  1. The new W-9 Request feature is nice. However, it would be even better if there was a way to send the request using the Organization's email address rather than the Bookkeeper's or Accountant's email address. Contractor's might disregard the email request if they don't know who the Bookkeeper or Accountant is and don't recognize the sender's email address.

    Hi Lara, while not a complete solution for what you're after as you still need to send from an external email provider - I wanted to share a recent update we've made so you can now link directly to your email client from the W-9 in both Contacts and 1099. We've also provided an email template which you can easily edit to adjust any details you'd prefer such as adding the organisation title. See more on this in our help.

  2. A company we work with here in UK was recently a victim of an elaborate but simple fraud, resulting in the loss of around £5,000 from the payroll.

    The scam went like this:-

    1. Scammer fakes an email to HR from an employee requesting the bank details for their salary be changed.
    2. HR fails to spot the "EXTERNAL EMAIL WARNING!" and forwards this email to the person who updates the payroll. They also didn't spot the fake email address, or double-check with the employee.
    3. Bank details for the employee are updated in the payroll and bank payments.
    4. Some weeks later, the…

    Thanks for your idea here, Rob. I've made sure to share this back with our Payroll product team. We appreciate your desire to prevent fraud, however there are also employee laws that implicate this process. It's something we're keen to track demand in here, but want to be upfront that there are no immediate plans for developing this.

  4. Customer Statements - Would be good if customer statements could include a prepayment balance somewhere on the statement. My client receives a lot of prepayments and would like customers to be able to see at a glance their remaining credit.

    Hi team, wanting to jump in to provide a little clarity as there are 2 different points arising through this idea.

    Currently, customer prepayments will only be shown on a customer's Activity statement, not Outstanding statements.

    The way prepayments work in Xero, these only impact the Accounts receivable once it's applied to an invoice, therefore they don't impact the total of the statement balance.

    If you want to impact the total balance, you may want to consider entering these sort of payments as Overpayments in your account. You can read more on how this works in our Xero central article.

    To be open here, we don't have any short term plans for changing how these transaction types are treated in statements.

  5. I really need to add notes to the Budget Manager fields to explain (as much to aid my own memory as anything) how I calculated the amounts in each line for each month. This will be helpful when the budget is interrogated at Board meetings and I can easily reference what was included in the expected income or expenditure figures for a month. Xero has this facility in other financial reports, but it is desperately needed in budget manager.

Auto-reconciliation for transactions and invoices/bills - I appreciate that the manual reconciliation is to allow for oversight and management of transactions, but when you have several thousand transactions in a month, reconciling them all is very tedious, especially when 99% of them is just clicking "OK" after checking that the names/references match!

    Auto-reconciliation would be an amazing timesaver, even if it was just for transactions where the references or customer names onn payment and invoice/bill match. Please consider adding this!

  7. The mobile app currently does not ask you to confirm your password when you setup a pin for your account. If you were to miss-enter your pin, which is easy to do, you essentially immediately lock yourself out of your account. The system should ask for a pin, then ask you to confirm the pin before finalising it, allowing you to go back a step if you enter in the wrong pin.

  8. Could a similar function that UK organsiations have to "deep archive" employees be rolled out to AU organsiations? This will assist to adhere to legal requirements of retaining employee records for 7 years.

  9. just like overtime wages, it's important to separate unused annual leave paid from regular annual leave paid because this will enable accountant to quickly cal-check whether super guarantee has been calculated/set up correctly. it's impractical or inefficient if we have to check all the pay item settings.

  10. TEMPLATE FOR COMMON SPLIT PAYMENTS
    We need to be able to save a split payment as a template (like a bank rule)
    eg: registration is always split with gst, no gst etc, let us save that transaction as a template for easy recon next time. Bank rule isnt helpfull as when you have 20 different regos being paid to the same company then a simple split template would be very helpful

    Hi team, while we appreciate you raising your idea here. Not getting much community traction overtime, and not being in our current roadmap we will remove this idea from the forums.

    While I appreciate it's not solution you're after, to import transactions that match multiple statement lines you could consider importing these as Invoices or Bills.

    With regard to the consideration of templates for split payments, one option could be to use the percentage split option in Bank rules rather than the fixed amount.

    If this idea is still important and would make a big impact to your business flows, you're welcome to start it again to see if there is renewed interest from the community.

  11. BANK RULES LIST IN ALPHABETICAL ORDER
    Just put them in alphabetical order as the default. I don't have time to go through dozens of them and drag them into order.

  12. SAVE FOR LATER section within the Reconcilation page
    We should be able to add a transaction to the top of the list to a section that doesnt scroll, another tab or click a button to change its colour to signify it is now in a special section for 'saving for later'.
    Sometimes a transaction needs looking into further and when doing recon you might end up with half a dozen of these, it would be really handy to be able to group them at the top of page or turn them a different colour so that when continuing on they…

  14. Be able to see recurring invoices set up for a client on that client's page. So many times I think to myself "I'm pretty sure I set that up, but did I?" and then I have to go and search in the repeating invoice tab. It would be good to be able to see recurring invoices just on the client page.

  16. Right now it's not possible to run the statements for a contact having different currencies. The statements will show the outstanding amount owed according to the default financial setting currency of the contact. It would be nice if we invoice a customer in different currencies to be able to produce one statement showing the balance even if it convert the other currencies to the default currency. Or produce different statements selecting the different currencies each time without having to go change the default currency in the contact each time.

  18. Have the ability to rename the PDF file attachment so when you update your system to send Estimates you can rename the PDF as they always get sent as quote and this is unable to be changed or you can have the PDF file name anything you like just having the option would be nice

  19. When posting a pay run, Xero should automatically create spend money transactions with all relevant details and links to the pay run.

    Currently, this is done manually by creating spend money transactions for each transaction and there is no link to the payslip.

    This will save a lot of time in reconciling a pay run and improve the connectivity within Xero.

    Hi community, you might've heard that we’re making changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date.

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.

    Considering that we'll retire this feature we want to front-foot that we have no plans (as requested in this idea) to develop Global Pay Run.

  20. When I review payroll I want to know if the employee is casual, part-time, full time or contractor.

    I want to know the typical hours worked in the payslip cycle so as to determin whether overtime entitlements apply.
