Customer statements - Ability to select if Due and Overdue amounts are shown
When sending statements Xero is adding automatic commentary on the associated email about "overdue invoices". In my examples the Xero feature claims that the customer is "Overdue $535" is 100% wrong - customer only owed $39.
I fully understand why this is. There are unallocated cash payments (overpayments) in the mix.
There can be a lot of reasons why this is - invoice queries, partial payments, customer terms, errors being resolved, a customer payment that is not easy to reconcile etc etc. but the point is, that these transactions (overpayments) are totally legitimate as far as Xero is concerned.
Not…

Contacts - Credit limits for purchases
Adding a 'credit limit amount' to the 'Purchase defaults' section of Contacts would be very useful.
I have accounts with several suppliers with a credit limit. It would be very handy if I could see that credit limit in Xero and either put a stop on placing orders until I have reduced the balance and/or a simple reminder that I am approaching or over the limit.
The 'credit limit amount' is available in 'Sales defaults' but not 'Purchase defaults' which seems to be an odd omission.
8 votesThanks for sharing your thoughts on this idea. We appreciate you explaining how the ability to record a purchase credit limit could make a difference in your day-to-day work.

Tax number validation - The ability to verify VAT/GST/ABN numbers of contacts directly with the country Tax Authority
When setting up suppliers in "Contacts" within Xero, it would be great if Xero could perform a VAT check from a link to the HMRC website. There could be a button next to the VAT number box called "Check VAT" and then the supplier's VAT details (as per HMRC) would show.
Furthermore, it would be great if there could be a VAT report that you could run each quarter to check whether all VAT numbers are correct. It might involve a bit more work for the bookkeeper to ensure they set up the supplier correctly in Xero, but it would…
18 votesThanks for the suggestion to add a “Check VAT” action in Xero Contacts to verify VAT numbers directly with HMRC John. We can see how this would be a helpful addition for ongoing supplier checks ✨.We’re moving this idea to Gaining Support so others can vote and add real-world examples. The more detail you can share about when and how you’d use this (for example, one-off checks during setup vs. quarterly reviews), the better we can assess impact and prioritisation. We’ll continue to monitor interest and will update this thread if there’s progress to share.

Contacts - Include Contact ID in CSV Export
FINTECH requires Xero’s Contact ID for integration, but the Contact ID isn’t included in the contact export. They must be manually copied from the URL, which is slow and error prone.
11 votesHi Marcia thanks for raising this here, we can understand how including the contact ID would be a great addition to the export feature in Contacts.

Contacts - Set date to send reminder notification for service dates
Could we add a feature to enable us to email out service and inspection reminders up to 28 days before it is due.
This could be done by date only.
It would save us having to add another app and potentially another running system to get this feature.14 votesAaah gotcha, thanks for the confirmation and additional feedback on the idea here. A bit of an extension from our existing functionality for Contacts and there may be some CRM solutions that you could explore in the Xero app store atm.
For now we'll track the interest in this from community here.

T4A - Reporting
In Canada we need to file T4A slips for contractors. We can create a group of suppliers/contacts who would need a T4A, and we can create saved custom reports for the transaction lists, and we can add all their details to the contact, but we can't combine all this info into one report. It would be great if we could have a report that let us see both the amounts paid to a contractor AND their contact details in one report that we can then use to prepare the slips. Even better would be an actual workflow that we could…
4 votesThanks so much for outlining your T4A workflow and how you’re currently pulling this together in Xero – that context is really helpful.
We’ve moved this idea to Gaining support ✨ so other customers can vote and add their own use cases. We’ll keep an eye on the votes and comments here to help us understand how important this is and how it might fit into our future plans.
While we can’t promise if or when this will be delivered, your feedback is now part of our product planning process. Thanks again for taking the time to share it and help us improve Xero for Canadian contractors’ reporting.

Contacts - Link sent Customer Statements from Activity History
Customer statements to show on the contacts tab when sent - I can see in history & notes on the file tab on a contact that a statement was sent but it would be great if it was possible to click a link here to see the statement that was sent to the customer (rather ticking to send statement to own e-mail)

Contacts - Default cursor to search
I'd just like the cursor to already be IN the search field when I open Contacts please.
Thanks25 votesWe understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.
Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.
This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.
We’ll post here with any changes or progress.

Contacts - Display Group membership in main Contact list view
Be able to see a list of contacts, showing which groups each contact belongs to at a glance. Who are donors, who are equine related, who attend camp, which are organizations/business/church, who take lessons

Contact – check bank details reminder
Last Paid Date flag for Vendor or Check bank account details alert.
Increasing there is a need to check bank details for Suppliers - to make sure haven't changed. If a Supplier hasn't been used for many months, Xero doesn't prompt the bank details to be checked. We have had cases where the supplier changed owners and bank accounts but not informed us. The bank details weren't checked. it would be useful if we could have an alert or flag that prompts a check after 3 or 6 months.8 votesThanks for sharing this idea – it's a really practical suggestion.
We get how easy it is to miss checking bank details, especially for suppliers you haven’t paid in a while. A quick alert or reminder after 3–6 months of no activity could be a great way to help catch changes (like new ownership or account updates) before a payment goes through.
Your idea’s now live for others to see, vote on, and add their thoughts. If this would make things easier for your team, feel free to share it around.

Contact Details - Ability to resize or expand the text box for Notes
Can't highlight select specific text within the Contact Details - Notes Box to edit Contact information - when attempting to select part of the existing text to highlight so I can copy or delete this, however all the text below is highlighted and the screen rolls down or up when attempting to do this... it's so frustrating & annoying as the only work around for this is to copy the entire text & paste to Apple Mac text notes on another screen, so I can then edit the text and copy back into the Client Details - Notes Box in…
2 votesHi Michelle, thanks for sharing this idea. We understand that having the ability to resize the Notes field within contact details could be useful for recording detailed client information or internal instructions.
The idea is to allow users to adjust the size of the Notes text box, making it easier to view and update longer notes without needing to scroll through a smaller fixed field.
We encourage the community to vote on this idea if you’d find this contact management improvement useful.

Contact - Add a 'Bad Debtor' status flag with invoicing alerts
Would be great to be able to assign a special rate to a particular client so that rate generates each time you invoice that client and also add tick box to mark as bad debtor which flags them up.
4 votesHi Denise, thanks for sharing this idea! We can see how a “Bad Debtor” flag could be a really useful tool for managing risk. When your business is busy, you don’t want to accidentally extend credit to a customer who’s already significantly overdue.
Right now, the absence of an automated alert means staff often have to double-check a customer’s payment history or risk raising an invoice for someone who should be on a stop-credit list.
As a short-term option, you can use the Contact Notes field. Adding a note to a contact makes it visible when viewing their details, though it doesn’t yet “pop up” during invoicing.
Regarding your idea on default rates, you can already assign a default discount rate to contact records. You can also use the Untrack Items feature to make data entry faster and reduce manual effort.

Contacts - Retain historic name in system prior to effective date
Allow customer's company and/or contact name changed as of an effective date. Retain original customer's company and/or contact name prior to effective date and future business is recorded post effective date with new customer's company and/or contact name.
4 votesHi Bruce, Thanks for sharing your idea, and letting us know the changes that matter most for you. We appreciate hearing how adding an effective date would be beneficial when you don't want the changes to affect the existing transactions. We'll move this idea to gain more support from the community. Cheers

Contact - Approval process for new contact creation
For internal controls it would be good if creating new customer and supplier contact can go through a draft and for approval stage. This allows an approver to 4 eyes check the information captured before the contact is created. (Ensure all required fields get captured)
2 votesHi Llewellyn, thanks for bringing this suggestion to the community.
We understand why having an approval step before new contacts are created could be useful, especially for businesses and practices managing larger teams where keeping contact records accurate and consistent is important.
This idea is suggesting a workflow where new contacts can be reviewed and approved before being added, helping teams maintain better control over their contact data.
For now, you can manage who can create and edit contacts by adjusting user roles and permissions. We’ll continue to track feedback and interest from the community around this idea.

Reports includes contact details
Include contact details (eg address, contact no, etc) when generating other reports like inventory, sales and etc.
1 voteHi Shantina, can you share a little more on what you'd be wanting to do or the use the report would have to you? This will help in sharing back with out product teams and for others in the community to consider if this is something they'd like to support too.

Contact - Add optional Account code column on contact activity screen
In the transaction lists in a client, having the ability to add "account" column to see what expense account a Spend Money is associated with, or the income account a Receive Money is recorded to.
eg. image attached2 votesHi Kyle, thanks for sharing this suggestion.
We understand you’re looking for an option to show Account Codes directly within the contact activity view, so you can review transaction details without needing to open each individual entry.
Having more visibility into transaction coding could make it easier to review contact activities and complete regular account checks.
We’ll continue to track feedback and interest from the community for this idea.

Contacts - Add a credit checking tool to customer profiles
Ability to run credit checks from the contacts page when enrolling new buyers.
2 votesHi Alton, thanks for your idea. We understand you’re looking for a credit risk assessment tool within customer records, so you can review credit information without needing to use separate systems.
Having credit insights available alongside customer details could help make onboarding decisions and credit management more efficient.
We'll continue to gather interest and feedback from the community for future reference.

Contacts - Record group changes in history and notes
It would be very helpful if contact group changes were shown in the history - what change was made, when, and by whom. Currently, they leave no trace.
1 voteHi Chris, thanks for sharing this idea.
We can see how having Contact Group changes recorded in History & Notes could make it easier to track updates and understand when contacts have been added to or removed from groups.
I've updated the status of this idea to Gaining Support, so we can keep track of the votes and feedback. These details help the team better understand the value of the idea.

Contact - Ability to customise columns on Contact Activity
On these top level menu layouts, like Invoices, Bills and Contact Activity list we really need to be able to add/remove columns. Eg. to see the net total for each Bill/Invoice, not just the gross amount including VAT.
We use these menu layouts a lot, and have to copy and paste to Excel when we want to send that data, because there seems to be no export on Xero that can produce a neat one row per invoice layout. The exports produce a massive report that displays every row from every invoice - not much use.
Having the ability to…
6 votesAppreciate your feedback, Maggie. However it is unlikely that this change would be made across all areas of Xero at once. It would help to get an understanding of the desire for this in each area to share with our product teams.
We have an existing idea for customising columns in the Invoices list, and one around the ability to view total and tax amount columns in the bills list that I have added your vote to, and I have adjusted your idea here for the customisation of columns in the Contact Activity. If there is any progress for each of these we will update on the respective idea. Thanks

Contacts | Activity - Purchase order "Approved" (change colour of status from green to blue)
Once PO's have been approved, could they be shown in BLUE (rather than green) - so as to distinguish between Bills "Awaiting Payment" (green) and PO's "Approved" (also in green) when in a Supplier.
1 voteAppreciate when viewing this information on a Contacts Activity tab how further differentiation could be useful, Ingrid. We don't have any immediate plans for changing the colour, however it would be good to get a wider sense of interest for this from the community here.
However, to avoid any confusion you also have the transactions type tabs that you can click on to view only activity for that type of transaction.
