Xero Projects - Different staff cost rate per project
We charge our consultants at a different cost rate per customer project and pay them a different cost rate per engagement. This is negotiated with them at the start of the gig and applies only to that Project.
I want to set a different staff rate per project per staff member.

We use this for our staff too, depending on the project needs. Some staff wear different hats so to speak for the day or the project and they swap from project to project.

This is such a simple fix that would make a big difference to the usefulness of Xero Projects.
It would also be great if when invoicing by team member the entries were consolidated instead of having a line for each time entry, which can get quite cumbersome, and on editing to consolidate removes the link showing that time has been invoiced.

This has been an issue for years and I am shocked it has not been resolved yet! Literally every single other time/project management software from basic to advanced has this feature and it is absolutely vital for projects in service based industries.

This is so easy in MYOB. As are a lot of things it seems Xero does not do to accommodate rather basic business functions.

We have come across to Xero to streamline our processes and I was very shocked to find out that changing staff cost rates in Xero projects will also change all the historical data that has been previously entered in a project.
This feature requires urgent attention and remedy as all companies will be negatively impacted by this floor in the program ever financial year when staff wage cost change.
Please advise how are we meant to track projects when all the historical data will be altered when a simple staff cost rate is updated to a new rate?

Please add a "note field" in Xero Projects. Often I need to make notes (freeform) that relate to the project we are working on. I'd really appreciate a note field where I can write some notes to myself not to share with the customer/or post.

At the moment we are having to split project tasks per person to get different rates. Some projects might have 10 tasks with 5 different rates for people working on it - so we need 50 tasks to scroll through and select. Crazy!

As an agency owner with multiple staff billing at different rates, I agree with the observation above. It should be easy enough to say: "These are the people working on this task who will be logging time against it. Here is what I charge the client for each of those individually for that specific task."
Making separate tasks for each employee is ridiculous. No one wants to see that on the invoice.

This is hugely important to an agency which has different staff billing at different rates. The resolution provided by tech support was to create a separate task for each employee for each project. This does not work, because the line items on invoices are the Task, not the project. So, for example, if you are working for XYZ Company, and the Project is Public Relations, then the Task is which brand you are working on for that company, which could be multiple brands. You would have multiple Tasks for one brand because you have multiple people working on it. Just make it so an employee can bill against a Task with their hourly rate... don't leave it that the Task has a set rate for all employees. That's not helpful.

I would like to be able to have tasks that allow sub tasks or multiple staff, with different sell rates, to be under a Task (being the relevant stage of project delivery). That way a task or delivery stage total can be made up of time entries from various staff with different sell rates. The way it currently works, I have to create a task for each staff rate per stage in order to bill the time entries, which can result in excess of 20 Tasks sometimes. This leads to staff choosing the wrong task by mistake and also makes the invoicing to the customer very long and confusing. Is this a feature that is in development? I imagine it would be used by many Xero users.

I want to start using Xero Projects to tack time against client projects (in Xero for my accountancy practice) - we are a small 2 partner where the 2 partners have to do all the work. So we want to have 3 different types of staff costr rates for each partner 1 - Bookkeeper Rate 2 - Supervisor Rate - 3 - Partner Rate so we can charge a different rate depending on what role the partner is fulfilling at the time. I can only seem to be able to give each partner 1 staff cost rate only - I want to give them the option of 3 different rates as described above - can you please help resolve?

Yes, this is incredibly common. The staff cost should be at the project level not at a universal level. I am really shocked that this wasn't the original build. Additionally, we need to be able to account for staff costs that change over time due to promotions, salary increases or change orders.

I have multi-year projects with an agreed rate escalation each year. I need to be able to change the rate of an employee for a particular when these rates change. Xero support has suggested I create new tasks, i.e. I have a year one task called "Site Visit" and a year two task called "Site Visit 2". This will work short-term but will become very cumbersome and error-prone. Surely, Xero doesn't expect rates to remain the same, or maybe, it will maintain its licence rate forever. That would be good!

This is so fundamental, there must be many companies out there that could have more than one cost rate for a staff member. Impossible to use the project reporting without this functionality.
