Sales invoice - Don't auto update email of contact
Is it possible for cash sales/one off payments to chose not to save an email address? Every time I do a one-off cash sale for a new/random customer, the email address automatically saves into the Cash Sale contact file. But the next cash sale invoice is going to a different email address, so while I can input the new email address, the one prior is printed on the invoice! It is getting very tedious having to go into the contact file, delete the previous email address and get back into the new invoice to reprint it every time I do…

In the meantime, it'd be good to understand if recording as Receive money could help your flow here for cash sales so you don't have to enter contact details?

New Invoicing - Add 'attach file' button at payment
Reducing clicks:
When applying a payment to a bill or an invoice, I usually want to attach a source document (image of check, confirmation of our POS system, etc.). Right now I cannot do it while applying the payment. Right now (in 'old' invoicing/bill) I have to instead apply the payment, find myself in the accounts transaction overview, go back to invoice, click on the payment I just applied and then I have to option of uploading/attaching a document. While we're in the process of releasing an update for applying payments to an invoice we want to be upfront here that this does not involve being able to attach a file when making a payment, from the invoice.
Once a payment is applied, you can click within the banner to 'View invoice' then on the payment link within the invoice where you can attach a file directly within the payment transaction.
We will continue to keep a track and share if there are any plans made around this idea, here.

Customer Statements - Totals for each column
It would be useful to look at an activity statement to see how much a certain contact has been invoiced regardless of whether they have paid or not. At present, I can only see outstanding balances.

New invoicing | Email template - show as tax inclusive
EMAIL DESCRIPTION OF INVOICE-SHOW GST INCLUSIVE PRICE-When selected "Include action to online and detail summary" for the email template, the email that is sent shows a description of the attachment (invoice) in the body of the email, but it has each item GST EXEMPT then the GST is listed at very bottom. It iss very confusing for some customers.

New invoicing | Send - Rich text editor format
Please change the editor in the email copy, when sending an email & creating an email template, to a rich text editor. It would be useful to be able to bold/highlight particular lines especially when invoices are late & reminders are being sent

As shared in my last update, currently you can add basic html formatting to your emails to bold, add italics or underline text within the invoice emails you send to customers.
- Bold = <b> and </b>
- Italics = <i> and </i>
- Underline = <u> and </u>
You can see my attachment below that shows an example of how these can be added and the side by side email preview that'll reflect how this is shown in your email.
Right now, this isn't something we have plans for changing but will be sure to share an update if there's any progress. Thanks

Quotes - Tax status & Delivery Address when invoice is created from quote
It would be nice if when converting a quote to an invoice that Xero would be able to recognize tax status of customer, and would automatically bring up delivery address.

Invoices - Bulk upload payments on invoices
we should be able to do a csv bulk upload for receiving payments on invoices. the filed highlighted in yellow should be in a csv file, other fields such as invoice number or ref can be added. we do bulk upload and the invoice automatically updates with the payments.

Payments - Autofill for writing cheques/payments to the same Payee/supplier
When writing Cheques or payments would it be possible for an auto infill/ recall of the previous payment made to the Payee/Supplier, this would save time if the details are always the same and only the amount may vary, it would ensure that the correct/same account is always used giving consistency.
Should any of the details differ then these can be input as currently but an auto infill would save me an awful lot of time as I don't have a bank feed to all the bank accounts I oversee.6 votesAppreciate it's been some time since you originally started this idea, John - Just to confirm what you're asking here. Keep the CIS Labour Income Deduction line at the bottom of the new invoice format.
why has it been moved to the top of the invoices on the new layouts??

Quotes - Ability to change the PDF file name
Have the ability to rename the PDF file attachment so when you update your system to send Estimates you can rename the PDF as they always get sent as quote and this is unable to be changed or you can have the PDF file name anything you like just having the option would be nice

Customer Statements - Include prepayments
Customer Statements - Would be good if customer statements could include a prepayment balance somewhere on the statement. My client receives a lot of prepayments and would like customers to be able to see at a glance their remaining credit.
20 votesHi team, wanting to jump in to provide a little clarity as there are 2 different points arising through this idea.
Currently, customer prepayments will only be shown on a customer's Activity statement, not Outstanding statements.
The way prepayments work in Xero, these only impact the Accounts receivable once it's applied to an invoice, therefore they don't impact the total of the statement balance.
If you want to impact the total balance, you may want to consider entering these sort of payments as Overpayments in your account. You can read more on how this works in our Xero central article.
To be open here, we don't have any short term plans for changing how these transaction types are treated in statements.

Statements screen - Add invoice number
When showing a list of statements to send (from Business - Invoices - Send Statements) from Send Statements, can the invoice number be shown on the screen so sorting can be done on invoice number. Also the date of the invoice would be handy as well to give an idea of when first looking at the front screen as to how old they are. It would make choosing and sending quicker and more efficient.

Invoicing - Longer Reference field
It would be better is the invoice reference could allow for input of longer names, without scrolling, so it's all on one line on the invoice.
Currently, the invoice number character length and the invoice reference character length are the same, which seems odd, as usually the invoice number is just a few characters, but the invoice reference can be long (project name, case name etc)14 votes -

I recently encountered errors like "account must be valid" when updating invoices. It is important to list and/or highlight the relevant rows or item nos in the error message.
