual lines so you can correct the cents between your other system and Xero.

  10. Record deposits on a quote or future invoice sale without raising the invoice value against a customer.

    We manufacture a product and then install for a customer - with a deposit of either 50/50% or 30/30/30/10% at the point of approved sale. We are happy to create an invoice number but with a deposit on each sale this creates a "negative balance" and we do not want to create a sale until the final invoice has been agreed at installation. ie. a negative receivable.

  11. Sometimes I need to add the same tracking category to multiple lines of the invoice. CLASSIC invoice allowed me to simply paste the category in the box and that's it. NEW invoicing now requires me to CLICK after pasting which doubles the amount of time I'd need comparing to CLASSIC. Please bring that possibility back - OR, EVEN BETTER, maybe let us drag the options to apply them to cells below (like it's done in Excel).

    Hi everyone, we're delighted to announce that the new line item grid is now available to all users. This update incorporates several enhancements based on valuable customer feedback, and includes resolving your suggestion, here.

    With the new grid, you can now easily copy & paste tracking information between cells, using 'Tab' to navigate to the next cell efficiently. While the drag-and-drop functionality isn't currently available, this has been raised as a related idea, which you're welcome to support. We'll provide updates on its progress if any arise.

  12. In the old Invoicing, when creating a new invoice the cursor would default to contact field so as soon as the screen opened you could start typing to bring up the contact. With the new Invoicing you have to click on the screen in the desired field to be able to type anything.

    Please fix this, it is extremely frustrating.

    We're grateful to everyone who participated in the discussion and provided valuable feedback regarding the cursor positioning. I'm pleased to announce that we have released a change, and upon opening your next invoice, the cursor will now default to the Contact field. Thanks again for your contributions.

  13. We often get cheques or direct deposits from companies that are covering 5-10 different invoices. CSV functionality would be overkill for what I need.

    Right now I have to go into each invoice and mark them all separately as paid, and put a note that cites the total deposit amount so that we can keep track of the bank transactions.

    On the customer's invoice page, I would like to be able to click a checkbox button for the invoices that are included on the cheque, and mark them as paid under one transaction.

    Hi team, it sounds like batch deposits would meet your needs here. From the Awaiting payments list view you could select up to 50 invoices to batch together as one payment. When the cheque or deposit appears in your account you could then just select the one transaction to reconcile.

    While you can only batch 50 invoices at a time, you may like to add your vote and support on this idea, Peter. It's not something we have in planned development atm but if there's any change we'll update you all there.

We use two tracking category's depending on which country the transaction relates to, the category options are the projects in that country, if a tracking option has been added to the wrong category on an invoice and you need to remove it you can't leave the category blank, on the old invoices and other areas of Xero you have (none) under the category options which you can choose if it is to be blank but this option is not there on the new invoicing

    Hey everyone, thanks again for suggesting this. Good news – the new line item grid is live for everyone now.

    With this update, getting rid of tracking is way easier. You can just hit backspace and tab through the fields, or we've also popped in a 'No tracking' option in the dropdown. We appreciate your feedback through product ideas – it really helps!

    i.e no delivery address.

    Hi Marcel, with the standard invoice template this will show the billing address on the PDF of the invoice. If you don't have a physical address for the contact and want to include the email address, enter and save this in the billing address details on the contact. You can either do this from their contact record or on the fly when creating the invoice. here's an example I created of how this will appear.

  16. One of our customers requires the PDF invoice with zero due AFTER the payment has been applied. If I forget to mark "Sent" before applying payment, Xero will not allow this box to be checked, and I have to remove all payments, mark sent, then enter payments and credit applications again. Since we use the "sent" feature to cross check that we have submitted invoices, this is important. There should be no reason this is not editable after payments; and there are additional features that can't be edited after payments as well, that used to be editable in the old…

    Hi Margie, appreciate you have a slightly different use for Mark as sent than it's designed for. While we don't have any plans for enabling this check box once payment is applied, you could Email the invoice(even to yourself) which will mark it as sent.

  17. We use a a CRM system to create our invoice which is then linked to XERO. On our CRM system it itemised the components of the invoice this is also transferred. Is there a way on the xero invoice that this feature is not transferred so that the invoice only shows description and the total value of the job, ie NET, VAT GROSS.
    We do not want the client to see the full breakdown.

    Hi Dawn, this is possible with the use of an advanced branding theme. Using the DocX template you can customise the template to remove merge fields that you don't want to be shown to your customer.

    Once set up as you like you'll want to upload the template to your branding theme in Xero, and then apply to contacts or to any individual invoices you'd like this template used.

    Hi Paul, if you're not using all your invoice reminders atm, you could set up a separate Invoice Reminder for Invoices overdue versus those due by - You can use up to 5 Invoice reminders.

    When you set up an invoice reminder you'll be able to set the email template that is used to send that reminder and it will only be used when that reminder is triggered.

  20. Old invoicing you used to select your "to" contact, then tab across to the date where the date would be highlighted so you could start typing a new date straight away. New invoicing no longer selects the date & takes longer if you want to manually type a date rather than having to use the mouse.

    Hi Shannon, we made some changes toward end of 2024 to improve the entry and selection of dates in new invoicing. Having just done a test I can see that when you tab from the To field it'll move across to the Issue date field with the date highlighted and you can easily start typing the date you need just like you've mentioned.
