Posting Details / Audit Report & Supplier Statement Reconciliation
Bookkeeping Controls & Reconciliation
I would like to suggest two features that could significantly improve bookkeeping accuracy, audit review and reconciliation in Xero.
- Posting Details / Audit Report
A report to identify what transactions were entered into Xero, when they were entered, which accounting period they relate to, and who entered them.
Two separate date filters are required:
Created/Posting Date: When the user actually entered the transaction in Xero.
Transaction Date: The accounting date given to the transaction.
The report should cover:
Purchases and credit notes
Sales and credit notes
Manual journals
Bank transactions
Key columns: Posting Date, Transaction Date, Transaction Type, Reference, Contact, Amount, Posted By, Last Modified Date and Last Modified By.
This would be extremely useful for month-end reviews, VAT reviews, identifying backdated entries and audit purposes.
- Supplier Statement Reconciliation
A dedicated Supplier Reconciliation Centre where users can select suppliers who provide regular statements.
Suggested process:
Upload Statement → AI Extracts Transactions → Match Against Xero → Highlight Differences → Reconcile Balance
AI should extract the opening balance, closing balance, invoices, credit notes and payments from an uploaded supplier statement and automatically match them against Xero.
Suggested status indicators on purchase invoices:
🟢 Green: Reconciled
🔴 Red: Unreconciled
🟠 Orange: Difference/Exception
🟣 Purple: Not included in supplier reconciliation
The system should allow invoices to be reconciled against multiple/overlapping supplier statements, as unpaid invoices often appear on consecutive statements.
Most importantly, this should integrate with Bank Reconciliation. If supplier reconciliation has already identified a missing invoice, and a related supplier payment appears in the bank feed, Xero should warn the user:
“A related supplier invoice appears to be missing. Please check and enter the bill before posting this bank transaction.”
