Hi everyone, thanks sharing how important it is to be able to reserve inventory for pre-sales, or consignment.

We appreciate hearing your needs in setting stock aside before it’s invoiced, and in some cases working across multiple locations or warehouse setups.

We are currently in the process of releasing backorders capability which is designed to help tracked inventory users approve a sales invoice even when there isn’t enough stock available at the time. When that happens, the stock you do have available is allocated first, and the remaining quantity is placed on backorder. As more stock comes in, Xero will then automatically allocate it to the oldest approved backorders.

While this release doesn’t provide a way to reserve stock in advance for consignment, pre-orders, or particular customers and locations, it may still help some businesses that are currently needing to wait for stock to arrive before they can approve and…

Please add this feature! We are looking at changing to MOYB for this reason which is frustrating because moving across will be extremely time consuming.

We are a manufacturing company that makes large robotic tractors. Each tractor has sub parts such as the bonnet, front chassis, and rear chassis. But each sub part has hundreds of parts that are welded and machined together.

Right now owe can't properly track our inventory at all. We can track inventory into the business but not out because XERO requires every line item on the invoice in order to realise inventory stock has decreased.
As you can tell with thousands of parts an invoice that recorded every part would be pages long. All we want to give our customer is a clean easy to read invoice that can say 2 tractors, or 4 bonnets and 2 front chassis and this is exactly what we do. However, this does not allow us to record the decrease of inventory.

Secondly, having the ability to reserve inventory (inventory in-use) when allocated to a project would also be HIGHLY helpful. Rather than waiting till the end once a job is invoiced and the inventory count is decreased. That way owe can see what stock is already allocated for and how much more we need to order.

Hi everyone, thanks again for continuing to share your feedback and examples on this idea.

We’ve now done some initial discovery on this and can see the value it could provide for businesses needing assembly or bundled inventory capability in Xero.

This is something we’re interested in solving longer term, however there is a bit of complexity involved in the work and it hasn’t been roadmapped at this stage.

When we are able to get this planned in the pipeline, we’ll be sure to update you here and keep you informed on progress.

This would be awesome to view from the dashboard! If we could see what projects are due this week and what ones are overdue to be highlighted in some way. Great for project managers.

And for those who are assigned to projects maybe they could see a shortcut of some form from the dashboard.

I guess what would affect this feature would be the level of access someone has within projects.

This would be great especially if we could have the ability to give access to a project manager so they can see enough information to manage their team but not seeing every single financial detail.

Hi there, we appreciate you raised this a little while ago. It's currently possible to import project time to timesheets, however the rate is generally imported as the regular earnings rate.

This isn't something we have plans for in the near term.

Not getting a lot of support from other members we’ll soon remove this from Product ideas. If it’s still highly valuable to you, welcome to start it again and see if it gets renewed interest.

    Please add this!!

This stops the double entry our staff have to make. It feels so over the top that we require them to put the time into XERO Projects and then into XERO Me timesheet. Even if XERO payroll was only able to pull the time from XERO projects and put the hours for the week against the staff member and all time at ordinary earnings and then admin fixes up what is Overtime and what is Ordinary Earnings.

The timesheet is automatically pulled from projects (if you want this feature enabled) at the end of your payroll week and is waiting in Timesheets as a 'pending' timesheet for admin to approve.

This would help so much! Something is better than nothing.

This would be much more useful.

I am noticing with the more tasks and project has and when there are a lot of hours booked to a project, this page can be almost not help at all. Viewing time entries by task will allow us to identity time missing much faster and easier.

A reminder that the due date of the project is approaching. And a reminder to send an invoice. Invoice reminders should keep alerting until the full project amount has been invoiced.

Adding to this idea it would also be great if we could create project templates to apply estimated expenses to.

This would reduce admin time by so much! A great feature to have. Honestly XERO Projects needs a MAJOR update!!

    Adding to my below comment.

Being able to filter projects with stages as a filter would be very helpful too!

Having default stages including: Draft. In progress, On Hold, Completed, Closed, Rejected/Cancelled, Admin (for admin issues that prevent the job from being closed). This would be a great start. Even better if we could customize our own stages.

Secondly, viewing the projects with a calendar view (e.g. monthly view) where you see due dates and the projects are colour coded to show their status.

Thirdly a GANTT Chart for the projects would be a great way to visually see work that needs to be completed over a period of time in relation to the time planned for the project. A Gantt chart can include the start and end dates of tasks, milestones, dependencies between tasks, assignees, and more.

This would be extremely helpful. We have some projects in our system too long but we aren't exactly sure how long they have been there, but it would be very helpful to know.
Also it would help if we could see what projects are due this week and any overdue projects to be highlighted or viewed separately. Something for the viewer to easily see as soon as they open up projects that there are projects due this week e.g. 2 Projects due this week and 1 overdue project.

It would also help if we could view staff allocation with a calendar view and to able to view a group of employees at once but also a single employees allocation.

Hi everyone, we appreciate wanting the ability to assign files to the project itself. While this isn't something we have planned right now we'll keep tracking the interest through the idea here.

To highlight, though not currently available on the Project directly, it's possible to attach files to the individual transactions within a project e.g a Bill, Invoice, Spend money or Expense. i

Along with this, you may also find it useful to create folders within your Files library where you can collect all files related to a specific project for ease of reference.

Understand this isn't the ideal solution, but may help some for now 🙂

The solution you have provided Kelly unfortunately doesn't help at all...

First, the files attached to bills, invoices, spend money or expenses first of all aren't viewable to all users. Users with limited access to projects cannot view these nor do we want them to be able to.

Secondly, the attachments we wish to attach to projects are not related to a bill or expense. Attachments are PO's from customers relevant to the project. Photos of issues at the worksite and photos of drawings for construction.

Tradesman on the floor do not have computer access and therefore are unable to log in and upload a file to our drive or view an attachment from there either. This would also take a large amount of their time.

This feature would help so much and it is only such small feature to add. The same ability is already in Xero there is just no option for projects... It is really such an important ability - all the documentation associated with a project in an easily accessible location.

This would be very helpful for situations where a large project is broken up into 'sections'. Once the first task is first it can be closed so no one can book anymore time to it but it remains viewable.

Also so important for long-running projects where prices change.

Hi everyone, apologies it's been so long since our last engagement here. We appreciate the additional feedback that's been shared.

Right now, it's not possible to assign bills to projects that have a Closed/Completed status. Instead, the best option would be to update the status of the Project temporarily to be able to assign your bill/s and then re close it.

Being upfront this isn't something we have any plans for enabling in the near term. If the position of this idea changes we will share an update here.

I just reopen projects add the bill then close it back out.
Being able to always add bills to projects could cause a lot of issues and mistakes especially when that project is actually not supposed to have the bill charged to it.

Hey team 😊 happy to come back to share that this work is now underway with our product team as they begin development for managing files within Xero Payroll.

We really value the feedback we've received from you all in this idea, which has helped inform our teams approach to developing a solution that will fit majority of needs.

I'll return to share as we get nearer to release with more information on what this looks like including where and how you'll be able to attach files in Payroll.

I agree with Anna - The function to add files is already in place in multiple areas in Xero, why is it not possible to easily implement this into the Payroll section?
