Login - Enable Microsoft Entra ID Single Sign On
Ability to use Azure Active Directory for MFA.
Purpose: It makes Microsoft users easily log into Xero.

We know using Microsoft Entra ID SSO is now common practice for some businesses and being able to access Xero via a native integration with Entra ID would streamline how your teams log in and get set up in Xero, as well as help in managing access for larger teams and keeping things secure.
Our product team have been working with a small limited group of Partners to develop SSO capabilities. Though we can't give any definite timelines yet, we’ll keep this thread updated with news. Thanks

User Role - Restrict access to individual bank accounts
To have the ability limit some users to access some bank accounts within Xero org.
Purpose: To limit some staff to not be able to see the information about the client’s bank balance.
696 votesHi everyone, I want to assure you your voice is heard here and feedback is being shared back with our product teams.
We understand the desire to get this idea moving along and as mentioned in our last update we know this is an area that more controls and permissions would be most beneficial to our customers.
We’d like to share progress that we’re making for banking permissions - Work to provide more controls of sensitive banking information has started and will initially include the ability to restrict users from seeing sensitive banking information such as; account balances, bank transactions, and financial summaries.
We know this doesn’t relieve all pain points of this idea - It’ll be the first phase, a stepping stone of sorts in the development of per-bank controls.
As development continues we’ll share further updates as soon as they’re available with you all here.

User Role - Access to specific feature only
"Business and accounting" role needs ability to more narrowly define. I want an employee to access invoices (receivables) but that then gives them access to ALL financial reporting, e.g. P&L, which I don't want them to see.

As you may have seen in some of our recent updates across other user roles ideas we’re currently in the process of adding more permissions within Reporting and Inventory. Further to this our research has highlighted Payroll and Banking as areas that more controls are most needed, and are on our agenda as we continue to develop permissions and access to features.
Your feedback here and through direct engagements with our teams have been extremely insightful, and we appreciate all your inputs.
I'll continue to provide updates on the development of roles for features as we progress.

Notifications - Email/notification when items are Awaiting Approval in Xero
Ability to notify an approver within the Xero org when items are in the Awaiting Approval status.
Purpose: Approver can approve or decline the transactions faster.
373 votesHi community, we appreciate the challenges manually chasing approvals can cause in the flow of processing your transactions.
We’re pleased to share that we’re now actively working on a customisable bill approvals workflow to tackle this front on. As part of the flow an approver will receive an email when their approval step becomes active, and within Xero you’ll be able to see what needs attention.
This means the person responsible can go straight to the bill, review it and approve or reject it without searching through the wider bills list. 🙂
We recognise this work is limited to bills at present and there are users that'd also like to see these similar notifications on other document types. This is something we’ll continue to consider how we might leverage these notification patterns for other areas of Xero but don’t have commitments for as yet.

User Roles - Purchase order only access
We wish to let some of our users have access to purchase orders, raising & viewing etc.
Currently if we give them access to purchase orders it also lets them see supplier balances and also click into the supplier and therefore into the accounts i.e invoices etc.
We would like our staff to just see the purchase orders and raise purchase orders but not have access to anything else.

Right now, we’re developing a dedicated Purchase Orders Only role, that'll give you more granular controls for purchase orders - You'll be able to give your users access while keeping access to your bills separate.
Your feedback here has ben valued in helping us evolve our permissions in the product.

Permissions: Payroll - Payroll admin limited access
Ability to give payroll admins only permission to staff.
Purpose: To make the staff have fully access to Payroll but not other parts of Xero.
137 votesThanks for continuing to explain how the current all or nothing Payroll Admin access affects your teams. We’re now developing more granular payroll permissions, starting with separate View, Edit and Approve Timesheets access so timesheet tasks can be delegated without exposing the wider payroll area.
While the current work is focused on Timesheets access directly we recognise there are other sensitive areas within payroll that you'd like more incremental access to and we'll continue to consider these as our development of permissions evolves.

Xero Login - Enable Passkeys as a replacement to passwords
Passkeys (https://fidoalliance.org/passkeys/) are rapidly taking over passwords and are infinitely more secure than passwords.

97 votesHi team, we've just launched passkeys to our first group of users. From this week, Xero Me app users who haven't set up MFA yet will be able to use passkeys to log into Xero. Next, we'll be progressively rolling this out to more users over the coming months. We look forward to and welcome your feedback here. As we have more news on the rollout I'll share with you on this idea.

Bills - Ability to select user to approve draft bills
Being able to allocate draft purchase invoices to different users for approval
79 votesHi everyone, we hear how manual communication to the right person about which bills need their attention can be time-consuming, especially as teams grow.
We’re pleased to let you know that we’re developing a bill approval workflow in Xero. It’ll let admins choose named approvers and set routing rules, so bills can be automatically directed to the right person (rather than relying on inboxes, spreadsheets or verbal follow-up).
Approvers will be able to see the bills waiting for them in Xero and receive an email when their step becomes active, making ownership clearer while keeping the bill, approval decision and history together in one place. UK Payroll - Allow Xero users permission to authorise employee timesheets
Allow Xero users permission to authorise employee timesheets. At the moment only the payroll administrator or specific employee has the ability to do this. Payroll permissions under settings/users should be expanded to be more granular, with an option to allow users permission to authorise timesheets. Alternatively, under the employee details in Payroll, an option to select authorised Xero users whom may sign off timesheets for that user.

We’re currently developing more granular payroll permissions for timesheets so you'll be able to give access to timesheets without full access to Payroll. We’ll share more information as these permissions roll out.

NZ Payroll - Allow timesheet approval for employees with authority
For employees who use Xero My Payroll, if you are a Payroll Admin user, you can grant employees authority to approve leave. The option for Timesheet approval should also be there, it is available in other countries but not NZ.

Permission - Ability to choose either or both Sales, PO, quotes and Invoice for Invoice Only user
Invoice only user role that allows you to pick and choose either or both Sales and Purchase orders. quotes and invoices. At the moment you can only have Sales or Purchase IO otherwise you have to make standard user which is not helpful.
50 votesHi everyone, we value the detail you've shared about why you need to combine Sales, Quotes, Invoices and Purchase Orders access without also exposing banking or bills.
We’re currently building a dedicated Purchase Orders Only role with options to view, create, edit and approve purchase order that'll help for those that have asked to enable users to raise and manage purchase orders while keeping them separate from broader Purchases access and sensitive bill information.
We recognise this is one part of the wider role flexibility you’re asking for, and we’ll continue to consider how Sales, Quotes and Invoices can be separated in future.

Homepage | Account Watchlist - Change the order
On the dashboard, be able to reorder the accounts in the watchlist. At the moment they are shown by default in alphabetical order and can't be reordered.

Documents - Ability for Read Only users to access Documents
We would like our auditors / account reviewers to have Read Only access to our accounts in Xero however this does not enable them to view Xero Files, which is where we save our bank statements, etc.
Currently we need to give them Standard Access so that they can have access to the documents in Files, however this also gives them the ability to change the accounts as well.
We would like to suggest the Xero files be added to users with Read Only access.

Maria26 votesHi team, thank you for your feedback here and letting us know your needs in providing some users with access to view documents in Xero without the ability to change things in your organisation.
We're in the process of developing a more flexible permissions model that considers Xero Documents as part of role access. As part of our next roll-out we'll be separating document access from wider accounting permissions, to support use cases like has been raised here.
We'll keep you updated as this capability lands.

MFA - Touch ID and Face ID verification
Implementing touch ID/Face ID verification for users to log into Xero.
Purpose: Users can have more variety on how to log in.

This is just the first stage, and over the coming months we'll progressively make this feature available to more users. I'll be back to share more as passkeys become available to more users.

Permissions - Control user access to Xero Documents
Adding security measures to the file tab - so only certain users can open and access that information

For files we appreciate there are differing needs and access levels our customers need and this is a feature we're working on an update to at present. I'll round back to share more soon.

Investing in AI
I think the time has come to invest in AI, as a accounting software leader (Xero). Many people invest their money in AI software, like accountants, to do better / more accurate and faster budgets, forecasting (cash/accrual) mixed with different scenario's, transaction reconciliations and presentations of data/information and graphs. This usually in excel; outside the accounting software, where mistakes are likely to happen. I am not in IT, or software development/integrations, so I do not have an idea what this type of investment would cost, but my gut feeling is it would be worth it.

As Freya mentioned there is some AI going on in Xero already with the way Xero makes suggestions to help you reconcile your bank account.
We recently shared some insights with our customers on our approach to generative AI with Xero and you can read more about this on our blog.
Later this year you'll see Just ask Xero (JAX) be introduced and I'll round back to share once this is available.

Navigation - Add link to go into Files from the menu
Add button to go straight to Files on top tool bar instead of clicking twice (once on org name) and then Files
5 votesHi community, thanks for continued appetite in this idea. Though we don't have plans for adding Xero Documents (previously files) the the blue navigation bar, as per our last update there is the current keyboard shortcut to open, search and quickly select this from the Search results(press '/' and then 'f').
Further to this we are also developing a new Homepage widget that'll provide an overview of your documents and ability to take quick actions. I'll return to share more on this as the work progresses.

Chat - Insights and actions
I'd like to see a chat /conversational interface like ChatGPT where we can ask it questions like
What was our profitability last month?
Where is our biggest opportunity to cost cut?If I want to get profit to $*** with the same revenues what areas should I focus on cutting the most?
The goal here is to have conversational chat with Xero to dig through the data that's there and find action items to improve the business finances.
