AU Payroll - Reconciliation - Automatically recognise & match payroll transactions
When reconciling bank transactions,
It would be great if payroll transactions offered an automatic reconciliation in the same way that a batch payment of bills gives an auto option.

Right now, you can set up bank rules to code future payroll payments, or turn on Suggest previous entries so that Xero suggests a transaction each time.

Further to this, because I have to workaround with a generic bank rule, it makes it even harder to track employee wages tied to particular cost centres (tracking categories) to make sure my cost split is correct.
This shortcoming with reconciliation is a nuisance. -

I find it incomprehensible and frustrating that you cannot reconcile payroll payments against each employee, to know if an employee has been paid in full, or if is owed money, or simply to match the batch payment with the payroll run.
The current process of having to manually create a "Spend money" transaction, manually select the account to Wages Payable, and having to create a generic contact in "Who" to assign the whole batch payment to it instead of to each employee its own amount... this whole process is a botched job for the following reasons:
1) It's prone to human error.
2) Doesn't register the actual amount paid to each employee.
3) Provides no automation and adds extra manual steps and time waste, even though Xero itself created the batch payment file with all the details from the Payroll run, but it's not "intelligent" enough to recognise the account transaction to reconcile it...
4) Completely defeats the purpose of an accounting software, which is automation, minimise human errors and save time.I sincerely don't understand that this issue was raised in 2022 and almost 3 years later, the reconciling process is still botched...

I was astounded when transitioning to Xero payroll that I found myself manually having to create this manually.
Surely the benefit of having your payroll in your accounting software is that this is created. We are now actually in a worse situation from the perspective of manual admin than when we imported the payroll using 'payrun' functionality from other software.

Please could Xero automatically generate an invoice for the total amount of PAYE, NI, student loan from Payroll, and a separate invoice for CIS due to HMRC every month, coded to the correct "payable" accounts, which can then be reconciled with the single payment we make to HMRC?
It would be a real help not to have to sort out manually how much of each combined monthly payment should be assigned to each of at least 4 payable account. -

Hi, I just submitted a case explaning this, it does not make sense to create all the employees again in a new transaction everytime I need to reconcile payroll payments. Xero already knows who were paid and what amount of money each one, this should be an automated transaction that allows us to reconcile easily.
How are the big companies reconciling this transactions? I just paid 10 peorple and I had to create 10 transactions individually to match the total amount. I believe Xero already have the tools and techonology to make this real. Please help us with that.

This would be great. That said given what STP is now enforcing (I think a good thing) it is so important that super is paid on time. There are a few issues that really need enhancing 1) The current process if a superfund bounces a payment. a) the **** superfund should be notifiying us for starters or at least Xero. Currently it just turns up in the bank account with no indication of what it relates to and sooo easily reconciled as something else and it can be very delayed ie. months after the submission b) it really needs to automatically bounce back in to the AutoSuper list as unpaid - currently it just changes what shows as lodged amount with again no notification that anything has been unsuccessful, not to mention the time it can take to work through and identify who's exactly it was and then have to email Xero to request they reset it. We do need this whole process tightened up please there are huge fees and charges for late super and now with STP ATO will be on to it even if it's a day or so late. The other thing we really need to standardise is when there is a new employee that doesn't had a fund and either elects to go with the employer preferred or doesn't provide a fund and hence employer sets up employer preferred - this should be standard across all superfunds that we just need to enter 'NEW' or "NEW MEMBER" and that's it, obvious, done, dusted- I know it's probably the superfunds systems that are not up to it but they need to be so we need Xero to negotiate, push back, with funds but probably regulators/Govt whoever. Automated super reconciliation and the whole process needs some love and attention and revamp. please

This is payroll and bookkeeping suggestion.
It would be good that once the spend money to pay the employee comes out of the bank account, Xero recognises this to the net pay in the pay run and matches this where it's meant to go. The same with the P32 liability - once the tax has been paid to HMRC and appears in the bank reconciliation page, Xero recognises that this payment matches the month's liability.
I know that there are bank rules that can be created to do this, but it's good to check that the employee has been paid the correct amount to the pay run (so the reconciliation line goes green in the reconciliation page).

The purpose of this development would be to add the wages payable & superannuation payable entries to the Match, Find & Select menu. This would allow you to see the payrun for the week or superannuation processed by the program and match as appropriate.
The purpose of this development would be to allow users to see the payment and the actual information processed in Xero and potentially correct issues (e.g. reduce potential underpayment of superannuation/wages at point of reconciliation instead of months later).
