Projects - Ability to attach Files to a Project
Ability to attach files to Xero projects.
Purpose: To make users’ able to attach necessary documents for their project such as contracts and quotes.
Hi everyone, we appreciate wanting the ability to assign files to the project itself. While this isn't something we have planned right now we'll keep tracking the interest through the idea here.
To highlight, though not currently available on the Project directly, it's possible to attach files to the individual transactions within a project e.g a Bill, Invoice, Spend money or Expense. i
Along with this, you may also find it useful to create folders within your Files library where you can collect all files related to a specific project for ease of reference.
Understand this isn't the ideal solution, but may help some for now 🙂

I think the best way to vote on this issue is to simply stop using XERO and change to a produt that has this function already. I made the change over to Quickbooks and honestly, I would never look back. XERO however made it impossible for me to have a "read only database", so I need to pay the smallest subscription fee to maintain access to my olde accounts. This is also a feature that would be well received by many, but will of course not be done because like the Project attachment issue, there will be a cost associated to them which they aren't prepared to cover.
It makes me believe they don't have any developers in-house and actually sub-contract the development work. This would be a big reason why they always avoid implementing the feature, since they wouldn't be able to charge clients for an increased fee, just for the attachments.

Absolutely well said Bevan Simpkin ! there is no reason than to try and have us 'buy' another app

Well said @Bevan Simpkin.
If only Xero actually cared about whether the product they were providing was functional instead of the revenue they get from it being inferior.

The 10-Year Feature Void: Why Xero Projects Intentionally Starves Its Users.
To the Xero Product Leadership Team,
For nearly a decade, hundreds of paying small business owners, contractors, and project managers have asked Xero for a single, fundamental piece of functionality: The ability to attach a file directly to a Project.
In Xero, you can attach files to a bill, an invoice, a fixed asset, or a contact record. Yet, the Project—the single vehicle that inherently requires central documentation like council plans, site photographs, client briefs, and compliance permits—remains completely starved of this feature.
What hurts is the behaviour.
When users log this on this official Xero Product Ideas forum, the cycle is always the same. The idea gains hundreds of votes and desperate comments of support. Then, the thread is closed, archived, or "relocated," effectively resetting the public ledger and wiping out the visible data of consumer frustration. The official advice remains unchanged for years: “Attach the file to an individual transaction instead.”
A compliance document or a structural blueprint is not an invoice. It does not belong on a spend-money transaction. Forcing small businesses to fragment their project workflows across unrelated line items isn’t a workaround—it’s bad product design.
This isn't a technical limitation. The file-attachment architecture clearly already exists across the rest of the Xero ecosystem. This is a deliberate decision to keep the native Projects module deficient, forcing users to buy expensive third-party add-ons just to perform a basic administrative function.
Small businesses pay a premium for software that is supposed to simplify their lives. Resetting the community voting counters won't change the reality: your subscribers are tired of being ignored on basic core functionality while valuable development resources are wasted on cosmetic platform refreshes.
It is time to let users attach files to Projects. Stop erasing the feedback, and start building what your customers are paying for.
My next step: getting a banner towed over Auckland, reading "Xero Hates You" in 4-foot high red letters. It's cheap: I've got a quote for $600 to fly that message on Thursday week.

I agree this is a fundamental missing feature in Xero Projects.
The suggestion to create folders in the Xero Files library doesn't really help unless those folders can be linked directly to their corresponding Projects. Otherwise, it's merely another standalone filing system.
We need to be able to access engagement letters, scopes of work and other supporting documentation directly from the Project itself.
It's difficult to understand why such basic functionality remains unavailable after so many years.

This functionality is critical and should be at the top of your development list.
It has well over 200 votes. We have been asking for this functionality since 2016.
Why is it, in your words, "isn't something we have planned right now"?

I'd suggest that if you've been using Xero and they don't listen to any feedback for all this time, maybe just stop using Xero? Quickbooks is the platform I went to after Xero and their projects system allows attachments and a whole host of things on the suggestions board here.

When will Xero listen on this?
This is at least the 6th time ive seen this core function request sidelined.
I initially asked for this back in 2017.Xero waits until the comments and requests get full of grumpy frustrated people, then delivers some bland blah about moving the discussion over to a new location... thus wiping the history of requests.
Xero central wasn't even born, and we were calling for this functionality.
One of the earlier repositories for this request had well over 600 comments. Now there's 60.
Oh, but there's templates to muck with, layouts to change, functions to hide, links to move about, and a fancy rainbow colored login screen to force down everyone's throat.....
No-one at Xero cares. Ive tried for nearly 10 years to get this done. Bland, boilerplate replies is all we get at best.

I agree, very simple fix.
I manage multiple companies and have been moving a lot of jobs to XERO projects, mainly because I use the reporting/xl functions, but not being able to have plans / drawings attached, or contracts, makes it a difficult choice of whether to stay with Tradify or similar packages that allow the workers to access latest plans, diagrams, and to attach photos etc. These functions are very important for workers in the field, and project management in general. -

I am dumbfounded - no time nor inclination to add this feature....yet plenty of time to play havoc with the invoicing templates.

Just had to move a job back to Tradify as couldn't attach the plans to project in XERO. Disappointing as a very small change, very helpful feature.

We are a building company and would like to be able to load in a copy of the contract into Xero.

the ability to upload pertinent project documents to a project so that team members can all see the same plan/specs/permits

This is very important. Clients give us orders associated with the project, the individual bill option does not work for this

Agree - this would be the most useful feature for invoicing/accounts teams - every project and invoicing step needs a crosscheck against a file, so it would be very sensible to add the feature ASAP. Thank you!

The ability to attached documents to projects is essential. Do you have an update yet

Is there an update on this feature? It would be helpful to be able to attach the relevant documents for each project to have everything together but also when assigning tasks to staff, it would be beneficial to be able to attach the information they need.

This is essential. The Project information is very limited and the notes and attachment options are available on many other Xero screens, so why not projects?
