Projects - Add Estimated Income Feature
Currently, Xero Projects allows us to enter and track predicted expenses, which is great for monitoring project costs. However, there is no equivalent option for predicted income.
Being able to record predicted income against projects would provide a much clearer picture of project profitability and cash flow forecasts. This would allow project managers, accountants, and business owners to compare projected vs actual income alongside expenses, improving financial forecasting and decision-making.
Benefits of this feature:
Aligns income forecasting with existing expense tracking.
Improves visibility of project profitability before actuals come in.
Helps businesses plan resources, budgets, and cash flow more effectively.

Currently the way to view to profit is to add columns for both Gross Profit and % Profit to the Project Details and Summary reports.We've moved this idea to gain more support from the community. We'll watch it closely for more traction. In the meantime, you can share this idea with your peers who might want to see this feature in Xero as well.

Xero Projects - Ability to link Tracking category in Project tasks
It would be great if cost codes or tasks automatically linked to a job once they’re assigned to a customer or project. At the moment, you have to assign the task and then separately select the job from the tracking dropdown, which feels like duplicating the same step. Ideally, once a cost code or task is assigned to a customer or project, it would automatically populate and link in the tracking section. This would streamline the workflow and reduce the chance of mis-entering or incorrectly assigning information.
4 votesHi Ryan thanks for raising this with us. We appreciate the need for a Tracking option within the Projects space. While this is not available currently we will open this up fro the community so they can add their vote. Did you know if you've set up tracking categories, you can assign a category to use for the contact's transactions from the contact default section?
When you create a new transaction, click in the tracking field and the assigned category will populate (you don't need to select it from the list). You can refer to the subheading Default Settings here .Cheers!

Projects - Ability to create Sub project under main project
We often have project and during this we generate sub projects.
For record keeping it would be handy to able create a sub project under the main one. So when its time to invoice the whole project you can combine all related ones in one invoice.2 votesThanks for your feedback on Projects here, Tia. Projects - Allow access to view profitability without admin user role.
we have recently set up our business so everyone is on xero, we would like people to be able to view profitability in projects, but not have the admin user.
Giving people admin user allows them too much access, but we want them to be able to see profitability on the projects so they can keep track.

Add "item" to job
It would be great to add an "Item" to a project, that would, as a whole include, tasks and expenses.
For example, Kitchen/cabinet maker, Project is a whole house, I want to add items to the project of say, Kitchen, Laundry, Wardrobe etc.
and then either it just has a dollar value to it (no tracked time or expenses), or have the ability to add specific expenses and tasks to the item.
Then when you go to quote, all items are split apart with their expenses and tasks separate from the other items.

filter by project in reports
Allow for xero reports to be filtered by projects.
For example, I would like to use the "Account Transactions" Report to show all of a certain account code in a month, and then have the option to filter by project.

Projects - Allow limited-access users to add expenses
we are currently setting up our company so that all employees use projects to keep track of time entries.
however, we have given majority of our employees limited access as they don't need to see much, but it means they aren't able to add their expenses on. This isn't ideal for us as our employees do a lot of travelling and need to be able to add their own expenses on to claim their millage back, is this something that could be changed?11 votesWe're grateful for your engagement and letting us know the changes that matter to you.

Projects Driven Calendar/Schedule
Now that you have projects as well fleshed out feature. Ability to view all projects in a calendar format would be unreal.
This way my team and I can visualise at a glance in the Projects app where we should be on what date.
Based on access level will then give you ability to "Edit" the project. Select the project in the calendar then press the plus button (Same action if you have opened a project like normal) then do all the actions, or even just a subset for quick updates.

estimated expense markup
Please allow % markup on Estimated Expense to apply to all expenses in that Estimate. It's is timeconsuming and cumbersome to have to go into each individual expense and assign the % markup

timer
Project Timer - Please remember the task!
It would be great if the timer remembered the project and task I chose after starting the timer. I always choose the project and task, but when I come back to the app hours later to stop the timer, the timer is still running but it has forgotten the project and task I chose. So frustrating!

Moving task lines in a project into a different order
Can we have the ability to move task line to a different space...eg if i want to reorder the way job stages come in to the project. Sometimes if they get added in later than how they come across from our other program we want the ability to move that task line up to the top.

Sales invoices created in projects should be created under the user (not API) so that users can see their own invoices
Invoices created by the Projects API show in Xero accounting as "System Generated" therefore the user that created the invoice in projects cannot see the invoice or quote if they have Invoice Only + Draft.
Xero is missing just a key user level - where account managers can see and manage sales invoices, but can't delete or edit. Projects seems a good way around this limitation, but the inability to see invoices kills that.

Projects - Make "Time Credit" feature available in projects
Time adjustments or credits within a Project | Time entries in Projects works well and it makes sense that a time entry is locked once it is invoiced. However we regularly need to make adjustments for situations like (a) incorrect entries, e.g. billing time on a public holiday not worked, that we want to credit back against the invoice or (b) moving time between tasks within a project. I understand that Practice Manager has a "Time Credit" feature that may be suitableto this need if it could be made available in Projects. If not we need something like a manual…

Projects - when adding estimated tasks, enable there to be a quanitity section when selecting the fixed price items
When adding estimated tasks onto a project , add a quanitity section when selecting the fixed price items.
Some tasks for example like quoting for installation of boards per m2, we have the price per m2 set up as a code, so it would be useful to then be able to easily adjust the quanity required to get a revised sell / cost.
You currently have to calculate what the sell price would be and manually override the fixed charge. Day Rate
It would be great if we can use a day rate when creating an invoice for a project. At the moment, the rate is hourly and when an invoice is created it shows that total hours in quantity and the rate per hour; which is a bit confusing for clients who agreed on a day rate. Therefore, having the day rate and quantity as the number of days would be helpful.

Sync with Google tasks
Would love to have the contact list sync with Google tasks.
None of the CRM softwares out there have a calendar that works as well as Google Tasks.
My only problem is that I have to type in the address and contact info for every single job, and there is room for input error here.
I would love to be able to start making a task in Google Tasks, and be able to type in the customer name and have the info populate automatically.

Add chart of account to a project task.
Add chart of account to a project task.
We have a lot of small task entries which need to appear on the invoice to a customer. The tasks (remote support / h) have a unique account (208 - remote support). When we make the invoice we have to adjust ever line item to the right account. Can this not be automated by assigning the account to the task type?

Projects - import new project & information
I would like a solution to be able to import a list of projects. ie project number, client name, project description. It is very time consuming to setup projects individually one by one. Would be much easier if I could create an excel listing, convert to csv and import to xero
