User roles - Allow Products and services as an optional user role
I have managed to do invoice only - approve and pay so that my staff can see all sales, purchases, sales orders and purchase orders but cannot see the banks accounts, however they now cannot see products and services which they need to

Navigation - Ability to hide recent organisations
When working in Xero during client meetings or on shared screens, the main menu prominently displays a list of recently accessed organisations. This exposes other client names, which is a confidentiality issue. The previous interface allowed this list to be collapsed, preventing accidental disclosure of sensitive client information.
Bring back the ability to minimise or hide the “Recent organisations” section—either as:A collapse/expand toggle (as previously available),
A user profile setting to disable the list entirely, or
A privacy mode that hides client names on demand.

This update just rolled out today - As noted it's now possible to collapse and expand the recent organisations list so you can hide this if preferred. It's worth noting that the ability to collapse and expand is only available where you have access to 5 or more organisations.
Currently the default is to show as expanded showing the last 4 orgs you accessed (the 5th is the org you're in at present), with the option to collapse the 'Recent organisation' section. However, your last selected state will be remembered by your browser as you navigate and use Xero. So, while it'll be one extra click to begin, you shouldn't need to do this again, unless you'd like to change the view, clear cookies and cache, or change browsers.

Navigation - Search Button has been replaced with AI
Please bring back the search button in the top menu when windows are reduced size.
It has been replaced by the AI button, which is frankly not very useful. Search is used constantly.
Changes like this make Xero decreasingly viable for our employees to use on a laptop.
9 votesHi team, thanks for your feedback. Taking on board feedback we made a changed to the order in which the navigation items will be collapsed into the menu when the screen size drops.
We understand the use of search for our customers when working in their org and have made it so that this is the last item that's merged into the 3 dot menu.
This means JAX moves into the 3 dot menu before the Search magnifying glass icon does.
If the screen you'e viewing is small enough to collapse all items, then Search is the first item that can be selected from the drop down.
Also a handy tip some may find - You can use the keyboard shortcut of pressing '/' to open the search in your org.

Navigation - Favourite more than 20 reports
Unlimited favourite reports on dropdown menu as previously existed.
The new dashboard only allows for 20. It's disappointing that we have less functionality in this area.2 votesHi team, pleased to share that we've had a quick turn around here. We appreciate there are some organisation's that customise and favourite multiple reports and would like these easily accessible from the Reporting menu. We have added the ability to favourite >20 reports and make these available from the Reporting menu.
While there's no limit now to the # of reports you can favourite - for ease of access we'd recommend regularly reviewing and limiting the number of reports you favourite in your organisation.

Search for an Organisation in Navigation Menu
With the new Navigation menu, the Search for an Organisation will only appear once you have gone into more than four Organisations on the one day - per response from Xero Support:
"Currently, the Search option to swap between organisation only appear if you've recently accessed four or more organisation from your Xero HQ.
So, it may happen that at the start of the day you won't have the search option, but once you have accessed four or more organisation from Xero HQ you will get the Search option."Need to have the Search option available when first login -…

Navigation | Search - Auto place cursor when clicked
Please make it so that the user can begin typing immediately upon pressing the Search Magnifying Glass Icon. The new Search Magnifying Glass Icon button for this prototype needs to be manually clicked on twice before anything can be typed in via keyboard due to the cursor not automatically placing itself inside the search box that pops up. This is bad.

Navigation - Projects to be it's own Menu
I would prefer Projects to remain with its own Menu dropdown on the Homepage, not included under the Sales menu. I like the introduction of the "Expenses to review" and "Recent Invoice payments", but I would prefer to see them as a sub-menu from the Homepage dropdowns, not on the homepage.

Navigation - Ability to Favourite Chart of Accounts page
The “Favourite” feature in the Reporting section is excellent, please consider expanding this to other dropdowns or sections across the platform.
This could help address the long-standing need for sub-menu shortcuts or easier navigation, especially for commonly used tools like Repeating Invoices or the Chart of Accounts.
Note: historically, I’ve used browser bookmarks as a workaround for this. However, recent updates seem to have made these bookmarks unreliable, some now fail to link correctly, and this issue appears to be getting worse. I fear with this update It may no longer be viable to rely on bookmarks as quick links.

In terms of bookmarks you may have saved, there's a chance with the change some bookmarks may have stopped working - In this scenario you should be able to bookmark the page again and it'll work in the new experience.

Navigation | Reporting menu - Move Favourite Reports above Analytics
We use reports every day, far more often than analytics. I would prefer Favourite Reports to be above both of the Analytics sections in the Reports menu.

Navigation - Rearrange Accounting Menu
Would love to see the Accounting menu split so that there are new menus for Reporting & Bank Accounts. Show under the Accounting menu all the actions (journals, fixed assets, chart of accounts, advanced accounting, plus favourites). Then a separate menu for Reporting - listing the different reporting sections Adviser, Custom, Drafts, Archived etc. plus favourites). And a separate menu for Bank Accounts (reconciliation report, bank accounts, bank rules, etc).

There was lots of research behind the top level menus that you now have with Xero's new navigation experience - As requested here you'll find Reporting is now it's own menu. And, while Bank Accounts are within the Accounting menu, you'll find we've added quick options for Bank Rules, through the new Homepage which is coming soon you can quickly access reconciliation reports, manage the account, or enter transactions.

Bank Reconciliation - Warning when matching foreign currency invoices
Hi, there is a critical bug while doing reconciliation that make the app unusable. When trying to link a transfer made in a currency with an invoice made in another currency. The reconciliation doesn't show an error even though the recieved money is incorrect and doesn't match the invoice amount.

To share for others on the idea here, in this scenario if the statement line is a partial payment you can use the 'Split' option in bank reconciliation to enter the currency value the amount equates to.
At the bottom of the page you'll see a message highlighting where the calculated exchange rate is significantly different to the defined currency rate for the day.

Confirmation when editing transaction before lock dates
After the lock dates is set, xero should prompt advisors to alert them when they try to edit anything before the lock dates, and let the advisors to confirm that they really want to edit the transaction before the lock dates.
1 voteHi Choon Wei, there are 2 lock dates that can be set in your Xero organisation. One will stop all users except advisers from making changes, the other will stop all users from making changes on or before the lock date set.
Setting up the latter lock date should help with the notifications that you're mentioning here, and where you'd still like to proceed with the change you'd go to the financial settings to remove/reapply the lock date once complete.

Tax settings defaults
When entering line items it would be useful to have a way to default the tax settings - default the GST rate, & default the inclusive/exclusive setting. Would save time on the majority of tasks and need changing on a few
1 voteHi Sarah, this is already possible. Tax amount settings for Sales and Purchases can be found in the organisations Financial Settings. It's also possible to set up default Tax rates that can be applied to a Contact, Inventory item and/or Accounts within your chart of accounts - see more detail on default tax rates in our help here.

Navigation - Remove extra step when changing organisation
For those of us that have multiple entities in Xero - Somewhere along the way an extra step (click) has been added when changing from one entity to another, you can no longer just choose your required entity from the drop-down menu (in the top left-hand corner), but now have to click on the drop-down menu and then click 'Change organisation' to show and select your entity.
Are we able to remove this unneccessary extra step (click) and have it back how it was originally?
3 votesSorry we've not rounded back to the idea here sooner, team. Testing this within our new navigation this is now working as requested here. From the organisation name you can drop down to select a recent organisation and simply click to navigate to it. If the organisation you need to hop into isn't on the immediate list you'll just want to do a quick search to look it up and click through. 🙂

Bank statement import - Bank statement balance check
When importing a bank statement, it would be great if just before completing the import, Xero could show the end bank statement balance based on the existing bank balance and the transactions that are about to be imported. This could then be checked with the actual bank statement to make sure it matches.
1 voteHi Mihaela, while it's not before statement lines imported. The Bank Reconciliation Summary report now allows you to enter a Bank statement ending balance. The Summary report will then calculate the balance out by based on the figure you enter. 🙂

Cyber Essentials
As an organisation we want to sign up to cyber essentials. It will reduce our insurance liabilities as well as provide us with greater digital security. Currently Xero does not mandate the use of MFA authentication. I would like it to. Primarily for active users but ultimately for staff accessing payslips only as well.

Navigation - Update the user interface
Not a major one but I feel the whole online site needs a facelift.
Information is not given in an easy to process way and this can make navigating the program more complicated than it seems to be.I recently transferred over from MYOB and where I feel the general program of Xero is better for ease of reconciling etc. some tasks can feel super overcomplicated and difficult to carry out due to poor layout and outdated visuals. User roles - Add invoices, but not view the main dashboard
Staff to be able to create invoices and not see dashboard!
1 voteHi Andrea, it sounds like you'd be able to use the Invoice only user role. With this role, the information shown on the dashboard is limited by the level of additional permissions you provide them with.
