NZ Payroll - Annual Leave option to add in Days instead of hours
Would be easier for employees & team leaders approving leave if annual leave is able to be requested in days and half days. Or to have the option to select either days or hours when requesting annual leave through the Xero Me app.
It's the most common complaint I hear from our employees that it would be way easier if they could just put in 1 day instead of working out the hours they want to take off.

This is currently with a small group of users and we expect to be able to release wider very soon. I'll keep you updated on delivery and share more details of how this works in Xero.

Xero Me - Add detail to notifications
Xero permissions are all or nothing - you either have access to timesheets and expenses or you don't. As such, you get a lot of notifications about things that aren't yours to deal with. It would be good to have a little more detail in notifications, for example; "There is a new expense from Robert Smith to review" so you know if it's relevant to you or not
2 votesThanks for sharing your idea here, Sophie. Atm our product team are working on a few changes for expense notifications - Once live there will be a few different scenarios for notifications
- When an expense is submitted users with the admin or approver role will receive an email notification that an expense is awaiting approval
- When an expense is approved or declined the user that submitted the expense will receive an email notification
- Users will no longer receive notifications when they take an action on their own expense
I'll let you know once these changes have been rolled out. But if there are other specifics in the notifications that you'd find helpful it would be good to hear these, too.

AU Payroll - Superannuation end of quarter reminder
Would be great if Xero could trigger an automated (email and/or text) reminder to the superannuation payment approver 10, 5 and one days out from the superannuation due date each quarter.
A similar reminder feature already exists in XPM for Activity Statement Lodgements - reminders can be turned on.
Xero also has the ability to automate reminders to Customers around bill payment.
Xero has the email and SMS of the superannaution approver already on file.

We hear you and can see how this could make managing your obligations smoother.

NZ Payroll - Record sick leave as days
We need sick leave to be recorded in days to line up with current NZ payroll legislation. 10 days sick leave. The current settings in hours only work for people who work the same hours on the same days. Anyone with variable hours or different hours on different days this does not work and manual accrual needs to be kept outside of payroll. Then leave balances need to be manually adjusted which is a lot of work. This has been an issue for many many years and would be good to get fixed.
13 votesHey team, as some may have seen we've been doing lots of work in the NZ Payroll space. For those just getting started with Xero (from 5 August 2024) sick leave will now be recorded in days, and can set up the Sick leave entitlement date.
We appreciate many in the idea here have been using Xero for a while and we want to confirm this is something we're working on for our existing customers as well, however there are more intricacies to work through from what already exists to the new. We'll round back to confirm with more detail and to let you know when this is being released for everyone. Thanks

AU Payroll - Historical Payslip Report (bulk download)
Create a report to show all payslips for an employee for a given time period. Currently these have to be downloaded one by one.

We understand the need for a straightforward process to download all payslips at once, particularly for WorkCover claims or employee requests where multiple payslips are required. We’re excited to let you know that our product team is now actively working on a solution to allow bulk downloading of payslips.
In the meantime, you can use the Payroll Activity Details report to get a detailed breakdown of each payslip. It's also worth noting that employees can access and download their own payslips directly through the Xero Me portal.

NZ Payroll - Alternate Holiday accrual
Change the Alternate Holiday accrual to days not hours. Legally when someone works on a statutory holiday they get to accrue 1 days alternate holiday, which is the hours that they would normally work when they take the day off, not the hours they worked on the stat day. It's misleading putting in hours instead of days, especially if every day if not an 8 hour day. Reports need to be run every time an Alternate Holiday is taken to ensure they still have that day available.

Currently, any new businesses that have started using Xero Payroll from 5 August 2024 will have the ability to set up employee leave entitlements to show alternate holiday leave in days. While we're still working on changes to enable this for existing organisations we'll keep you updated of when this is made available here.

If you're just getting started with Xero (from 5 August 2024) you can now set up the Sick leave entitlement date for an employee.
We know people in the idea here are existing payroll users and we can assure you we're working to also develop this for existing customers. There are a few more intricacies to work through from what already exists to the new. I'll be back to share when there's more news on this and when you can get access to this too. Thanks

NZ Payroll - Option to change employee anniversary date when on unpaid leave for more than 1 week
Where an employee takes unpaid leave for more than one week, it would be helpful if you could enter in the date in which the unpaid leave applies from so that the anniversary date can automatically be reset. The current set up is rather antiquated, and needs to be automated to ensure accuracy and ease of use.

For any organisations that started using Xero payroll in NZ from 5 August 2024, you'll find you can adjust the employee's sick leave entitlement date from their employee record. See more detail around this on Xero Central.
For all other organisations, don't worry this is also in the works but just has a little more complexity to it, we'll keep you updated of when this is made available to all remaining organisations, here.

Expenses: Set default due date
Can we please have the ability to set a due date for an expense? Currently it is set as the day it is approved, but we pay all our expenses for the whole month, on the 15th of the following month. It would be good to be able to set this as default for any expenses raised.

AU Payroll - New Employee - Online Commencement Forms
Ability to send and generate online commencement forms from Xero Payroll.
Purpose: Employees can complete and submit their own online commencement forms, rather than having to ask the employers to submit it.
306 votesGreat news team, work has been moving along well and I'm pleased to share our teams are developing the ability for employees to self-onboard by entering their own onboarding details within Xero Payroll in Australia.
We appreciate the extra admin and time this will take back for Payroll admins to be able to focus on the more critical payroll tasks. Currently in testing with a small group of users, I look forward to coming back with more details as we progress to release.

NZ and AU Payroll - Send link for easy onboarding of new employees
Send a link to on board new employees info ie TFN, bank accounts, super account and all personal particulars to get them ready for a pay run.

I'm pleased to return with a further update for you all.
We have been developing the capability fir employees to self onboard to Xero Payroll. Our feature would enable employees to enter their own onboarding details via a secure web form. Giving payroll admins back more time to focus on more important tasks.
We want to be upfront that the intention is to release this in the Australian version of Xero Payroll first, with NZ and UK to follow. We will keep you up to date of the release here. 😊

UK Payroll - Report on employee information
For example, to produce a report showing employee name, job title, start date, current hours and current annual salary for pay award decisions.
60 votesHi everyone, thanks for your feedback on how important having a comprehensive employee report is for your payroll processes, especially for pay decisions, managing large teams, and accurate employee identification.
Our product team is currently working on adding additional fields to the Employee Contact Details report. We’ll keep you updated on when this report is ready to go!
In the meantime, to get a consolidated view you could download existing reports and combine them outside of Xero.

UK Payroll - Ability to have national minimum wage checker
Xero checks employees age against pay rate and that of the National Minumum Wage so it does not get missed. It's doesn't have to change it, just highlight thsat the employee's rate needs to ber changed

NZ Payroll | Employee - Set up as a 'Casual' employee
It would save a lot of errors if you had an employment type option where once 'casual' was selected as a type, you could only then enter what was needed for casual staff and leave/holiday pay would automatically change accordingly. I have anumber of clients who, when entering new casual staff, inadvertently add hours per day and days per week which then starts the accrual of annual leave and unless they tick the little box under holiday pay, the employee is not paid their 8%.
7 votesHi team, great to get your feedback and support through the idea here. We appreciate these challenges with the current functionality when setting up a casual employee. We’ve started some work around enabling Xero customers to select Employment Types such as casual. While in early stages at present we’ll keep you updated on progress for this here.
