Invoices - View Inventory availability when selecting item
It would be very helpful to be able to see the availability of inventory items when raising an invoice or quote.
I know this is possible once an item has been selected but it would be even better to see availability of all the items on the suggestions list, in order to select only available items.3 votesHi team, returning to the idea here - as previously mentioned Xero will show available stock on hand when selecting tracked items in your invoice.
This is also shown before selecting the item in the Item column
Since this idea was started we have also delivered back order capability so if you invoice more of a quantity of an item then you have on hand this is counted as a back order and will be allocated to the invoice as soon as the stock becomes available.

Upload multiple documents
Allow uploading more than one images or PDF for receipt. Sometimes there are just more than one supporting materials in various formats & file location. It's inhumane to restrict to only one supporting document per expense

We're also in the process of releasing our new Smart Document Capture feature which is already available in UK, US, NZ and AU and soon to be rolled out to remaining regions. This means that once your files are uploaded to the Files library, Smart Document Capture can help review and create or match transactions for you within Xero!

Deposit Invoice - Add due date
Deposit Invoice: This is a fantastic new feature, however there is currently no effective way to track whether a deposit has become overdue or remains unpaid.
It would be extremely beneficial if the deposit invoice functionality allowed for:
• a separate due date for the initial deposit payment; and
• a separate due date for the final balance payment.It would also be very helpful to allow invoices to be split into three or more staged payments, rather than only a deposit and final payment structure.

Invoices - Email | Remove '' View Online'' option
We’re happy with the new edit template invoicing experience, but would like full control over what appears on PDF invoices, specifically the ability to remove the “View Online” button.
Many invoices are printed or saved for offline use, where web links don’t make sense and can look unprofessional. For some businesses and customers, digital links on formal invoice documents are unnecessary or confusing.

90 votesHi team, very pleased to be able to share an update with you all here! Our product team have been continuing to make enhancements to the new Invoice editor, and you'll now find there are options to simply remove the Online invoice links, including Text links and the QR code 😁
Invoice editor is currently available to all organisation in AU, NZ, US, and UK, with remaining regions to follow in the coming months.

calculate exchange rate from sum due and sum received
I have multiple customers who are charged in US dollars. When they pay via Stripe the money is immediately converted to Australian dollars.
When I mark invoices as paid I am presented with an interface that creates more work than it need do.
I know the amount charged, I know the amount received. What I don't know without calculating is the exchange rate.
Allow me to enter the amount received OR allow me to calculate the exchange rate in the exchange rate field by allowing calculations, but don't ask me what a 6 digit exchange rate is.

Invoicing - Paste Multiple Cells into Invoice Lines
Why can’t Xero do basic spreadsheet-style paste???
This is honestly ridiculous: in 2026, Xero still can’t handle basic multi-cell paste like every normal grid on the web.
Everyone uses Excel, Google Sheets, Airtable. We copy blocks of rows and columns all day. In Xero, the same paste either dumps into one field or doesn’t work, so we’re forced into CSV import or manual entry. That is a massive waste of time for something that should be a baseline feature.
There is no technical excuse here. Airtable/Sheets don’t do anything magical. In a browser, multi-cell paste is just:

69 votesHey team, I'd like to confirm drag and filling a column of your invoice from one cell is now released to all users.
You can click the blue dot in the bottom-right corner of a cell and drag up or down the column. Alternatively, hold Shift on a cell and use the up or down arrows to select cells, then press Enter to apply. 😁
You'll find this feature within invoices, quotes, purchase orders, sales credit notes, and when editing bills in quick view. Thanks for your support and contributions to the idea here.

Customer statements - Allow customers to view live statements online
At the moment, when we email a statement from Xero, the customer only receives a static snapshot plus invoice links that reflect the balance at that point in time. If a payment or new invoice is issued after we send it, we must send another statement manually for them to see the updated balance.
It would be extremely helpful if Xero offered a secure link or customer-facing portal where each customer could view a live statement of their account at any time — showing all outstanding, overdue, and paid invoices in real time — without us needing to resend updated…
15 votesHi team, last year we released the ability to send and enable your customer to view and pay from an online statement. This is available through the use of Stripe.
An online statement will be live for 90 days from the time it is sent, and the online statement will be reflective of the current invoices for that customer at the time - so if updates are made to invoices between the time it is sent the online statement will still be up to date. 😊

Invoice - Set the calendar to Sunday to Saturday
Set the calendar to Sunday to Saturday for everything, including Invoices. - Xero recently changed the Calendar for only the invoices. The week day now starts on Monday. I was informed this change was intentional and is currently not going to be changed back. Credit Notes, Recurring payments, quotes, bills, reports, literally everything else has the week starting on Sunday. This is very cumbersome for our business. My staff are constantly putting the wrong date on invoices. We operate at very high speeds because we have a lot of customers come in at a time, and a lot to do…

Malaysia E-Invoicing - Two columns to show when validated versus viewed
Regarding the Invoice interface on the Sent Column, perhaps can Xero make it into two instead? One is for the Validated E-Invoicing & the other one is for customer. The reason is now, when we send to MyInvoice, every thing has become "viewed" instead. So now I don't know whether my customer did view or not.
I also suggest the MyInvoice under the Sent column, once the e-invoice validated, can it changed to "validated" instead of "viewed"? Like that we do not need to open another tab at the History and Notes to look up for it.

Custom Invoice Templates - Allow More Contact Fields on Templates
Allow all feilds to appear on a Xero invoice not just the select few.

Our new invoice layout editor provides more flexible ways to control and include business and customer contact details on invoices.
You can add extra business details, control how information such as your phone number and email is displayed, choose which parts of a customer’s address appear, and customise branding, columns and additional notes to suit your workflow - See my attachment for available customer fields.

Invoice payments - Only offer ACH (not credit card)
I'd like to enable one-click payments from customers when I send them an invoice, but only ACH, not credit card. As it is, if I enable ACH payments via Stripe, the system displays credit card options to the customer. When I try a custom branding theme without the credit card display, Xero will not allow any Stripe payment mechanism.

It's possible to set up your payment method so customers can only pay by ACH.
From an invoice, select 'Manage' on the Online payment methods. Within the Manage screen you'll be able to toggle credit card off and leave ACH on.
At checkout your customer will only see the ACH payment option and not card.
You can also turn card off in your payment settings if you never want to offer this option. 🙂

Invoice - Set due date to 28 days
Please can you include an option on the invoices for payment due date -28 days. We have an option for 7 and 14 days but the majority of our invoices are 28 days from invoice date.

Invoicing – Enable full keyboard entry (date + account number) without mouse clicks
The current “Add Payment” workflow in invoices is inefficient for keyboard users. While manual entry of payment dates has been improved, the account selection still forces users to use the mouse, which breaks the flow.
We need a smoother, full keyboard-navigable process when adding a payment to an invoice:
1.Enter date manually (already possible )
2.Press Tab to move to the Account field
3.Type the account number directly
4. Press Tab or Enter to confirm selection without needing to click the search bar or manually select the account with a mouse
Right now, even after typing the account number into…11 votesHi team, coming back to this idea we want to share that each of the points noted in the initial post of this idea has been solved with the updates we made to add the Payment section back into Invoice page.
I've done a quick test to check but you should find you can;
- manually type to enter a payment date
- Tab to move between payment section fields
- type to search the Account code or name
- arrow up or down to highlight and press Enter/ return to select
Very soon we'll be releasing an update so you can more freely navigate your invoice line items, where you'll be able to press esc and then use up or down arrows to move between rows.
We throughly appreciate the differing needs of our users and hope these changes support your use of Xero. 🙂

If you are reconciling a single payment to multiple invoices, you can use Find & Match choose all the invoices, and then in section 2. choose 'New transaction' receive payment. When the screen opens the transaction to enter detail use the drop down next to 'Received as' to select Overpayment.

Add default bank accounts for adding a payment. Old invoicing automatically brought up your bank accounts. I am sure that there are some great features with the new invoicing but I cannot see them!!
On the new invoicing screen, where do you see the exchange rate and the payment status of an invoice or if a credit note was applied to an invoice.
The Classic invoicing working well and if it isn't broken then don't fix it!
1 voteHi Celeste, appreciate your feedback here. Each of the points you've shared should be visible within new invoicing.
If you're entering a multi-currency invoice the exchange rate is shown at the top right of the invoice, and you should see the status of the invoice i the top left beneath the blue banner e.g Awaiting Payment, Paid etc.

In the old invoicing you can preview the invoice without downloading a PDF. I would like to view them again in the new invoicing without having to download a PDF.

Sales invoicing - amend VAT
Can you make the VAT amendable on the new invoicing system. We link with the Clover till system and the vat is always a few pence out, but the new invoicing doesn't allow us to change the vat amount.
1 voteHi Lindsey, you should find that you can add a Tax Amount column within new invoicing which will allow you to change the tax amount of the individual lines so you can correct the cents between your other system and Xero.
