Hi Simon, are you making use of Tracking at present? If not I'd recommend looking into this for your teams in conjunction with using projects which have a finite date or life of a job.

This stops the double entry our staff have to make. It feels so over the top that we require them to put the time into XERO Projects and then into XERO Me timesheet. Even if XERO payroll was only able to pull the time from XERO projects and put the hours for the week against the staff member and all time at ordinary earnings and then admin fixes up what is Overtime and what is Ordinary Earnings.
The timesheet is automatically pulled from projects (if you want this feature enabled) at the end of your payroll week and is waiting in Timesheets as a 'pending' timesheet for admin to approve.
This would help so much! Something is better than nothing.

I am noticing with the more tasks and project has and when there are a lot of hours booked to a project, this page can be almost not help at all. Viewing time entries by task will allow us to identity time missing much faster and easier.

An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedAdding to this idea it would also be great if we could create project templates to apply estimated expenses to.
This would reduce admin time by so much! A great feature to have. Honestly XERO Projects needs a MAJOR update!!

Hi Kevin, we'll get a sense of your idea for multiple project stages here, welcome to add another for start & end dates that we can track too. 🙂
An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedAdding to my below comment.
Being able to filter projects with stages as a filter would be very helpful too!
Having default stages including: Draft. In progress, On Hold, Completed, Closed, Rejected/Cancelled, Admin (for admin issues that prevent the job from being closed). This would be a great start. Even better if we could customize our own stages.
Secondly, viewing the projects with a calendar view (e.g. monthly view) where you see due dates and the projects are colour coded to show their status.
Thirdly a GANTT Chart for the projects would be a great way to visually see work that needs to be completed over a period of time in relation to the time planned for the project. A Gantt chart can include the start and end dates of tasks, milestones, dependencies between tasks, assignees, and more.
Emma Rosenblatt (Accounts) supported this idea ·An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedThis would be extremely helpful. We have some projects in our system too long but we aren't exactly sure how long they have been there, but it would be very helpful to know.
Also it would help if we could see what projects are due this week and any overdue projects to be highlighted or viewed separately. Something for the viewer to easily see as soon as they open up projects that there are projects due this week e.g. 2 Projects due this week and 1 overdue project. It would also help if we could view staff allocation with a calendar view and to able to view a group of employees at once but also a single employees allocation.

Hi everyone, we appreciate wanting the ability to assign files to the project itself. While this isn't something we have planned right now we'll keep tracking the interest through the idea here.
To highlight, though not currently available on the Project directly, it's possible to attach files to the individual transactions within a project e.g a Bill, Invoice, Spend money or Expense. i
Along with this, you may also find it useful to create folders within your Files library where you can collect all files related to a specific project for ease of reference.
Understand this isn't the ideal solution, but may help some for now 🙂
An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedThe solution you have provided Kelly unfortunately doesn't help at all...
First, the files attached to bills, invoices, spend money or expenses first of all aren't viewable to all users. Users with limited access to projects cannot view these nor do we want them to be able to.
Secondly, the attachments we wish to attach to projects are not related to a bill or expense. Attachments are PO's from customers relevant to the project. Photos of issues at the worksite and photos of drawings for construction.
Tradesman on the floor do not have computer access and therefore are unable to log in and upload a file to our drive or view an attachment from there either. This would also take a large amount of their time.
An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedThis feature would help so much and it is only such small feature to add. The same ability is already in Xero there is just no option for projects... It is really such an important ability - all the documentation associated with a project in an easily accessible location.

An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedThis would be very helpful for situations where a large project is broken up into 'sections'. Once the first task is first it can be closed so no one can book anymore time to it but it remains viewable.
Also so important for long-running projects where prices change.

Hi Leah, when you've closed/completed a project it is still possible to add Bills and new Expense tasks to it.
From the bill you'll be able to look up and assign lines of your Bill, or within the project you can simply add an expense. The only transactions you can no longer add once closed are Billable expenses, Spend monies and time entries.
Is there a specific reason you need to enter the expense as one of these type of items?
An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedI just reopen projects add the bill then close it back out.
Being able to always add bills to projects could cause a lot of issues and mistakes especially when that project is actually not supposed to have the bill charged to it. -

An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedI agree with Anna - The function to add files is already in place in multiple areas in Xero, why is it not possible to easily implement this into the Payroll section?

An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedWhen Xero advertises itself as a program which automates admin tasks then that is what you expect. Not calculating super accruals for under 18s is a HUGE MISS because this is something we then have to do manually, the opposite of what Xero sells itself on.

An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedPlease add this ability to the note section. The notes should also be time stamped and the name of the user who made the note should be viewable as well.
I have mentioned in another post about how the new note feature is really basic and lacking usability...You can make a note on the contact that's great but what can you do with this???Nothing.
We need to choice to be able to make a note pop-up when invoicing the contact, when viewing invoices, when uploading bills, when paying bills. I know others have also requested notes to be able to be seen in reports as well.
Having one note section which can have up to 4000 characters is a pretty slack job at resolving this issue.

Appreciate the feedback here, everyone. As noted in my last update - we released a notes feature in the contact record that enables you to add editable notes (up to 4000 characters) that are visible when viewing the contacts record.
At this stage, we don't have any plans around pop up notes similar to what's being asked on this idea, however understand this is really what's needed to help solve for your idea here.
For now, we'll shift the idea back to submitted and continue to track the interest. If there are any other developments that could help achieve what you're asking we'll share this with you all, here.
An error occurred while saving the comment Emma Rosenblatt (Accounts) commentedFeedback - This doesn't achieve the desired goal.... Yes there is a note section but the only place you can view the note is by going to the contact itself which is so time consuming. So XERO is expecting you to go and check a contact card everytime before issuing an invoice or paying a bill ??? It would be much better if we could select certain notes to always popup when making an invoice or viewing a bill.
So instead of ONLY one note section we need the ability to add multiple notes and a check box and selection tool where you can customise where and when the note popups.
The XERO team is on the right track but has not allowed for any customisation or usability with the new feature.

Customising staff permissions would be best. That way everyone is catered for!
