User Role - Access to Products & Services (Inventory) and Purchases/Sales only
Ability to allow individual access to inventory(products & services) and sales in Xero.
Purpose: Enable ability to view different sets of information within an org.
500 votesHi Community! Me again ☺️
I'm happy to share that we have just rolled out these Product & service permissions to all users. To recap the change - within User Settings you'll now find there are multiple options to assign Product & service permission for an Invoice only user
- No access
- View
- View and create/edit
- View, create/edit, and adjust stock
We really value the input we have received from our community in the needs for more granular permissions for Inventory. We believe this new set of options will effectively meet the needs of the majority of our users. Thank you for your input! 🎉🙏

Dashboard - Show Bills and Invoices that are in 'Awaiting Approval'
Ability to show bills and invoices that are in ‘awaiting approval’ status.
Purpose: Saving users’ time from having to click on ‘invoices owed to you’.
118 votesHiya team, with our new Homepage rolled out now to all users we're pleased to return and update this idea.
As note in my last post- Visibility of items needing approval for both invoices and bills are available from 2 places within the new Homepage;
- In the respective Invoices owed to you, or Bills to pay widget, and
- IF there are items that need reviewing for approval, as a line within the Tasks widget
We really appreciate the input we've received from everyone on this idea. Thanks for sharing how incorporating this feature into the experience would add value for you 😊

Navigation | Reporting menu - Move Favourite Reports above Analytics
We use reports every day, far more often than analytics. I would prefer Favourite Reports to be above both of the Analytics sections in the Reports menu.
110 votesHi team, we really value your input and sharing back on the new navigation. We'd like to confirm as those in the beta may have already noticed - we have released a change to the order of the Reports menu!
As raised here we have moved your Favourite reports up and shifted Analytics beneath. Thanks again for your feedback and keep letting us know what else you think good improve things through Product Ideas 😊

Dashboard - Edit dashboard layout
Dashboard- It would be great if Xero gave us more options to edit out Dashboards. Two colums are not enough, at the most I get to see four accounts before I have to scroll, they needn't be so large either. If they had three colums, and we could shrink the size of the 'boxes' then we could easily see a better snapshot of work to do and where the business is at.
60 votesHi everyone, thanks again for your inputs and continued feedback through Xero Product Ideas as we delivered our new Homepage.
We wanted to return to confirm that this new experience has now been released to all users.
As shared in my last update, the Homepage page has a responsive design that will adjust to your screen settings and device.
Since release we have also made a few further adjustments based on feedback to fonts and the experience when editing the layout of the Homepage and moving widgets to make things smoother.
We understand for some users the way this new experience works is a bit of an adjustment and we are still working through some enhancements to the sizing of some widgets that you may like to stay across by joining the idea here.
We appreciate all the input from feedback, research and testing that we've received from all…

Navigation - More keyboard shortcuts in Xero
Creating more Keyboard shortcuts in Xero.
Purpose: Save time and create efficiencies.
50 votesHi team, apologies it's been a little quiet from us in this idea - there are a few more additions to keyboard shortcuts that have been made that we'd love to share so you can make use of.
Last year we delivered a range of shortcuts to hep with navigation and taking actions within new invoicing and you'll see we added a new section to our help article to share these with you all.
Most recently we also added keyboard shortcuts for all the create document options available from the '+' icon menu in the blue navigation bar.
As common practice moving forward where there is a keyboard shortcut available in product you'll be able to see this so you can learn and begin to make use of these.
As we continue to grow and develop Xero features, keyboard shortcuts and helping our users move efficiently across and using Xero…

Dashboard - Ability to change the columns from the standard two to three or four
Dashboard - Ability to change the columns from the standard two to three or four.
This would give me more flexibility to see all the data in one place without having to scroll down to see all our accounts.
33 votesHi team, returning now that our new Homepage has been rolled out and the new experience moving forward for all users.
As mentioned in my last update - this new experience adapts based on your device and screen settings enabling users to see up to 4 widgets side by side.
We appreciate feedback we have received from some users around the sizing of widgets and this is something you'd like to stay tuned into you can join this idea.
Thank you everyone that has contributed in this idea and helped create the new Homepage experience in Xero.

Navigation - Hotkeys / Keyboard shortcuts
Can we add hotkeys for frequently used functions.
For example
Search - Alt + S
Invoice - Alt + I
Dashboard - Alt + D
Bank rec - Alt + B
And etc31 votesHi community, keen to return and share an update as we've added a few more shortcuts to help you navigate and create transactions quickly in Xero.
I've attached an image of all the keyboard shortcuts that can be used to create a new transactions, and you'll also find typing forward slash '/' on your keyboard will instantly open and put your cursor in the search field where there are additional shortcuts to help you navigate. 😁

Expenses - Ability to search and sort for submitter user
Expenses search and sort.
If you only have access as a user and not full access to the accounts, searching past expenses is a painful experience.
What a painful thing searching for expenses in Xero is.
Can't filter by date range, or search for a particular description, or search by account. And they're in some unfathomable order which you can't sort by date.
Suggestions: Sort by date option to help answer questions like 'did I remember to file that expense 3 months ago'
Filter on date range: 'Show only expenses between January and March last year'.
Search on description: List…
17 votesReleased! 😁You'll find new Filter and Sort options so you can sort or filter by Purchaser, as well as filter by Account to help you zone into and process ideas more efficiently. Thanks for your contributions in product ideas.

Navigation - Ability to Favourite Chart of Accounts page
The “Favourite” feature in the Reporting section is excellent, please consider expanding this to other dropdowns or sections across the platform.
This could help address the long-standing need for sub-menu shortcuts or easier navigation, especially for commonly used tools like Repeating Invoices or the Chart of Accounts.
Note: historically, I’ve used browser bookmarks as a workaround for this. However, recent updates seem to have made these bookmarks unreliable, some now fail to link correctly, and this issue appears to be getting worse. I fear with this update It may no longer be viable to rely on bookmarks as quick links.
16 votesHi community, thanks for your feedback here! Chart of accounts page is now available within the Accounting menu 😊
In terms of bookmarks you may have saved, there's a chance with the change some bookmarks may have stopped working - In this scenario you should be able to bookmark the page again and it'll work in the new experience.

Navigation | Search - Auto place cursor when clicked
Please make it so that the user can begin typing immediately upon pressing the Search Magnifying Glass Icon. The new Search Magnifying Glass Icon button for this prototype needs to be manually clicked on twice before anything can be typed in via keyboard due to the cursor not automatically placing itself inside the search box that pops up. This is bad.
10 votesHi team, as you may have noticed we've made an update within the new navigation, and you'll now find that your cursor will automatically default to the Search field when you click on the magnifying glass icon from the blue navigation menu. 😊
Thank you for sharing with us on this idea.

Navigation - Projects to be it's own Menu
I would prefer Projects to remain with its own Menu dropdown on the Homepage, not included under the Sales menu. I like the introduction of the "Expenses to review" and "Recent Invoice payments", but I would prefer to see them as a sub-menu from the Homepage dropdowns, not on the homepage.
10 votesWe appreciate receiving feedback on how adding Projects to the main navigation would be useful to you.
As you may have noticed this is something our Product team paid close attention to and you'll find if you use Projects it is now its own menu on the new navigation experience.
Thanks again for sharing, and keep letting us know what other enhancements could make a difference for you on Xero Product Ideas!

Navigation - Search Button has been replaced with AI
Please bring back the search button in the top menu when windows are reduced size.
It has been replaced by the AI button, which is frankly not very useful. Search is used constantly.
Changes like this make Xero decreasingly viable for our employees to use on a laptop.
9 votesHi team, thanks for your feedback. Taking on board feedback we made a changed to the order in which the navigation items will be collapsed into the menu when the screen size drops.
We understand the use of search for our customers when working in their org and have made it so that this is the last item that's merged into the 3 dot menu.
This means JAX moves into the 3 dot menu before the Search magnifying glass icon does.
If the screen you'e viewing is small enough to collapse all items, then Search is the first item that can be selected from the drop down.
Also a handy tip some may find - You can use the keyboard shortcut of pressing '/' to open the search in your org.

Search for an Organisation in Navigation Menu
With the new Navigation menu, the Search for an Organisation will only appear once you have gone into more than four Organisations on the one day - per response from Xero Support:
"Currently, the Search option to swap between organisation only appear if you've recently accessed four or more organisation from your Xero HQ.
So, it may happen that at the start of the day you won't have the search option, but once you have accessed four or more organisation from Xero HQ you will get the Search option."Need to have the Search option available when first login -…
8 votesHi everyone, I wanted to share that our team have resolved the issue that was raised with this idea. All users should find they can view and use the Search option from the blue navigation when wanting to change organisations 😁Again, thanks for sharing with us here!

User role- Limit invoice only draft only users to their own invoices
User role- Limit invoice access to seeing and working on only user's own invoices. So as to enable different user to work on their own invoices without having access to other user invoices. Only manager should have access to all members of his team .
6 votesHi team, coming back across this idea I wanted to confirm that this is how the Invoice Only - Drafts role currently works - Someone with this role will be able to create and submit bills and invoices they enter to be approved by someone else with the right permissions in the org.
They will only have access to view invoices and bills that they have entered themselves, and will not be able to view bills or invoices raised by others in the organisation.
Danny, it sounds like you're referring to the Invoice Only - Purchase role which will enable a user to raise and approve bills they have entered. The user is not able to access Sales, but they'll be able to view any bills or purchase orders that have been raised by any user in the organisation. We have a somewhat similar idea for a tick box option…

Navigation - Ability to hide recent organisations
When working in Xero during client meetings or on shared screens, the main menu prominently displays a list of recently accessed organisations. This exposes other client names, which is a confidentiality issue. The previous interface allowed this list to be collapsed, preventing accidental disclosure of sensitive client information.
Bring back the ability to minimise or hide the “Recent organisations” section—either as:A collapse/expand toggle (as previously available),
A user profile setting to disable the list entirely, or
A privacy mode that hides client names on demand.
4 votesQuick pick up there, Murray! 🙂
This update just rolled out today - As noted it's now possible to collapse and expand the recent organisations list so you can hide this if preferred. It's worth noting that the ability to collapse and expand is only available where you have access to 5 or more organisations.
Currently the default is to show as expanded showing the last 4 orgs you accessed (the 5th is the org you're in at present), with the option to collapse the 'Recent organisation' section. However, your last selected state will be remembered by your browser as you navigate and use Xero. So, while it'll be one extra click to begin, you shouldn't need to do this again, unless you'd like to change the view, clear cookies and cache, or change browsers.
We appreciate the importance of this to some customers and thank you for engaging with…

Product & Services - List of invoices/bills
Products & Services - great we now are able to give users access to view/edit etc but can we also give them access to the list of sales/purchases for each product that shows below the product information. Not sure why this does not show when the user also has access to create sales invoices and purchase orders.
3 votesHi Community 👋,
We've updated permissions so that users with Invoice only - Approve & Pay(sales & purchases) access will also be able to see the sales and purchases transactions on the product page.
Thank you for your feedback on this here 🙏

Navigation - Remove extra step when changing organisation
For those of us that have multiple entities in Xero - Somewhere along the way an extra step (click) has been added when changing from one entity to another, you can no longer just choose your required entity from the drop-down menu (in the top left-hand corner), but now have to click on the drop-down menu and then click 'Change organisation' to show and select your entity.
Are we able to remove this unneccessary extra step (click) and have it back how it was originally?
3 votesSorry we've not rounded back to the idea here sooner, team. Testing this within our new navigation this is now working as requested here. From the organisation name you can drop down to select a recent organisation and simply click to navigate to it. If the organisation you need to hop into isn't on the immediate list you'll just want to do a quick search to look it up and click through. 🙂

Navigation - Update the user interface
Not a major one but I feel the whole online site needs a facelift.
Information is not given in an easy to process way and this can make navigating the program more complicated than it seems to be.I recently transferred over from MYOB and where I feel the general program of Xero is better for ease of reconciling etc. some tasks can feel super overcomplicated and difficult to carry out due to poor layout and outdated visuals. This is something MYOB seem to have done well, Xero seems clunky and outdated in comparison, whilst having all the programming and…
3 votesSorry we haven't returned to update you here sooner, Rebecca. As you may have noticed we have recently given our Navigation a bit of a facelift 🙂
There was a lot of research that wen into the new experience and we hope you'll find moving across different areas of Xero smoother.
You can find out more about the new navigation and what's to come soon with our new homepage experience.
We appreciate your feedback here and hope you like the changes.

Invoices in other currencies - Compliance with HMRC's guidance (for UK businesses)
HMRC's guidance on invoices in currencies other than GBP, found at https://www.gov.uk/guidance/foreign-currency-transactions-vat-and-tour-operators lists specific requirements that need to be met when creating an invoice in a currency other than GBP, namely:
1. "the total net value of goods and services at each VAT rate" needs to be shown in GBP (as well as in the foreign currency)"
2. "the amount of VAT, if any, at each rate" needs to be shown in GBP (as well as in the foreign currency)"
3. the currency conversion for VAT purposes needs to be calculated in one of the following two ways:
- "UK…3 votesHi all, apologies we've not responded here before now. Checking in with our team on this our current invoice templates do accommodate what's needed here.
With the standard invoice template you can select to 'Show currency conversion as' 'Net amounts with tax totals', which display a currency conversion table with the net amounts and tax grouped by tax rates or tax components. A base currency equivalent is also included. You can see more information on displaying currency conversion on Xero Central.
We also provide a highly customisable DOCX invoice template that can be used to provide more detail if you choose.

Reconciliation - Edit imported bank statement CSV directly in Xero
For manual reconciling, the bank statement file can be generated using a CSV template and requires inputting details like the Date, Description, and Reference. However, users, especially those with high monthly transactions, may want to change/edit the descriptions after the file has been uploaded and reconciled.
Currently, to do so, the bank statement needs to be deleted and re-uploaded, which means unreconciling previously reconciled items and repeating the entire process. If there are many to be amended, this process may need to be repeated multiple times. It would be beneficial if we could directly edit the contents of the bank…3 votesHi team, with the new Bank Reconciliation report you can now enter a Bank statement ending balance.
This means, if you don't have an imported statement balance or this doesn't match your actual bank statement balance you can enter the balance yourself, update the report and Xero will show the Calculated balance out by amount.
