  1. I'd like to see more data points when creating a project and more filtering options in the project reporting. For example, being able to filter by who the project is assigned to, contact groups, zip codes/counties etc. Ultimately, I'd love to see the ability to create a custom project profile that allows for unique data fields.

  2. we have recently set up our business so everyone is on xero, we would like people to be able to view profitability in projects, but not have the admin user.
    Giving people admin user allows them too much access, but we want them to be able to see profitability on the projects so they can keep track.
    is there a way we can give them access, without upgrading their user role??

    Hey Rebecca, thanks for your engagement and for sharing this detailed suggestion about user permissions in Xero Projects.

    We've reviewed your idea to allow users to view project profitability without needing the full admin user role, and it can now gain support from other community members. We understand the need for team members to keep track of a project's performance, and why granting full admin access isn't always suitable.

    Along with votes, others can now comment to share additional detail about how this more granular user role would improve their project management and empower their teams. 🙂

  3. Assign multiple transactions to a project in cash coding. There should also be a projects field on the main page, rather than having to go to "add details>assign to project>search for project>click project>click ok>click reconcile".

    As with many travelling workers, many of my transactions for a trip are all bunched together and it would save me so much on bookkeeping time and fees to be able to select multiple statement lines or transactions and "assign all" in one click. Under cash coding makes sense because the checkbox already exists for each line, Projects just becomes another column.

  4. Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.

    Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.

    Benefits of this feature:

    Aligns income forecasting with existing expense tracking.

    Improves visibility of project profitability before actuals come in.

    Helps businesses plan resources, budgets, and cash flow more effectively.

    Hi Jalal, thanks for sharing this idea with us. We can see why this would be helpful for some users. Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community. We'll watch it closely for more traction. In the meantime, you can share this idea with your peers who might want to see this feature in Xero as well.

  5. Ability to add a "Site Address" for the project. I have clients who are landscapers or in the construction industry and may have one client with multiple projects that each have a different location.

  6. Title: Add the ability to allocate tasks under major project categories (e.g., Direct, Indirect) and create sub-tasks in Xero Projects for better project summary management

    Description: Currently, in Xero Projects, there is no option to allocate tasks under broader categories (such as Direct, Indirect) or create sub-tasks within a project. This limits the ability to organize and simplify project summaries, especially for larger projects with multiple facets.

    We’ve reviewed your submission and have now moved it to the Gaining Support stage.

  7. we are currently setting up our company so that all employees use projects to keep track of time entries.
    however, we have given majority of our employees limited access as they don't need to see much, but it means they aren't able to add their expenses on. This isn't ideal for us as our employees do a lot of travelling and need to be able to add their own expenses on to claim their millage back, is this something that could be changed?

  8. In the projects area, the expenses area lists expenses at their original cost and doesn't include the discount given by that supplier. This means the expenses shown for the project aren't actually reflective of the true cost of the project.
    There are currently no reports that allow you to see the company expenses, with discount, filtered by project so i can't actually report on the GP and net profit of a project without the painstaking process of clicking into every expense to find out the ACTUAL cost to the company less the discount given. We have suppliers who give up…

  9. Time adjustments or credits within a Project | Time entries in Projects works well and it makes sense that a time entry is locked once it is invoiced. However we regularly need to make adjustments for situations like (a) incorrect entries, e.g. billing time on a public holiday not worked, that we want to credit back against the invoice or (b) moving time between tasks within a project. I understand that Practice Manager has a "Time Credit" feature that may be suitableto this need if it could be made available in Projects. If not we need something like a manual…

  10. There is currently a start and end option, but could this be replaced with a date range option instead? It can take around 10–15 minutes to enter a single week of billing as each day has to be posted individually, and employees can’t clearly see which days they’ve already entered, increasing the risk of errors.

  11. Please increase the character limit for line descriptions when generating invoices from Projects.

    Right now, if a bill line has a description that exceeds the small character limit, it gets cut off on the invoice. I have to then manually open each bill, copy the full description, and paste it into the corresponding invoice line. Obviously this is extremely time-consuming and inefficient for something that seems like a relatively small backend fix that would make a big difference to everyday usability.

    Is anyone else dealing with this?

    While increasing the character limit of a bills description when invoicing from a project isn't something we have plans for atm, we can gauge the interest from community in this and will update you if there's any progression.

  12. Hi, it would be really helpful if there were an option to show VAT reflected.
    Currently, there is no setting in Xero Projects to display VAT-inclusive costs or VAT amounts directly in the project overview or reports.
    Could the option be available, please, so we can get a true reflection on costs?

  14. It would be great if cost codes or tasks automatically linked to a job once they’re assigned to a customer or project. At the moment, you have to assign the task and then separately select the job from the tracking dropdown, which feels like duplicating the same step. Ideally, once a cost code or task is assigned to a customer or project, it would automatically populate and link in the tracking section. This would streamline the workflow and reduce the chance of mis-entering or incorrectly assigning information.

  17. Often I have to send my customers a short report about the timeentries and how much is left. Right now I'm doing a screenshot with the gofullpage extension. Sometimes import the PDF to chatgpt to get a actual sheet. Would be great to have an export button on the time tab of a project.

  18. I'd like to be able to move expenses from one project to another without having to delete the expense under one project and manually enter it again into a different project number. It would be much easier and so much more efficient to be able to do the same as assigning a bill to a job number and if that job number turns out to be incorrect, it's simply a case of re-assigning the project number to it rather than having to delete and re-enter the whole thing again. Very frustrating and time consuming!

  19. We have a large project with countless numbers of invoices assigned to the project. I would like an option to be able to "mark all untracked expenses as invoiced" so that we can see what has already been invoiced to the client and so that we can work out more accurate profitability figures. At present, each individual invoice needs to be marked off separately and this can take hours to mark them all off, particularly if the project is large.

  20. I use Projects as timesheets for my staff in my contracting business, and it has worked well for the past two years. I do not use Xero process staff wages, I use ACE Payroll.

    After a staff member leaves, I delete them from Projects, as it costs me $7.50 per month per person, and when you have between 20-25 staff, it can get quite expensive.

    Once I delete a staff member from Xero, I cannot change any of their time entries. The reason I need to do this is usually because they have allocated his/her time against the wrong project.
